Error: this action requires windows administrator permission

HI Team

I have two requests to make

1. We have been facing a recurring issue with QB desktop. When users try to login to QB they get the error, " this action requires windows administrator permission" and then it does not allow anyone to login until an admin having access to server logs in. This most of the time happens on the Mondays. We are not sure why this error is coming and what could be a permanent resolution to it.

2. Also, can anybody help with a regular maintenance schedule that QB desktop with 2023 and 2024 version.

Kindly advise.

Thank you

Basanti

Resolving the error you're getting is my priority to prevent it from happening again, Basanti.

The error message, “This action requires Windows administrator permissions” while using QuickBooks means that your current user account doesn't have the required privileges.

Let's make sure the access folder is in multi-user mode and that the correct Windows permissions are set. To view the summary of the restrictions configured for a user profile, click on the user and then select View User.

To verify the permission is configured correctly, follow these steps:

  1. Open the Windows Start menu and then open File Explorer.
  2. Right-click on the folder that contains the company file, then select Properties.
  3. In the Properties window, go to the Security tab and select Advanced.
  4. Choose QBDataServiceUserXX and click Edit.
  5. Set the following settings to Allowed:
    •  Traverse Folder/Execute File
    • List Folder/Read Data
    • Read Attributes
    • Read Extended Attributes
    • Create Files/Write Data
    • Create Folders/Append Data
    • Write Attributes
    • Write Extended Attributes
    • Read Permissions

If your permission isn’t correctly set, follow these steps below:

1. Right-click the folder where the company file is located, and then choose Properties.

2. Click on Security and then on Edit.

3. Look for QBDataServiceUserXX and grant Full Control permission by selecting Allow.

4. After making the changes, click on Apply and then on OK.

6. Change folder permissions.

7. Set Windows access permissions to share company files.

For more detailed steps, you can check this article: Set up folder and Windows access permissions to share company files

On the other hand, can you tell me more about the regular maintenance schedule you're referring to? Are you experiencing regular issues while working with QuickBooks? If that's the case and to avoid this from happening in the future, let's make sure to update your QuickBooks to the latest release to keep QuickBooks updated, avoid any issues and get the latest features and product improvements.

I've added this article to help you learn how to fix issues when you can't open QBDT in the future: QuickBooks Desktop won't open.

Get back to this thread if you have more questions about admin permissions in QuickBooks. I'll be available to offer any assistance you may need.

@Basanti

Also, can anybody help with a regular maintenance schedule

What do you mean with ä regular maintenance schedule"?

Hi,

Regular updates I mean that we have by default ON. I believe QBs has some schedule to these updates like every weekend or biweekly etc. So would like to know if there are some maintenance windows or maintenance schedules.

Kind regards

Basanti

Hi

When you say QBDataServiceUserXX is this an admin user? or are you referring to regular business users?

FYI - Our admin user has Full Control.

Kindly advise.

Thanks

Thanks for your response, Basanti. Let me provide some information about QBDataServiceUserXX.

QBDataServiceUserXX is a system user account created by QuickBooks Desktop to run its services. It manages company files and performs various data-related tasks within the software. Because of this, I recommend correctly setting this system user's permissions. You may refer to my colleague's response above for guidance.

Additionally, I suggest running QuickBooks as an administrator. To do this, follow the steps below:

  1. Right-click QuickBooks Desktop.
  2. Select Run as administrator to bypass the permission issue.

Furthermore, enabling regular updates for QuickBooks Desktop ensures you can access the latest features and product improvements. You can check for software updates, and if you choose to do so manually, you can do the updates based on your business workflow.

You can also browse through these resources for your reference:

You may want to organize your team members by assigning them particular roles and access privileges. Here's a handy guide: Create and manage users and roles.

I aim to provide assistance and ensure you have the support you need, Basanti. If any other system permission issues arise or if you have more questions, please feel free to reach out to the Community. We're here for you.

Error: this action requires windows administrator permission

Hi

I did check the articles and checked the permissions set up in our app. I see the system admin user has full control. We also have automatic updates on and do not have the option to switch it off.

As the user has full control, I am not sure why the error is coming up quite often. Any suggestions please.

Kind regards

Basanti

We have corrected almost all except the 350 error. When checked with our business they have said that this 350 is not a dummy invoice rather a genuine invoice. We are not sure why it shows as dummy invoice. I tried to reach the Flex but there is no option to create a ticket.

Thank you for trying those steps and following up with the results, Basanti.

Since you're still experiencing issues with your data and the invoice, I recommend reaching out to the QuickBooks Desktop Support Team. Agents have specialized tools, like the ability to share your screen, to take a more in depth look at what's causing the problem. They'll also be able to get this escalated for you if need be. Here's how to get in touch with the team:

1. Go to Help, then select QuickBooks Desktop Help/Contact Us.
2. Select Contact Us.
3. Give a brief description of your issue, then select Continue.
4. Sign in to your Intuit account and select Continue and then Continue with my account.
5. We'll email you a single use code. Enter your code and select Continue. (If you have more than one account, select the account you want to use and then Continue.)
6. Select to chat with us or have us call you.

The following article provides these steps if you ever need them again in the future: Contact QuickBooks Desktop Support

Please feel free to reach back out if you have any other questions. I'll be here to help in any way that I can.
