One company EIN, two locations, two payroll bank accounts

I have one company, with two different locations. They operate under the same EIN #, and I keep one company file for them using classes in QBs desktop. I'm having a problem when running payroll. Each location is on the same payroll schedule, but I want Location A payroll to come out of their operating account and Location B payroll to come out of their operating account, respectively. I run two separate payrolls, and QBs gives me the option to choose which operating bank account to draw from but each time, even though I select the respective account, payrol is still being drawn from Location A's bank account for both payrolls, causing the owner to have to transfer funds between accounts. This is getting frustrating for him, and me. Why give the option to select the operating account if it can't be done? The reporting, W2's, etc are all under the same EIN # and I want one file so I don't have to manually combine quarterly reports. Is this doable? Am I missing something?

(We use QBs Desktop Pro version)

It's doable to use two bank accounts for payroll if you don't use direct deposit. You'll just have to select an account when you create paychecks.

 

 

If you use direct deposit, we're unable to use two different bank accounts.

It's doable to use two bank accounts for payroll if you don't use direct deposit. You'll just have to select an account when you create paychecks.

Thanks very much for the information. I do use direct deposit, and can't alter that, as the other location is several hours away. Paper checks are not practical. So, it looks like I'll need to use a different payroll service. Very unfortunate. :(

I do have several clients that use alternate providers. Still a proponent of QuickBooks, always will be :)  I just wish they provided a more personalized product, or at least accepted suggestions for product improvements, this issue can't possibly be unique to one client ever. I do understand there could be opportunity to misuse a feature like this, but just seems like there would be a better way than antiquated paper checks.

And if I am not mistaken, the OP said they were using Desktop Payroll, not QBO or ONline Payroll so for them it should be quite simple to change the account when running each location's payroll

Hi,

 

I'm not sure where the breakdown occurred but I AM using QB's Desktop.  Do you think the respondent was thinking I was in QB's Online, and you're thinking the feature is available in Desktop?  ....because I have desktop, this is where I'm looking for a solution.  If it's in Desktop, do you know how I find it/change info?  When I run payroll, I DO see the option to change the bank accounts, respectively to each location, and I hit the dropdown to select the bank account for each one, but the funds (for both payrolls, both locations) are still being drawn from Location A bank account, even though I've "told" QB's otherwise when I run payroll....

Ideas?

Thanks for the info and link. I took the steps in the link but all it's allowing me to do is edit the direct deposit account, it will still only support one account to be drawn from 😢

I appreciate the response though!

This is quite the deficiency in QB.  I process client payrolls where they have a separate UBIT business from their non-profit org and payrolls are paid from each.  I guess I am not understanding why programmers cannot figure this out.  Why should the employees form one checkbook not be able to have a direct deposit?  Please fix this.

We can only use one bank account for each EIN, tracy21.

 

This is the reason why, we're unable to have a direct deposit and a check under the same Employer Identification Number (EIN). With that said, I'll personally share this product idea with our developers. They'll analyze this suggestion and may be added to our future updates.

If I go and edit the bank account associated with each direct deposit so I can run each employee's payroll, does it make me do the verification process each time?  Or will it allow me to toggle between the two checking accounts?  

A headache for sure but better than having to give them a paper check.

QuickBooks needs to check if the bank account is active whenever we update the bank account. Therefore, there will be a test debit transaction everytime we change it. We need to verify it before we can run a direct deposit payroll.

 

Also, you can always issue a paper check to your employees. You can also visit this guide on how to create paychecks. This will walk you through on how to process payroll in QuickBooks Desktop.

Has any progress been made on this?  I have several VENDORS who are paid via direct deposit so that means those payments come out of our payroll account, not the general operating account. I would love to have nothing but payroll be deducted / paid from the payroll account.

I'm happy to assist you with your concern today.

 

QuickBooks will generate an account that matches the bank account used when setting up a direct deposit for your vendor. So, it might be the account that is connected to your bank is the payroll account.

 

So, you'll need to change the account in the Account Maintenance window. You can follow these steps on how:

 

  1. Go to the Employees menu.
  2. Choose the My Payroll Service option.
  3. Select Account/Billing Information.

Change the account in the Account Maintenance. In that way, your payroll will deduct/pay the account you use in that window.

You are not understanding --- yes it is attached to the payroll account because that is the only option ---you can not have one account for vendors  and another for payroll direct deposits.   That is the issue we all would like to see corrected . The ability to pick DIFFERENT accounts

I received a bill from the IRS stated that I owe them for unpaid taxes. My company's name is Little Regina Trucking LLC and we are using Chatos EIN which is [removed]. Why would I still owe them money?

It's possible some taxes are still unpaid that's why IRS sends you a bill notification. Let's verify it by running the Payroll Liability Balance report to ensure you don't have outstanding taxes.

 

Here's how:

 

  1. In your QuickBooks Desktop, go to the Reports menu.
  2. Select Employees & Payroll, then choose Payroll Liability Balances.
  3. Choose the appropriate date of the report.
  4. Then, verify if there are some unpaid taxes.

If all your taxes are paid, I suggest reaching out to the IRS to know more about the bill notification you received.

 

Also, may I know if the taxes are paid manually through QuickBooks or electronically? Any additional information would be greatly appreciated.

I am in agreement with the others above who would like to see Quickbooks Desktop offer the ability to pay vendors via Direct Deposit using one bank account, while being able to pay employees via Direct Deposit using a completely different bank account.  It is not logical to assume that all companies want their Direct Deposit payments to originate from a single bank account, regardless of the purpose for the Direct Deposit payment. 

 

As has been stated, as users we would like to have the ability to pick DIFFERENT bank accounts for the various types of ELECTRONIC bank transactions that will be originated.  We don't want to be forced to use paper checks in order to pay vendors from one bank account and employees from a different bank account.

It's been nearly two years since this issue was raised. Why has no viable solution been presented from QuickBooks? We want to pay our employees out of our payroll account and pay our vendors out of our general account. Why is that not possible with direct deposits?

I agree, why has this not been addressed?

 

The interesting thing in this is that the other "do it yourself" payroll companies (patriot, gusto) cannot do it either.  And if you have ADP or Paychex they can do it but you have to have a second account.  I did talk with the ACH association and they said there is no "rule" that would disallow this.  

 

My main question is if I pick different checkbooks in QB why on earth can I not choose different bank accounts for the money to actually come from?  This seems so crazy as to why this cannot be done.

 

I just want a straight answer from someone.   Is anyone listening from the American Payroll Association???

As mentioned by my colleagues above, QuickBooks is generating an account that pairs the bank account used for direct deposit.

 

For now, you can directly send feedback to our product engineers by going to the Gear icon, then selecting Feedback. This way, they can review your suggestion and consider it based on the number of requests and its impact on the product.

I started using Kotapay for my payroll needs (I was the original poster in the thread) and it's worked out to where I can use two different payroll accounts.  There is still a bit of extra work with this, I run one location through Jolokia (an app of Kotapay) and the other through Kotapay, both from my Drake Tax & Accounting software.  (As a tax preparer, this wasn't an additional expense, just part of the software that I already purchase) 

This has proven to be quite simple, effective, and it's saved my client a LOT in payroll processing fees.  We're talking pennies compared to what QB's charges for basic service.  Besides, QB's still isn't offering a solution so I'll keep putting all my clients into KotaPay.

I will echo all comments above. When QB checks your company file for conversion where there were payroll transactions out of two different accounts, a flag should go up that QBO is not for you. Instead, you get to go through multiple setups days of bookkeeping to find out that you are basically screwed.

 

In our operation as a Chamber of Commerce, we also hold a charitable gaming license for Bingo. Bingo employees, by law, must be paid out the charitable gaming account and not the operating account where the remainder of our employees are paid from. It has worked fine in the Desktop version. And now, nothing. Notta. Can't do it.

 

Please fix this or at least tell people about it before they waste HOURS setting everything up.

I am an accounting firm in MN who services charitable gambling organizations and there are a ton of organizations looking to pay employees from two different bank accounts. This is extremely frustrating. 
and QB, please don’t patronize us by saying you’ll forward this or look into it or you are sorry.
