Emailing Invoices Crashes the Program

For the 2nd time in as many months the "Emailing Invoices" crashes QuickBooks Desktop. 

 

I uninstalled and reinstalled all possible programs then contacted Intuit.  After a couple hours on the phone they acknowledge there is a problem but in 2 days they have not come up with an answer.  THIS IS MISSION CRITICAL.  I cannot function without it, but Intuit does not seem to have the same priority levels.

 

When Sending an Invoice or simply checking the "Send Forms" preference, I receive the following error:

 

Quickbooks- Unrecoverable Error and qbmapi64 "Out of memory"

Hi @SoftwareTeacher,

 

Being able to email invoices is imperative to a business. Are you using Outlook as your email provider? If so, we have an open case about QuickBooks is unable to send emails to Outlook. As a workaround, you'll want to use Webmail.

 

Let me guide you how:

  1. Go to Edit, then Preferences.
  2. Choose Send Forms, then select the Web Mail radio-button.
  3. Click Add, then enter another email provider.
  4. Hit OK.

If you're not using Outlook, you can run the QuickBooks File Doctor. This tool fixes company file issues. Please see this article for the detailed steps: Fix company file and network issues with QuickBooks File Doctor.

I am not convinced this is a resolution to the problem. The issue is an ongoing one. I reached out over a month ago with the same issue using Outlook (on other occasions dating back to 2016) so, they helped me change to webmail. Now the webmail setting is not working. They keep changing it back and forth. This is very frustrating! I have not been able to properly use the 2019 Desktop Pro version without hiccups since I bought the program. My Dell is only a few years old and all other programs work fine on it. Also, any time you ask for help they say pay us a $100 and we will help. Ridiculous! You pay for a program that they designed but "they" can't even keep their programs working efficiently. Don't worry they will up the prices every year to force you to move to the cloud based software to get better compatibility. I am not happy with this program.

I understand the importance of being able to send invoices seamlessly. As I've checked from our records and found a new investigation about this error when emailing forms and transactions from QuickBooks Desktop. Our engineers are now all hands on deck working together to fix the problem as quickly as possible.

I am having the same issue. The tech I spoke with yesterday told me to save the invoice as a PDF and then send from my email. The problem with that is I have several clients that pay with credit card. When I do it this way there is not a link to pay online.

I've checked here the investigation about the error you're getting when sending an invoice. I’d like you to know that this has been raised to our engineers to understand why this behavior is happening.

 

Since you already contacted our technical support team, then that means you've already been added to the list of our affected users. You'll receive an email notification as soon as there's an update on this investigation.

 

In the meantime, you can manually receive or record an invoice payment in your QuickBooks Desktop. Also, you can contact merchant services to process credit card payments.

We are having the same problems, however it's not just when emailing the invoices, it's also when I go into preferences to try to switch to single user. I have contacted support on numerous occasions but to no avail. They just keep telling me to buy the upgraded QB subscription. This is ridiculous. I can't work with this, it's costing me money to investigate why this is happening, to talk to help on the phone for 3 hrs and not able to get the work done.

  Please fix this ASAP!!

I'm adding some troubleshooting steps to fix the issue with emailing invoices as well as switching to a single-user mode in QuickBooks Desktop.

 

If you haven't tried running the QuickBooks File Doctor from the QuickBooks Tool Hub, I suggest doing so. This helps fix common errors. QuickBooks needs to be closed to use the tool hub.

This is happening in Quickbooks 2020 Desktop. For gmail as well as outlook.

Your support is horrible. But you're aware of that Im sure. The work arounds dont work. Give an answer to the question don't tell us to read another forum.

Hello I am having the same issue using the email feature tied to my GMAIL account. I dont have an issue printing hard copies or printing to PDF.

I am having the same issue but in QB'S desktop 2021. I cannot email invoices connected to my GMAIL account. I can print hard copies and PDF's just fine. Emailin invoices crashes quickbooks each time.

I'm here to help you fix the email issue you encountered.

 

First off, let's ensure you're using the latest release of QuickBooks Desktop. Then, try to send a test transaction to yourself. 

 

If the same thing happens, I'd suggest you check your email settings as there could be some settings and filter preferences that block your emails from QuickBooks Desktop.

 

Also, please make sure to enable access for less secure apps and set access preferences for specific apps like QuickBooks.

 

Additionally, antivirus software can block connections. This could the reason for this issue. Check your antivirus settings, then email yourself again to check if there's a difference.

 

If the issue persists, I suggest reaching out to our Customer Care team to request further investigation. Here's how:

 

  1. Go to Help, then select QuickBooks Desktop Help.
  2. Select Contact Us.
  3. Enter "Send invoice email", select Let's talk and then choose a way to connect.

I am having the same issues with QB Pro Plus 2021 crashing when trying to email invoices.     I have contacted customer support multiple times that ultimately reroutes me back to this forum, problem unresolved.  Evidently, this appears to be an ongoing issue that I would expect that Intuit would have already addressed and fixed by now.    What is the hold up?    An accounting software with key features of invoicing and receiving payments that does not work is useless and beyond frustrating.

This is not the impression we want you to experience when emailing your invoices. I've got some steps we can perform to get this sorted out, MNM25.

 

I've checked our records and there's no reported case about this one. I appreciate the time and effort you've spent with our chat support agents. I'll personally share your feedback with our Customer Support Team regarding this one. We'll be able to take action on improving our customer service. Let's try opening another company file to check if you're having a problem with only one file and not the program itself. Let me show you how:

  1. In your QuickBooks, go to the File menu at the top left.
  2. Choose Close Company.
  3. In the No Company Open window, click the drop-down arrow in the Open a sample file icon.
  4. Choose another company file with an invoice template and click on it.

 

Then, try emailing the invoices again. If it works, there may be a damaged data on the company file you've been working with. We can run the Rebuild Data tool is built-in to fix any company file data issues. Just follow the steps and detail in the Fix data damage on your QuickBooks Desktop company file article. Same issue here with QuickBooks desktop 2020 , every time i send an invoice by email .

Out of Memory ???  Has been doing this off and on for the last year, really frustrating. I have been saving as PDF and sending by email but I should be able to just click send and have it go.

 

Some suggestions say to change email preferences , however I get the same Out Of Memory error as soon as I click on the "Send Forms" link under preferences. So I cannot change anything there ??

Have downloaded all the updates from windows and QuickBooks..

 

Any Ideas ??

Possible reasons why you are encountering this issue:

 

  • There may be updates with your Windows Operating System.
  • Need to update your QuickBooks Desktop (QBDT) to its latest release

 

Since  you've downloaded all the updates from Windows Operating System and QuickBooks updates, we can run the Verify and Rebuild data in your QuickBooks Desktop. 

 

  1. Choose Window then Close All.
  2. Verify Data. Choose File then Utilities. Select Verify Data.
  3. Then, go back to the File menu, Utilities then Rebuild Data.
  4. You will receive a warning message to backup your company file, press OK.

If the same thing happens, I would recommend giving us a short call to check it further. We'll need to pull up your account in a secure environment then run a set of examinations.

 

Within your QuickBooks Company file, select QuickBooks Desktop Help from the Help menu. You can also press F1 on your keyboard to bring up the same Help panel. Rebuilding data did not work , actually worked once then crashed to "out of memory" again.

Which is what is has been doing off and on , failing more than actually working.

Just surprised that with all the issues I see with this error online , that this does not have a solid fix yet.

It is a great feature , many customer are requesting email invoices and it just does not work anymore. It was great for a few years, I believe it started with a QB update . Not sure exactly when , just have no time to mess with it. Definitely no time to call and troubleshoot it over the phone , at the moment , this is taking up enough already. Hope you figure it out soon....

The support team has been rude and wants to charge me to fix this problem! I don't use outlook or microsoft office on this computer, so don't blame them for this. I haven't seen a single person say that they have had this fixed since at least 2020! Today is April 2, 2022!!!

I see you've gone the extra mile with restarting the program and there are other troubleshooting methods we can try. Another method of troubleshooting this would be using the QuickBooks Tool hub. The Tool Hub helps fix common errors n QuickBooks Desktop. For best results, I'd recommend using Tool Hub on Windows 10, 64-bit. Here's how you'd use it:

  1. Close QuickBooks.
  2. I recommend downloading the most recent version (1.4.0.0) of the QuickBooks Tool Hub. Save the file somewhere you can easily find it (like your Downloads folder or your Windows desktop). Note: If you've already installed Tool Hub before, you can find out which version you have. Select the Home tab.  The version will be displayed on the bottom right or you can select About to view the version.
  3. Open the file you've just downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install and agree to the terms and conditions.
  5. When the install finishes, double-click the icon on your Windows desktop to open the tool hub.

Same error as documented dating back to 2020 in this feed. Spent two hours on the phone with intuit after paying to upgrade to 2022 as we were forced to do. You can not change your email because the program crashes every single time you click on edit preferences and send forms. You can't even get to the email line to try and change it before it crashes. Intuit answer was i need to add more than 16 GB of RAM to my computer eventhough my computer has nothing else running and the task manager shows 6% of my disk space being used and 23% of memory. This error was present in 2019 only if you tried to update the email. But now is present with any attempt to email a report just like the people complaining about emailing an invoice. I'm just waiting for it to be the same when I attempt to send my payroll in this supposedly updated program. I have run every update, tool doctor, file doctor there is This needs to be fixed

I recommend running the Verify and Rebuild tool. This checks your company file for any errors and fixes them right away. 

 

Here's how:

 

  1. Go to the Window menu and select Close All.
  2. Click the File menu.
  3. Select Utilities.
  4. Click Verify Data.

 

To Rebuild:

 

  1. Go to the File menu.
  2. Select Utilities.
  3. Click Rebuild Data.

This is nonsense---this has been an ongoing problem for at least 2 years that I know of (I use gmail)----there is no excuse for not resolving this much sooner. If I had an alternative to QB if would jump on it.
