When I do a Ctrl-1 and check my list information, it shows I have 249 employees when in actuality I have a total of 44.  I get this number by going to the employee list, selecting all employees anddo the count.  How does QB come up with the higher number?

I can share information about your employee list in QuickBooks Desktop (QBDT).

 

In QBDT, pressing F2 or Ctrl+1 will open the Product Information window. This is where you see all the information on your QBDT.

 

It's possible that you have inactive employees in your file. To verify this, let's go to the Employees menu. Here's how to do it:

 

  1. In QBDT, go to the Employees menu at the top, then Employee Center.
  2. Proceed to the Employees tab, then select All Employees in the drop-down.
  3. An inactive employee is indicated with an X mark.

Yes, I'm including inactive employees in my count.  List number with Ctrl1 still says the higher number when my count says 44.

Thank you for your reply.  I tried all these and still come up with the higher number when I do the Ctrl1.  It isn't that big of a deal but I did have to start a new QB file for this company a few years ago because their list total reached the limit.  I'm just trying to watch the total number and when this is such a discrepancy, it causes some concern.  And I'm trying to put off QB Enterprise for them as long as possible!

Based on your statement, I take it that you have already tried running the Verify and Rebuild data tools to get this resolved. You can perform this to verify and determine the most commonly known data issues within your company file if you still need to do so. 

 

Otherwise, please ensure that your QuickBooks Desktop (QBDT) is up to date. Then, we can also try the File Doctor to fix company file issues in QBDT. Here's how:

 

  1. Make sure to close QuickBooks.
  2. Download the most recent version (1.5.0.0) of the QuickBooks Tool Hub and save the file where you can easily find it.
  3. Open the downloaded file (QuickBooksToolHub.exe). Then, follow the on-screen steps to install it.
  4. Double-click the icon on your Windows desktop to open the tool.
  5. On the QuickBooks Tool Hub screen, go to the left panel and choose the Company File Issues tab.
  6. Click the Quick Fix my File.
  7. Select OK when it completes and launch your QuickBooks.
