Can't Import Accountant's Changes

I am using QB Pro Desktop 2018.  I recently sent over an accountant's copy to the CPA for end of year and tax prep.  She has sent me the updated changes but when I try to import them into the file, I get the error message that I have the wrong company file loaded or I have removed the restrictions from the file already being used.

The file I am using shows that the "accountant's changes pending" at the top.  I have the only file/company loaded that I use.

The only thing that I not clear on is that I did move the QB to a new computer at some point during all of this, but I am not sure if I sent the file before or after.

I need to import these changes but am at a loss and the QB support is not much help.

Can't Import Accountant's Changes

We'll help you import your accountant's changes, wsgrant.

The error you're getting happens when a company file is upgraded to a newer version of QuickBooks. During the transfer, did you upgrade your company file?

We'll be using the old backup, so you can import your accountant's changes. Please open this article: Resolve errors and unexpected results when importing accountant's changes. Then, you'll want to follow the instructions in this section: Error: You are attempting to import data from a different Accountant's Copy than the one that was last created for this Company Data file.

Please feel free to share some news after you follow the steps in the article.

Can't Import Accountant's Changes

I am trying to upload Accountant's Changes to my QuickBooks Desktop Pro 2020.  It says at the top of my screen that there are changes pending but when I go to import them from the web, it tells me a file for that company has not been found.  How do I import changes that QuickBooks says doesn't exist?

Thanks for joining us here, @DSPEinVA.

When you're having a hard time importing your Accountant's Changes, this may be caused by any of the following reasons:

  • You are importing the changes to the wrong company file.
  • The Accountant's Copy restriction was removed.
  • The file with pending Accountant's Changes was upgraded to a new version or edition of QuickBooks Desktop.

If the Accountant's Copy restriction has been removed or the company file was upgraded to a newer version, you can follow the steps below to fix this.

  1. Open the previous version of QuickBooks Desktop. If this version is no longer installed, reinstall the program in another directory to prevent it from overriding your new version.
  2. Restore the backup file made before upgrading the file. Make sure that the backup still has the Accountant's Copy restriction. Note: "Accountant's Changes Pending" on the program's header is a sign that the company file still has the restriction.
  3. Import the Accountant's Changes.
  4. Ensure that everything is imported.
  5. Upgrade your company file.

Thank you for the response.  I am unable to follow to steps provided, which is why I reached out to begin with.  I am not able to import any changes from the CPA, even though it tells me there are pending changes and an e-mail (with no attachment or file) saying that there are changes that need to be imported.  I do not know how to proceed.

Can't Import Accountant's Changes

From the instructions that are posted, it looks like this would only work IF the client has not entered in any data to the company file after upgrading their software.  Am I correct?

Let me clarify things on you, gsa11.

During the data transfer, we prevent the user from upgrading their software to prevent error. We recommend doing the backup in case data damage occurs.

Can't Import Accountant's Changes

I had to turn off the accountant restriction to add a fixed asset (weird).

QB will not import accountant changes because the restriction is off (also weird).

Please advise.

Can't Import Accountant's Changes

Welcome to the thread, @lahatte.

If you've removed the Accountant's Copy restriction, you're unable to import the Accountant's changes.

To resolve this, here's what you'll need to do:

  1. Ope the correct company file.
  2. Save the files locally.
  3. Send the Accountant's copy using a different method.
  4. Perform basic data damage troubleshooting.
  5. Try using Accountant's Copy in a Test File.

For a more detailed guide on each step, see this article: Resolve errors and unexpected results when importing accountant's changes.

Adding you also a resource to learn more about Accountant's Copy workflows and general information: Use the Accountant's Copy.

Please feel free to reach out to us here with all of your questions and concerns, I'm determined to ensure your success. Thanks for coming to the Community, best wishes.

Thank you for getting back to us, @lahatte.

Allow me to provide additional information about importing the Accountant's Changes in QuickBooks Desktop.

Removing the Accountant's Copy restriction can also grayed out the Import Accountant's Changes option. You can consider following the resolution shared by my colleague MirriamM above to import accountant's changes successfully. Or check out this link and go to the Unable to import Accountant's Changes section for the detailed steps on each solution.

In the near future, you might also want to use an accountant’s copy as a working file in QuickBooks Desktop. Here's an article you can read for detailed information: Use an Accountant's Copy working file.

Should you need any assistance getting your accountant's copy up and running, I'm available here to help any time!
