How do I print 941 for a audit

I use QB Online. I cancelled my payroll subscription since I sold my business but I do not have the option to print archived 941 forms. Can someone assist me with that. I can see the fact that they are filed and archived but I do not have a view or print option

Thanks for reaching out to us, men821.

I want to make sure you're able to print 941 forms in QuickBooks Online (QBO).

To view your Form 941. Please make sure to select the correct filter.

Here's how:

  1. Go to Taxes, then Payroll Tax.
  2. Under Forms, choose Quarterly Forms or View and Print Archived Forms to see the archived forms from prior periods.
  3. Tap the 941 links.
  4. Click Preview. You can either download the form in PDF format or print it.

However, if you can't still view the form even if you selected the correct filter. I recommend contacting IRS E-file services to get a copy of your 941 forms.

Here's how:

  1. Contact 866.255.0654.
  2. Choose option 1 and then 3 for E-file questions.
  3. When you get an IRS agent, ask for the e-file 10-digit PIN department.

In case you need help filing your returns: Pay and file payroll taxes and forms in Online Payroll. It provides steps as your guide.

How do I print 941 for a audit

Hello there, @kellypsr143.

I appreciate you joining the thread. I'll chime in and ensure you'll be able to get copies of your 941 and print it in QuickBooks Online Payroll.

Since the forms are in the archived section, we can still view and print copies if needed. Let me show you how:

  1. From the Taxes menu, select Payroll Tax.
  2. Go to the Payroll Tax Center and choose the Filings tab.
  3. Hit the Archive button.
  4. Filter the dates under Archived Forms to display the last year's filed forms.
  5. Tap View. You can either download the form in PDF format or print it.

However, if you're still unable to see them, I suggest reaching out to our Payroll Support Team. They're equipped with tools to help you check and view copies of these forms.

In addition, I've got this helpful resource for more details about viewing your payroll tax payments and forms in QBO: Access payroll tax forms and tax payments.

I'm always ready to assist you if you have any other questions or concerns about Payroll forms or QBO-related concerns. Tag me in your reply, and I'll sprint back into action. Take care always!

It would be good to mention that you must be in the business view, not the accountant view. Accountant view won't let you view the 941s (oddly).

I want to ensure you can print the 941 form, focusnews.

To begin, let's perform basic troubleshooting steps. You may have accumulated too much historical data. Whenever you visit a website, it saves some information from the web page in its cache and cookies. These files allow the websites you visit most often to load faster. Not to worry, clearing them will do the trick.

First, let's try accessing your account through an incognito window to rule out the possibility of a webpage issue. You can refer to these shortcut keys to open an incognito window in all supported browsers:

  • Chrome: Ctrl Shift N
  • Firefox: Ctrl Shift + P
  • Safari: Command Shift N

Once done, print 941 again. If it works, switch back to your regular browser. Then, clear its cache. This way, you can access QuickBooks with a clean slate. You can also use a different supported one.

Additionally, if you have the download option, you can click it and then print.

For details about tax payments and forms, check out this guide: Access payroll tax forms and tax payments.

I've added these articles that can help file your returns and manage year-end taxes:

Let me know if you have additional questions about printing your payroll tax forms. I'm always here to help. Take care.

How do I print 941 for a audit

@pcsfinalclean  Desktop is easy enough. Wherever your QuickBooks company file is located on your computer, there will be a folder labelled '(Company Name) Tax Form History' which will contain all of the payroll tax forms you've ever printed, assuming the checkbox to do so was marked.

By default, QuickBooks saves it to the Users>(User Name)>Public Documents>Intuit>QuickBooks>Company Files path on your computer. This can be navigated to easily by opening the File Explorer and moving to the C drive, which contains the Users folder.

That said, you can choose to have placed your QuickBooks Company File elsewhere, and the folders will generally follow it wherever it goes. If such is the case with you, you can check where your company file is located through the Open Previous Company submenu of the File menu within the QuickBooks program.

It will display all the company files you have opened within that QuickBooks program year, as well as the file path to access them.

I've got you covered, @pcsfinalclean.

If you have already filed your payroll form, QuickBooks Desktop (QBDT) allows you to easily view and print your Form 941 in the Filing Forms tab. I'd be glad to show you how to achieve this.

  1. Navigate to the Employees menu.
  2. Select Payroll Forms & W-2s, then Process Payroll Forms.
  3. In the File Forms tab, hover over to the Filing History section.
  4. Locate the federal or state form you'd like to print from the list.
  5. Click the link under the SAVED PDF column to open your Form 941.

However, if you haven't filed your Form 941 yet, you can still print it in the process of filing your form in the Manage Filing Methods. To do that, here's how:

  1. Go to the Employees menu.
  2. Select Payroll Forms & W-2s, then Process Payroll Forms.
  3. Click the Manage Filing Methods in the File Forms tab.
  4. Choose Filing methods, select Federal Form 941, then click Continue.
  5. Follow the onscreen instructions.
  6. Choose either Print for Your Records or Save as PDF button to have a copy of your Form 941.
  7. Once finished, hit Save and Close.

In case you want to review the status of your e-filed report, I encourage you to open this link: Check e-file or e-pay status. This is to ensure that your payment or form is received by the agency promptly.

Furthermore, you can run payroll reports in QBDT to get a closer look at your business finances.

Keep us posted if you have further questions about managing your payroll forms in QBDT. Well always be here in the Community to help. Keep safe.
