In QBO, my invoice is printing my line items in the wrong order. The lines items are correctly displayed in the invoice entry screen. How can I prevent/fix this?

I find it astonishing that Intuit has not yet corrected this issue. Sorting should be an option and work-arounds should be non-existent. Though, it certainly does represent the program as a whole. QBO is far inferior to QBDT.

This happens to me all the time!!!!! I can't believe no one has ever complained before.  Perhaps they find it a futile effort because we are always told it is our error.  Interesting how lots of people are commenting it happens to them too.

Why does it then reorder the lines when they have the same service date.  I have 12 lines with a service date of 3/23/2019.  It is correct on the screen but when I print or download to .pdf, it completely rearranges all of the 3/23/2019 lines with no rhyme or reason.  Some charges are related specifically to the line above it and when QB arbitrarily reorders everything, it causes a lot of problems.

Allow me to step in for a moment and help make sure that your concern about the line items rearranging when printing or downloading an invoice as .pdf in QuickBooks Online (QBO).

 

First of all, I appreciate you providing the complete details of the issue you're getting. If you already tried using other browsers and performed clear cache and still having the same results, I suggest contacting our Phone Support team so they can check it out using their screen-sharing (remote access) tool and further investigate. They can also perform more troubleshooting steps to fix it for you.

1. On your QBO account, click Help (question mark icon) at the top right.
2. Select Contact us to connect with a live support agent.

It's not the browser, and phoning leads to trying things that a) you've tried already, b) things that don't help & c) a promise that they're looking at it to find a solution.  The solution is really really simple.  Get your software developers to allow an option to order invoice items by line item number.

This has nothing to do with browser cache, that is a complete red herring and a waste of time.

the problem is that the print routine sorts the items in date order even if you have arranged them differently on the invoice generator screen.

Ideally the print routine would default to WYSIWYG.

I do not access via adobe reader.  I have the same issue and most often use the Quickbooks Online app.  This is very frustrating as I am importing items from other app systems recommended by quickbooks and it sorts by user name import not date import on the invoice.  I resort by date and it does not print in the manner that I would like it to print unless I select "add subtotal"

This is not true in my situttion it is sorting by user input date not by service date.  I would be happy with a sort by service date.

The service dates should be in the Service Dates fields of your line items. Then, your invoice template should have a column for Service Dates, so the items will be sorted by these dates when you print the invoice. I'm just curious, which do these user-name input show on your invoice line items?

 

You're right about placing a sub-total. QuickBooks will not rearrange the line items when there is a sub-total.

I use a system to pull through items so I have classes/ users that each line item is invoiced. The invoice sorts as follows: - Service Date 1 by User/ Account Class via name A-Z - Service Date 2 by User/ Account Class wtih name A-Z - Service Date 1 by User/ Account Class with name B-Z - Service Date 2 by User/ Account Class with name B-Z - Service Date 3 by User/ Account Class with name B-Z I then have to move all Service Dates in date order manually so it appears - Date 1 User/ Account Class name A-Z - Date 1 User/ Account Class name B-Z -Date 2 User/ Account Class name A-Z -Date 2 User/ Account Class name B-Z - Date 2 User/ Account Class name B-Z *Add Subttotal line* to maintain sort order on invoice or sort order will only appear on quickbooks screen

Yup. Even within the same date, QBO is randomly mixing up the lines. 

 

THIS IS A BUG THAT NEEDS TO BE FIXED!

I know the work around. Just turn off the date of service. Well I want the date of service on there. Otherwise I have to type it in to every single description. I have a service company and when billing I'm entering between 300 and 600 individual service dates on my invoices. Yeah, that is getting very old. The work around is to change the description every few minutes to reflect the new service date, except some clients have multiple service dates!

 

You're taking my money each and every month.  FIX THIS BUG. At least let us toggle whether we want date order or entry order.

Unbelievable! Just started using QuickBooks Online I cannot believe that a function as simple as SORTING is not available. The sorting function has been in basically any application worth selling now for 20 years. It should take a software engineer 2 weeks max to push an update that allows some sorting options when printing. Even then, what's the point of even having the option to arrange Line Items on an Invoice if they are just forced to be sorted by Service Date? It's almost a form of subtle deception. 

 

I would quote the line, "innovate or die," but at this point it's more like, "reach the year 2000 or die."

I have the same issue.  Changing the dates or deleting the date does not change the order. 

 

When I create my invoices, I add the group items in the order I want to see them listed for my clients 

       1.  Billable Time

       2.  Billable Expenses

       3.  Charges - created from estimates of costs I incur that aren't billed to a specific vendor

 

When I print my invoices, they appear as:

       1.  Charges

       2.  Billable Time

       3.  Billable Expenses

 

Has QB considered whether its how the program treats the groups of items being invoiced and that the program somehow orders Estimate entries first when invoicing, then time, then expenses?  If so, is there someway to change this, because changing the date of the Estimate/Charges to one later than the Billable Time or Billable Expenses does not move it to the bottom of the invoice; it just changes its order within the subgroup of Charges.  Very frustrating

I have replicated the scenario you have input and I can see no error checking the Print preview mode. It has the same details as the actual invoice. Let us check if this is a cache-related issue.

 

First, to isolate the data traffic in your browser, I suggest using an incognito browser in opening your QuickBooks company. Here are the keyboard shortcuts to access it:

 

  • Internet Explorer & Mozilla Firefox: Ctrl Shift P
  • Google Chrome: Ctrl Shift N
  • Safari: Command Option P

Then, if you can no longer see the same issue in Print preview mode, you can go back to your regular browser and clear its cache to reset the data allowance in the browser. But if you are still seeing the same issue, you can use another browser instead.

 

You can also fix it by updating, repairing, or re-installing Adobe Reader/Acrobat.

 

If the issue persists, I suggest contacting our Phone Care Team. They will be able to verify further on what is the root cause of this issue.

Thank you for informing me that there has been further information on this feed. I am however gobsmacked that more than a year after this issue was presented to QB there is still not a reasonable fix, and that people are still being asked to jump through hoops just to order their invoice entries in the way they want.  We've been through this.  The problem is not Adobe Reader.  The fix is really really simple and any high school programmer could implement it for QB. PLEASE just add a column which allows the user to order the invoice items by line number.  PLEASE. OH PRETTY PRETTY PLEASE

I guess we could all cheer that Intuit is finally looking into the issue. Though your canned response is down right insulting. This issue has been clearly defined by multiple users and multiple times. If you had reviewed all  the comments you would have noticed that the "print preview" shows the correct order but when actually PRINTING the invoice, it re-orders the line items. I suggest you clear your cache on the canned responses and actually solve the problem.

Did you already perform the troubleshooting steps provide by my colleagues above, like clearing your browser's cache and updating, repairing, or re-installing Adobe Reader/Acrobat? If you haven't yet, I'd suggest doing it so.
