If I went through the process, then the IRS said that it had already been asigned previously, can the hotline help give it so I can file w2 sooner than later?

It will take 7-10 banking days to get your 10 digit pin from the IRS, jcberg.

 

You'll have to contact the IRS to retrieve your pin or check the status of your enrollment. Learn more about the E-file 10-digit PIN here.

 You’ll need to contact the IRS to retrieve your 10-digit pin, @elsenorg.

 

Once your client enrollment is approved, IRS will provide them a 10-digit PIN that they need to enter every time they e-file a Federal Forms.

 

However, the IRS has certain rules to follow before they provide you a PIN. To learn more about this, you can refer to this article: Use an On-Line Signature PIN to e-File Employment Tax Forms.

Once you’re all set, you can now e-file your client's 4th Quarter return.

The 10-digit PIN is obtained after enrolling in the IRS e-File Program. If didn't receive the details, please contact the IRS so they can provide the PIN for you.

 

You can ask for a new one through the IRS website if it's missing or lost. Once your enrollment for E-file services is approved, IRS will provide you a 10-digit PIN that you need to enter every time you e-file Federal Forms in QuickBooks Desktop.

 

In QuickBooks, make sure you have the most recent payroll update. This is to help prevent any disruptions while processing your E-file/E-pay in QuickBooks.

I'm stuck in this viscous cycle.  I did an upgrade to my Quickbooks and now my 10 digit pin is no longer typed in when I go to electronically submit my 941 for 2nd quarter.  I have called the IRS, who tells me they don't supply the pin and that it comes from EFTPS.  I called EFTPS and they said the IRS has the 10 digit pin.  I called a different number for the IRS who said they don't handle it and gave me back to the original IRS phone number I called.  That IRS representative told me Quickbooks gives me the 10 digit pin.  This is ridiculous! Every call is an hour or more hold time. How do I get someone to send me the 10 digit pin?

This isn't the experience we want you to have, LizAsher1.

 

You'll receive a letter containing your 10-digit personal identification number after signing up for E-file services (PIN). If you've never received or have lost it after receiving it, I recommend contacting the IRS E-file services to reset your pin.

 

Here's how:

 

  1. Get the IRS number for lost pin through this article: Set up Federal e-file and e-pay in QuickBooks Desktop Payroll Enhanced.
  2. Choose option 1 and then for E-file questions.
  3. Ask for the 10-digit PIN department when you speak with an IRS representative.

 

After that your pin will be mailed to you within 7-10 business days.

I am a staff accountant for a CPA firm. I have been manually filing Form 941 for several employers. I am trying to get a 10-digit pin to efile this form. Can I use the same number for all employers? or Do I have to have a separate 10-digit pin for each employer?

Hi beckyc1,

 

Yes, you can. We don't need a separate PIN when filing their payroll tax forms. I'll share with you what to do so you can prepare and submit their form 941.

 

We have to register as a Reporting Agent on the IRS website. For the employers we plan to e-file, we'll need to complete and submit IRS Form 8655. We can download a copy of IRS Form 8655 at this link: IRS Form 8655. On page 2, there are directions for filling out the form. 

 

Then, create an IRS e-Services account. To access the application and understand the requirements, we can go to the IRS e-Services website. Please note that a username, password, and PIN you use to access your e-Services account must be created when you set up your account. Once done, submit your application. 

 

Once you pass the suitability check process, you can now e-file form 941. Here's how:

 

  1. Select the Employees menu, and select Payroll Center.
  2. On the File Forms tab, select the version of the appropriate form with For Reporting Agents in the title.
  3. Select Create Form.
  4. Enter and review the required information.
  5. Select Submit Form.
  6. In the Print/E-File window, select E-File Federal Form.
  7. Enter the requested information, including your EFIN and your e-Services PIN.
  8. Select Remember my information for next time to save your information and auto-populate these fields the next time you access this dialog.
  9. Select Submit.

Nice to see you here in the QuickBooks Community! I went ahead and double-checked the links, and they seem to be working from my end. Let's go ahead and have you clear your cache to remove interruptions that are affecting your browser. Clearing the cache will eliminate any corruptions, allowing the page to load a clean copy. Depending on your browser, follow this link to clear those cache.

 

Another solution I would like for you to take if you are still experiencing this issue is to use a different browser to see if this situation happens on all platforms.

The 10-digit E-file PIN has no time limit. If it is lost or missing, the only way to get a replacement is via the IRS website. To route you, please click this link: https://www.irs.gov/help/telephone-assistance.

The quickbooks employees are leading you in the wrong direction. I called the IRS and they told me that a lot of Quickbooks customers are being told to call them, but this is bad advice. You apply for your 10-digit PIN through Quickbooks. Quickbooks sends your application to the IRS. Just do the following:

Enroll and set up e-file

Step 1: Set up your federal filing method

  1. Go to Employees, select Payroll Tax Forms & W-2s. Then select Process Payroll Forms.
  2. From the Other Activities list, select Manage Filing Methods
  3. Select Filing Methods. Select a federal form (Federal 941/944/943 or Federal Form 940), then select Edit.
  4. Under “Select how you want to file the Form…”, select Filing As Responsible Individual (Owner/Partner/Corporate Officer) for a single FEIN
  5. Select E-file, then select Finish.

If you haven’t enrolled in the IRS e-file program, continue with the steps below:

Step 2: Enroll in the IRS e-file program

  1. Under the Filing Methods screen, select Enrollments.
  2. Select IRS, then select Edit.
  3. Follow the on-screen instructions, verify your EIN, and enter your company’s legal name and address. Then select Next.
  4. Enter the name, job title, email address, and phone number of the person the IRS can contact about your enrollment and your payroll tax forms. Select Next.
    Note: This person must be associated with your company and not be a third-party provider or accountant. 
  5. Select Send Information.

The community QB is of no help with this AT ALL. When I click on it, it takes me right back to the same thing, to sign in. This has been so frustrating over the years that I just mail my report and payment in via snail mail. QB needs to make their information a LOT easier. Especially with the pricing going up so much each year!
