EFTPS 4digit pin and 941 e-file 10 digit pin not carrying forward

Thanks for checking in with us, ormic.

The INV-63359 where customers' EFTPS info isn't saving when they go to file forms after upgrading to QuickBooks Desktop 2022 is already resolved. On the other hand, the E-file 10 digit PIN has no expiry date. We can only ask for a new one through the IRS website if it's missing or lost. The IRS can schedule a payment for you in the meantime if you verify certain information. For safety reasons, your PIN must be mailed and can't be given to you over the phone. Here's an article you can refer to for more details on how to enroll in Electronic Federal Tax Payment System (EFTPS).

To see the detailed steps on how you can change your password in QuickBooks Desktop to match your new EFTPS Internet password, check out the update your EFTPS Internet password link. Also, make sure you have the most recent payroll update to avoid any disruptions when processing your E-file/E-pay in QuickBooks.

Once you have the 10-Digit PIN, we can enter it in the Enter agency login information screen when filing forms electronically. Here's how:

  1. Go to Employees and click Payroll Center.
  2. Select the File Forms tab.
  3. Click the form that you need to file and click File Form.
  4. Choose the form filing period, then click OK.
  5. Hit the Check for Errors button and fix them.
  6. Select the Submit Form button.
  7. Click the E-file button.
  8. Enter the 10-Digit PIN.

I also encourage checking the Remember my information for next time box. This way, you can file your forms without entering the PIN again.

EFTPS 4digit pin and 941 e-file 10 digit pin not carrying forward

RCV,

My issue is with the E-file 10 digit PIN. I thought I clearly stated that. I don't need instruction on how to e-file. I'VE BEEN DOING IT FOR 9 YEARS!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!

My E-file 10 digit PIN has been saved in QB Desktop for 9 years. As I said, when I attempted to send the 2021 4th quarter 941 yesterday, my PIN has disappeared. My subscription was upgraded to QB 2022 o/a 10/13/21. I upgraded to Enterprise o/a 12/16/21.

If you don't know the solution, please escalate to someone who does.

Same Problem for my company.  The 10-digit PIN for e-filing quarterly tax returns (941) was deleted with the upgrade to QB22 Enterprise Desktop.  Can we recover the PIN within QB?

I appreciate you joining in this conversation, @JustinWarner. IRS provides the PIN when you enroll for electronic filing. Hence, you’ll need to reach out to them for a PIN reset.

You'll then receive a letter from them within 7 to 10 banking days after your request.

I've got you some resources that can guide you on paying and filing federal and state payroll taxes successfully in QuickBooks:

I shouldn't need the IRS.  I saved the PW in QUICKBOOKS.  It was was deleted by QUICKBOOKS during the upgrade.  It was stored in the 2021, 2020, 2019 versions.

Hi @JustinWarner,

I know how beneficial being able to e-file or e-pay without entering the information manually. Allow me to chime in and share clarification about the issue in QuickBooks Desktop.

Right now, the ability to carry over the EFTPS login information when upgrading to the 2022 version is unavailable. You'll need to manually re-enter your PIN and Internet Password again into the system.

Our product engineers have already fixed the issue moving forward. After entering the login details, please make sure to select the "Remember My Information for next Time" option (see screenshot below).

If you lost the PIN mailed by IRS or forgot the details, you'll need to reach out to them. They'll be able to assist you with retrieving the pin information.

For more information, as well as steps on how to update your internet password and recover PIN for EFTPS, I recommend the following article: Update your EFTPS Internet password.

Please know that you can reach out to me anytime you need assistance with the payroll features in QuickBooks. Take care.

EFTPS 4digit pin and 941 e-file 10 digit pin not carrying forward

ORMIC-

Did you ever get this resolved?  All I'm trying to determine is if a 10 digit PIN was ever issued to the new company I work for.  They used a payroll company for a number of years before me and don't know if they ever applied for one.  I've called 8 different numbers at the IRS and their Efile Help Desk can't even help me!

Were you able to find your 10 digit PIN?

this is not fixed, QB Desktop loses forms and does not remember 10-digit pin information... I noticed my Q2 2022 941 form was just 'not there' when i did my Q3 today...  My accountatn was initially concerned with me nto having all the forms for last years filings, until I explained it was QB desktop, and he said he sees it all the time...  now I have to manually spend an extra hour every quarter verifying copies of forms are saved on another PC, as QB Desktop is prone to losing them

Thank you for joining in on the thread, MikeMakesWhisky.

Based on records for INV-63359, a fix for the PIN not carrying forward issue was already rolled out in the R3 release on November 2021.

Here's how it works. After one changes his Internet password on the EFTPS website, he has to uncheck the Remember My Information for Next Time checkbox on the first payment with the new credential. He will only need to put a checkmark on the said checkbox on the next payment, and at that time QuickBooks will remember and carry the internet password and PIN forward.

About the missing form, I would recommend contacting our QB Desktop Payroll Support so they can investigate this behavior. They can use more tools to check this is a more secure environment.

We're always available for any additional questions you may have. Take care.

@AlcaeusF   RE: Right now, the ability to carry over the EFTPS login information when upgrading to the 2022 version is unavailable.

That was an option?  And, Intuit took it away? Why did Intuit take the option away and make it unavailable?

"Our product engineers have already fixed the issue moving forward."

WRONG! It is still happening. And please don't ask/tell me to "select the "Remember My Information for next Time" option". It's been selected since I first used QB in 2013.

FIX IT !!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!!

@JessT I went to file a form that has filed successfully for over a year since QB reinstall(to fix another problem) , and found that it did not remember my 10-digit PIN, so either you are accusing me of lying or it is currently broken...  take your pick

Thanks for getting back with the Community, MikeMakesWhisky.

I've reviewed our solved investigation about EFTPS information not saving while using QuickBooks and can confirm Intuit's Product Investigations team has noted a solution on the case which details how to fix it.

Your new pin won't save the first time. Instead, it will only save after your second transmission.

Here's how to change the password when making an e-payment:

  1. From your Payroll Center, access the Pay Liabilities tab.
  2. In the Pay Taxes & Other Liabilities section, choose a federal liability, then click View/Pay.
  3. Verify your E-payment option is selected and hit E-pay.
  4. If Remember My Information for next Time is ticked, untick its checkbox.
  5. Enter the 4-Digit PIN, then your new EFTPS Internet password.
  6. Enter any other necessary details.
  7. Select Submit.

Next time you go to make an e-payment, re-enter your 4-Digit Pin and EFTPS Internet password, then turn on Remember My Information for next Time and proceed as normal. Your information will now be updated and saved for future access.
