How do I add in a convenience fee for paying by credit card?

I am evaluating QB payments vs a solution through my Bank.  This is a critical factor for me.

 

My bank system allows me to charge the convenience fee to the customer, automatically adjusting the amount if they choose to pay by credit card.  I prefer to work through QB with the direct integration, but I'm not willing to deal with adding/subtracting convenience fees to an invoice and confusing customers.

 

I see this is a concern for a lot of current QB users.  I also see a beta from at least November of last year.  Is this feature available yet?  I need to choose a payment processing company in the next few days.  I can't wait months longer for a maybe.  Please advise.

We don't have a specific time-frame yet, ADVLOGS.

 

Meantime, you can add an account and item to track customer conveniences fees. Let me walk you through how.

  1. From the Accounting, select Chart of Accounts.
  2. Click New. Then, choose "Income" under Account Type.
  3. Choose "Service/Fee Income" under Detail Type. Then, enter a Name.
  4. Click Save and Close.

After that, create a service item following these steps.

  1. Click Gear. Click Products and Services.
  2. Click New, then click Service.
  3. Enter the product/service information and choose the Income Account you created.
  4. Click Save and close.

Once done, add the service item as a new line item to your transaction. Just open the invoice and select the Convenience Fee item. Enter the amount and then Save and close.

That workaround has been posted a couple of times on this thread over the last year. It makes me wonder if the QB team really understands the issue. The issue is not adding a fee to one, two, or even a dozen invoices. Adding the fee for that number of invoices is rather easy and we would only be talking a few dollars.

 

The issue is having to manually adjust HUNDREDS of invoice each month. 

 

QB users are getting frustrated. First that a feature that should be standard is not included, then because after a year there is still not a time table to fix this issue and last because of the "solutions" being presented. 

 

I would really like to see something from QB that indicates that this is important, that something is being done.

Thank you for your reply, however, that is not a workable solution.  As NealRM points out, this is about hundreds of invoices per month, not a handful.  I also don't want to add a fee to an invoice that will end up being paid by check so I would have to somehow know in advance who will use a credit card and who won't.  I have no reasonable way to know this.

 

Many other providers offer this "no fee" feature.  Quickbooks is really behind on this.  Unfortunately, I'll have to use a different provider.  Thank you anyway.

I'm having the same issue as everybody else, wishing this was an added feature. QB boasts about making things easier to use, but not seeing it from the slow support from the QB Team. QB member please don't reply with the exact same "solution" that has been posted before. Instead here is a solution suggestion for y'all to take to your software engineers. 

Add a simple check box when creating Products and Services to "Pass on convenience charge to customer." 

If y'all are worried about the legality of it being banned in certain states, just pass on the liability to the QB user in the terms of usage agreement.

            Note: To pass on the liability, go to Terms of Usage and manually add a line in stating user is                                      responsible for the legality of the feature, and repeat this FOR EVERY CUSTOMER YOU HAVE                         INDIVIDUALLY.

It's been 15 months since this was initially posted. I believe that you are noting the ideas and suggestions, and passing them up the chain of command. But somewhere there is a broken link in the chain. I have completely stopped believing anything posted here about improvements or that Intuit cares about their customers. Actions speak louder than words typed on a page.

Will quickbooks ever incorporate a “convince fee” into their payment options from a bill that’s been emailed to a customer? Or are there no future plans of doing so?

I know surcharging clients is also a way to minimize expenses, and I'd like to share information to clear this up.

 

As of the time I wrote this reply, there isn't an announcement about adding this option in the future.

 

Please know that this practice is not legal in some states and Intuit may be subject to a card brand fine if we allow this. We also explained on statement #12 of the Prohibited Processing Practices section of the INTUIT TERMS OF SERVICE that we discourage passing credit card charges (surcharge) to customers.


"You may not add any tax or surcharge to transactions, unless applicable law expressly allows or requires you to impose such tax or surcharge. If any tax or surcharge amount is allowed or required, such amount must be included in the transaction amount and shall not be collected separately."

 

Lastly, we are in the business field the same as you, and we know this will benefit our clients who provide us income. However, we also want to be sure that we follow the applicable laws to keep the service up and running.

If I am increasing the invoice amount to include the credit card service fee, my actual service fee will be more.  If I charge a customer $8272.25 ($8000 for services and $272.25 for the 3.4% service fee and 0.25 transaction), the service fee that my company is charged from QB would be $281.51.  So, I still end up having to pay part of the fee.  Is there no way around this?

Not offering this feature may very well be the reason companies like mine are looking at leaving QBs. It’s completely impractical to have to ask a client how they intend on paying before we issue an invoice. Yet that’s what we have to do, that way we know whether or not to add in a convenience fee. I have looked at another vendor service like QBs and when a customer selects pay by credit card the invoice automatically adds a 2.9% charge there’s a small pop up to alert the customer so they can uncheck it and then choose pay by check. This should be a simple programming change, to replicate. My current invoice work around is to setup similar to the way the state sales tax is entered by service, but I still have to ask the client their pay,ent method choice. Please fix this QBs..

Then add it for the Canadian Customers. IMHO this is a major flaw in QB. The only thing preventing me from accepting CC is the lack of this feature.

Can you share the vendor service that allows the customer to check the box and it automatically adds the 2.9%.  We are also searching for a solution and will need to go outside of QB to integrate into our workflow.

The supreme court voided laws preventing credit card surcharges back in 2017. It is legal in all states. 

Nor do we really care that Intuit doesn't like surcharges, that is not relevant. We, your customers, want this feature.

 

It's clear that Intuit isn't going to add this feature. This, and many other points, are just another indication that Intuit doesn't really care about there customers so long as they pay. So after a decade of using QB, I will be looking for another accounting system. Others on this thread have also indicated they will be leaving QB. I wonder how many will have to leave before QB wises up.

For the time being, ask your customer to pay the invoice by credit card thru MP. You will get paid by bank transfer or check for free. They don't need to use QB.

The ability to include a convenience fee for paying using a credit card depends on the state you're located in. That being said, the automatic feature in applying a convenience fee in QuickBooks is not available. Although, you can add a convenience fee in the invoice line item manually.

 

Here's how to create an item:

  1. Go to the Lists menu.
  2. Select Item List.
  3. Click on the Item drop-down.
  4. Choose New.
  5. Pick Other Charges from the item type drop-down list. 
  6. Enter the necessary information.
  7. Click on OK once finished.

You can add this item when creating an invoice or a sales receipt. You can refer to this article for more detailed insights: Add, edit, and delete items.

Hi, 

 

I am working in QuickBooks Premier and processing cc's through my bank rather than through QB.  I'm simply looking to add the convenience fee on invoices.  I understand how to create a subtotal line followed by the convenience fee item.  My problem is that I want to apply the percentage to the GRAND total, not the SUBTOTAL so that I recoup the fees assessed on the sales tax too.  I have dug through a bunch of posts but just keep coming back to the subtotal solution.  Is there a way to apply a percentage based fee after the sales tax has been added in?  For complete clarity, in the example below, I want to charge the customer 3% of $2,263.71 rather than 3% of $2,061.10.  Tks in advance!Fee.JPG

As of the moment, adding the credit card convenience fee in the invoice after sales tax is not available. Also, when you process credit card transactions, including a convenience fee for paying using a credit card depends on the state you're located in.

 

What you can do is to add a convenience fee in the invoice line item manually. You can follow the steps I've shared in this thread.

Is this service going to be added soon? My company can wait no longer. If we don't have the option to automatically generate convenience fees when a customer chooses to pay with a credit card, we will have to change software providers.
