When I do a Ctrl-1 and check my list information, it shows I have 249 employees when in actuality I have a total of 44.  I get this number by going to the employee list, selecting all employees anddo the count.  How does QB come up with the higher number?

I can share information about your employee list in QuickBooks Desktop (QBDT).

 

In QBDT, pressing F2 or Ctrl+1 will open the Product Information window. This is where you see all the information on your QBDT.

 

It's possible that you have inactive employees in your file. To verify this, let's go to the Employees menu. Here's how to do it:

 

  1. In QBDT, go to the Employees menu at the top, then Employee Center.
  2. Proceed to the Employees tab, then select All Employees in the drop-down.
  3. An inactive employee is indicated with an X mark.

Yes, I'm including inactive employees in my count.  List number with Ctrl1 still says the higher number when my count says 44.

Let's ensure QuickBooks Desktop shows the correct number of your employees list, WASpoke.

 

It's possible that your employees' list is damaged. That's why it's showing the incorrect number. Let's re-sort the list to fix the issue. You can follow the steps below:

 

  1. From the Lists menu, select the list you need to re-sort.
  2. Select the Include Inactive checkbox. If it's grayed out, there are no inactive names.
  3. Go to the View menu, then select Re-sort Lists.
  4. Select OK.
  5. Close and reopen your company file.
