How do I hide zero balance items in the detailed balance sheet report

In using the Detailed Balance Sheet report, I would like to hide all of the accounts with a zero balance. I was unable to do that with the Amount filter.

Here is a Basic Function for customizing reports: on the Display tab, look bottom right. If you see the Advanced Button, here is where you have some advanced options.

Many thanks to qbteachmt for his reply. For others interested, in a step-by-step solution, those steps are: - -First choose the Customize Report tab on the detailed report display (upper left), then choose the Display tab, upper left, then the Advanced tab, lower right, then in the small, Advanced Options window, under INCLUDE click on the "In Use" circle. Then click OK to return to the report display. As I desired, none of the "zero" balances will be displayed.

Not all Reports even offer the Advanced button on the Display tab of Customize. That's why you have to Look.

I'm attempting to customize financial statements to not include zero balances and inactive/deleted accounts.  I've looked for the settings as described in previous posts to no avail.  Are there different levels of customization available to QB Online subscribers?

I'm here to help you customize the financial statements reports in QuickBooks Online.

 

May I know what specific report are you trying to customize? Each report in QuickBooks Online has its own options for customization.


Right now, the Balance Sheet Detail and Profit and Loss reports don't have an option to exclude the zero balances and inactive accounts. However, the Statement of Cash Flows can show non-zero balances or active only accounts. I'll be happy to show you how:

  1. Click Reports on the left pane.
  2. Enter and select Statement of Cash Flows in the search box.
  3. Under Show non-zero or active only section, select Active or Non-zero.
  4. Click Run Report.

For me to be able to provide you with the right answer, could you please tell me what specific item you're trying to filter in the report? Are you trying to filter the report not to show the zero totals? If so, you can follow the steps below.

 

Here's how:

 

  1. Click Reports at the top menu bar.
  2. On the drop-down list, click Company & Financial then choose Balance Sheet Detail.
  3. Click Customize Report.
  4. Click the Advanced button.
  5. Choose In Use and hit OK.
  6. Click OK.

I used a desktop version of Quickbooks until changing to Online.  I noticed there are many cool gears on the desktop; however, I really need to have a function of the hiding zeros balance in the financial statements.  When do you think you'll offer these services?

The same works for the P & L reports but how do we set to hide zero line items as a default in Quickbooks. Mine keep reverting to showing zero line items.

While zero balance items are still showing on the P&L report, you can export it to Excel. Then, remove those items from there.

 

Let me show you how:

  1. On the P&L report, click the Excel icon.
  2. Select Create New Worksheet to create a new Excel.
  3. Otherwise, select Update Existing Worksheet to update the data in this report.
  4. Click OK when you're ready to export.

Hi, I do know how to do that in Excel but it is more tedious.  I'd like to know if there is a way to set the default to no zero lines like in preferences or somewhere else for reports.  I don't ever want the zero line items on reports.  That would be so much more efficient.  Thanks

Yes, there is! Instead of exporting the report to Excel, you can just memorize it after applying the Non-Zero or In Use filter (depending on the Profit and Loss report you're using). This way, the report will not revert to its default settings when pulling it up.

 

Here's how:

 

  1. On the P&L, click the Memorize option at the top, then enter a name in On the Memorize Report window.
  2. Once done, hit OK.

I am using QBDT - and these options are already checked - the zero quantity line still shows up on

the report.  This is so inconvenient because I have to export to excel and then delete every

line with zero.  Is there a different option?   :9(

1) Click on Customize Report

2) Click on Filters Tab

3) Select the Amount option under filter

4) Click >=

5) Enter 0.01

This will show all the transactions greater than or equal to a penny, which removes the zero dollar transactions.

THIS IS ABSOLUTELY MORONIC that QB Online lacks the functionality to hide zero balance accounts.  The balance sheet and income statement should ABSOLUTELY have that feature as otherwise they get hopelessly cluttered with no-longer used accounts.  This is YET ANOTHER reason (like charging for each company file now instead of allowing unlimited company files for one fee with QB desktop) why I'm looking for an alternative to Quickbooks.

Sorry but this isn't a solution as the transaction report will also include <0 which should be excluded.

 

The solution is to accept <>0 in the filter customisation for amount.

 

Come on QB, get it done.

I have the same login for several clients (as their accountant) and for some reason on one of the clients that option does not show up. Do you know why or what is causing them to be different than all of the other clients? The option to select non-zero is not there and also I cannot change the default report view (different than all of the other clients, as well).

I want to make sure this issue gets resolved so you can get back to working order.

 

One of the possible reasons why the Non-Zero option isn't showing when customizing the Profit and Loss report is due to the data damage of the company file. To verify, let's run the Verify and Rebuild Utility tool to fix data-related issues on a company file. Here's how:

 

  1. Go to the File menu, then select Utilities.
  2. Click Verify Data and select OK to close all windows.
  3. Then, go back to the File menu.
  4. Select Rebuild Data under Utilities.
  5. QuickBooks will ask to make a backup before rebuilding your company file, select OK.
  6. Once the rebuild is done, click OK.

In addition, please know that the Non-Zero option will show depending on the Profit and Loss report you're using. Just like the Profit and Loss Detail report, it only shows the In Use option.

I know how important for you to exclude zero amount on your report. As of this moment, the option to show a non-zero account is currently available in the Balance Sheet report. You can instead export your report to Excel if you wish to run a Transaction report. From there, you can personalize and remove zero amounts.

 

Here's how:

 

  1. Go to the Report menu.
  2. Select the specific report that you want to run.
  3. Click the Export icon, then choose Export to Excel.
  4. Save the file somewhere you can easily find it.

Exporting report to excel also doesn't work for online QB. The downloaded excel shows "This report is too large to export completely. Please use Customize to filter." But there is no option to filter non-zero amounts in the QBO account details report.

The report that is too large to display error message happens when a certain report exceeds the size limits when exporting them to Excel. You'll want to fix this by following the steps below:

 

  1. If you're looking at a report displayed on QuickBooks Online, you can double the amount displayed by simply exporting the report to Excel.
  2. Since the limit is based on the raw amount of data displayed, you can potentially get more data into a report by eliminating columns you don't need to be displayed. (Note: See how to remove columns below).
  3. Select Run report.
  4. Segment the report by generating reports with intermediate date ranges. This could work for transaction detail reports that aren't grouped or grouped by some date designation (day, week, month).
