Employee paystub on iPhone

2022 update and now employees with iPhone's get the paystub as a winmail.dat file and can't open their paystub, why isn't it coming in as a pdf?

Let's get the employee paycheck file fix, @wdrilling.

I have various steps to ensure your employees receive their paystubs in PDF format using their iPhones.

Are you using Outlook as your email provider? If so, your employees will encounter this issue when the recipient's email client is unable to receive a rich text format (.rtf).

To fix this, let's configure your Outlook format. To do this, follow the steps below:

  1. Open your Outlook and click the File menu.
  2. Select the Options button and choose Mail
  3. Change the Compose messages in this format into HTML or Plain text. Thus, Outlook will prevent attaching a Winmail.dat file when you send an email.
  4. Click OK

After that, re-send the paycheck to your employees to verify if it's performing well. If the issue persists, I'd suggest using another email besides an Outlook email. Here's an article for more information and the steps on how to set up your email service in QuickBooks Desktop.

If you're using a different email provider, please let me know in the comment section. This way, I can provide the most appropriate troubleshooting steps to fix the issue.

In addition, QuickBooks created an account intended for employees. From there, they can see their paystubs and W-2s online. To know more about the process, click this article: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s and more.

Appreciate the update, @wdrilling. I want to ensure your employees can receive the PDF file of their paystubs.

Since the issue persists even after following the suggestions above, I recommend contacting our Payroll Care Team, work with one of our specialists to pull up your account on file. Letting our product engineers investigate why the paystubs' files are incorrect format.

I want to include that reaching out to our Customer Care Support is best during business hours from 6 AM-6 PM PT Monday-Friday. Use this link for the contact details to connect with our team online: Contact Payroll Support

Let me know in the comments below if you've got questions about payroll and paystub. I'll be here around and ready to lend a hand. Take care always!

Have there been any updates to this issue? We just upgraded to 22 and now my employees with iPhones cannot open their paystubs. My outlook is already formatted as you suggested. What can we do?

I appreciate you upgrading your subscription, @chanlee. I can provide some information about the issue you encountered with the workforce in QuickBooks Desktop.

QuickBooks Workforce is free and provides your employees with instant access to their pay stubs and W-2s.

Since you mentioned that you upgraded your account to the latest version, you'll need to set up a company file for QuickBooks Workforce admin and re-invite them again.

Here's how:

  1. From the menu, select Employees, then Manage Payroll Cloud Services.
  2. In the Payroll Cloud Services window, under QuickBooks Workforce, toggle the status to ON.

For additional information, visit this article: Set up QuickBooks Workforce for your QuickBooks Desktop

Then re-invite employees; check out this article for the detailed steps: Invite your employees to QuickBooks Workforce

I'm including this page that you can share with your employees once they accept your invitation: Learn how to see your paychecks, W-2s, and personal info in the Workforce

Looking forward for your reply. Have a pleasant day ahead!
