How to switch Quickbooks role from Contractor to Employee in Quickbooks Time

I have a few people that have switched from subcontractors to employees.  They currently have Quickbooks time accounts and use them.  How can we switch the role from Contractor to Employee so the time comes across from payroll.  (I have made the vendor roles for these individuals inactive)

When adding an employee as a contractor, you should enter a unique identifier, such as a syllable or character, to avoid having two people with the same name.

 

You can also change the name of the employee to a different one. Then, enter the real one for the contractor. 

 

Here's how: 

 

  1. Go to Payroll from the left navigation bar, then choose Employees.
  2. Click the name of the employee, then click Edit employee.
  3. Go to the Pay tab, then change the name.

 

Once done, go to the Employment tab and change the status of the employee when needed. Then, follow the steps in adding a contractor in QuickBooks.

Sorry you explanation confuses me.  It appears it is explaining how to change an employee to a contractor.  I need to do the opposite.

I appreciate you for coming back to the thread to add clarification about your concern about changing a contractor to an employee. With this, I'll ensure you can achieve the process by following the steps below.

 

Switching directly from the contractor role to an employee is currently unavailable. You'll have to first make the contractor inactive before the transition to an employee. This is to avoid duplicate details in your QBO account.

 

Here's how:

 

 

  1. Sign in to your QuickBooks Online (QBO) account.
  2. Click Payroll from the left menu and select Contractors.
  3. Find and select the contractor you want to change.
  4. Under the name of the contractor, click the drop-down beside Active and choose Mark as inactive.

 

Once done, you can now begin to add the inactive contractor as an employee. Beforehand, I suggest adding some characters or numbers after the name so you can save the information smoothly and without unexpected errors. Please follow the steps below:

 

  1. Go to the Payroll menu at the left panel and choose Employees.
  2. Click Add an employee button.
  3. Add your employee’s name and email address. If you want them to enter their own personal, tax, and banking info, make sure Employee self-setup is on. QuickBooks will automatically email them an invite to QuickBooks Workforce. Your employee can enter their address, Social Security number, W-4, and banking info.
  4. Click Add employee.
  5. Fill in the other necessary field.
  6. Click Save when finished adding info to a tab.

Thanks. My issue is that I have done all that. I have the contractor inactive and have the employee setup in payroll. My issue is the QuickBooks time role still says contractor. So when I export, the hours do not come into payroll. Is there a way to change the role in QuickBooks time from contractor to employee?

Allow me to chime and share additional insights on how to change the role of your contractor to an employee in QuickBooks Time.

 

Since you export the hours, time flows into QuickBooks for payroll. You can review the time mapping and verify if you set them up correctly.

 

Here's how:

 

  1. In QuickBooks Time, select the QuickBooks Payroll menu, then Preferences.
  2. Under Other Options, select Payroll Item Mapping Tool.
  3. On the Map Employees tab, choose an employee's name.
  4. In each hour type column, select one payroll item.

You are explaining how to review the mapping of an employee time. The issue is the role in QuickBooks time says contractor not employee. It must get switched to employee before mapping will work.

Changes in QuickBooks Online should automatically import into QuickBooks Time. The sync log will display (Auto) next to the automatic imports.

 

You can try to manually import in QuickBooks Time by selecting the QuickBooks drop-down, then Import. If it's still showing as a contractor, you can report this behavior by contacting our QuickBooks Time Live Team. They can pull up your account and review the settings when needed to ensure the role will show as an employee.

 

When you add new employees or contractors to QuickBooks Online, they’re automatically added to QuickBooks Time. You can find them in My Team in QuickBooks Time

I have done everything as suggested and it won't allow me to enter in the social security number and says 

That doesn't look like the right Social Security number. Take a look and try again.

To help you enter your Social Security Number (SSN) and to make things clearer. You may encounter a prompt error while attempting to input your SSN if it has been duplicated or is being used by other employees.

 

Running the Employee Details report will show you whether there are any duplicates. As follows:

 

  1. In the left panel, go to Reports.
  2. Type in employee in the search tab and select Employee Details.
  3. In the TAX INFO column check the SSN of each employee.

 

If you found a duplicate of the SSN you're trying to enter, we'll need to delete it so we can update and save it without encountering the same issue.

 

To perform this we'll need to go to:

 

  1. Payroll Tab.
  2. Select Employees, and below choose the employee that has the duplicate SSN when you check the report.
  3. Their profile will then show up. In the Personal Info click the blue colored Edit word beside it.
  4. Scroll down, and in the Social Security Number click View/Edit to remove the SSN.
  5. Click Save.

 

After that, you can now proceed to enter your SSN. And if the same error persists, I recommend contacting QuickBooks Online Payroll Support

 

They can use the resources they have to check your account and assist you in identifying the underlying cause of your issue.

I made him inactive as a contractor and it still wont let me enter his social security number. So the duplicate would be in an inactive contractor

Since you're still unable to enter the Social Security Number (SSN), I'd recommend contacting our QuickBooks Online Payroll Support Team for assistance. They have tools to check further into your account in a safe environment and find possible solutions.

  1. Go to Help (?), then click Contact Us.
  2. Please enter your question and select Let's talk.
  3. Review and Select from the following: Ask the communityHave us call you, or Chat with us.
