QBO's change in payroll subscription levels - Problem with Core

Has anyone noticed that QBO has gotten rid of self service payroll and replaced it with Core and the limitations this has put on business owners? This is a big problem and I hope QBO fixes this problem.  With this change has come a big issue with not giving business owners the option to control when to efile tax payments and tax forms. QBO Core (which is the lowest subscription level) is doing this automatically. I take care of payroll for several clients and use the e file system to authorize tax payments and file forms electronically. The key is that I can control when tax payments are made.  I do this according to the business owners wishes which means some times I pay taxes right away, and other times, I pay them late (because the owner doesn't have enough funds and is okay with paying late fees). I'd be interested in knowing thoughts from others on this.

QuickBooks Online Payroll Core makes sure you can pay and file your taxes on time.

 

You can cancel your e-filing for taxes and do it manually:

  1. Go to the Gear icon and Choose Payment Settings
  2. Tick the box for Manually with paper coupons.

I want E File and I want the ability to E File at my discretion.  Like I said, QBO, is taking away the product features that it's customer's will want to have. It's too bad. We'll just use Gusto instead.

BTW, Here is a screen shot of what I see when I go to the gear icon. Do you see a selection for Payment Settings there (I do not)?

I'd like to add some information about the above steps, @lydiavanderburg.

 

Here's how you can file your taxes manually:

 

  1. Go to Gear.
  2. Under Your Company section, select Payroll Settings.
  3. Then, E-file and e-pay. Click the box for Manually with paper coupons. 

I've also added this awesome article about QuickBooks Online Payroll Core. It includes the benefits and other features of the payroll plan.

It seems like you're using the QuickBooks Online for Accountant. The steps provided above is intended for the regular version of QuickBooks Online. With QuickBooks Online Payroll Core, all of filing and paying of Federal and State taxes are automatically done for you. Currently, the option switch back to the self-service type of payroll is unavailable inside the program. 

 

To disable the automation, we'll have to uncheck the Automate taxes and forms option in the Payroll Settings of your client's account. Let me guide you how:

 

  1. Select the appropriate client from the GO TO QUICKBOOKS drop-down menu.
  2. Click the Gear icon, then select Payroll Settings.
  3. Go to the Taxes and Forms section.
  4. Uncheck the Automate taxes and forms option.
  5. Click Save then Done to apply the changes.

Once this option has been disabled, tax payments and form filings due will appear on the To Do List in Payroll Overview for users to act on.

 

Then, you can now file and pay your clients' federal and state payroll taxes according to their own preferences.

Yes, it is QuickBooks for Accountant since I'm a Proadvisor. I'll try this but it didn't seem to work for me when I explained to two different customer service representatives that we wanted self service payroll.  They said this subscription services isn't available anymore.

I would agree to the fact that businesses sometimes are on a tight budget especially in our situation right now. Others would also prefer to have control over filing and paying taxes. We've anticipated these scenarios and we have an option disable Auto File and Pay.

 

To do this, we'll have to turn off the E-services feature first. Please be sure that you don't have any outstanding taxes as well, so it can be turned off successfully. However, we'll need help Support to do this, so I'd suggest contacting them again.

 

You can follow the steps shared by Klent above. Please bring to the Support's attention that you'll need to turn off E-services to disable the Auto File and Pay feature. I understand that this will be your third time to contact them. You can share this reference with the agent: ATTN-6934.

 

Please note that you'll have to do undergo the same E-services enrollment process again, so it may take time.

 

You will see the Taxes and Forms section after, like in the screenshot.

Did you try turning off E-Services work for your client? Did it work?

 

We are like you, an accounting firm that wants to control the payments and form filings, but also continue to do this electronically, like we have been doing.

After turning off E-Services, I assume we, as accountants, will not be able to pay the taxes and file forms electronically?  I am like lydiavanderburg, in that I want to control when I pay the taxes and when I file the forms.  I do not want Intuit to control this, but I would like to continue as before and be able to file electronically.  If not, then a switch may be in order for my clients.

As a CPA, we do not want to file it manually with coupons. We want to file it electronically as it best suits our clients. Changes like this are why I am begining to look around for something different for my clients. Intuit has wonderful products and for businesses who want your full auromated service, it is great. For businesses who prefer to electronically file it themselves or have their personal CPA file it, then they should have that option. And, if it can indeed be changed through this long process, that is a waste of a lot of my valuable time to have to go through a convoluted process for something that should just be a check box opt in or out. In addition, as a CPA, I am tired of competing with my own vendor.  This is a big topic among CPA's right now. I am the biggest reason that my clients use QuickBooks Online. I may be changing that recommendation soon.

IOP for Accountants is the best payroll product that Intuit has ever offered... the user initiates their tax payments, set a future date, pay electronically, etc.  QBO Payroll is horrific! We have had problems with Intuit internally changing tax payment frequencies without my knowledge leading to late tax payments, fees, anxiety, etc.  We've had Intuit pay a day late on several occasions even when the frequency was set properly.  I was told that "the entire tax department is in a meeting for the next several days and nobody will be able to get back to you until Tuesday the earliest".   I'm being told that QBO payroll is going to full service without the option to DIY for tax payments and filings...this is a massive mistake, and Intuit will loose.  They do not need to be "Big Brother"... we bookkeepers and accountants are successful when we have control of the finances...we are not better off when you take away the keys, the stirring wheel and the brakes.  We use your products because they used to offer more flexibility that we need to do our part correctly.  Putting all of your QBO payroll on auto pilot is truly one the biggest mistakes you could create, and I highly advise against this.  I would love for someone higher up in Intuit to reach out to me...I've been using QuickBooks since 1998 (Quicken since 1991), and I would hate to see your products plummet, and I have some ideas :) 860-373-2900 www.booksmartbookkeepingct.com

You can upgrade your payroll subscription either in-product, on our website, or through our Sales Team. Let me guide you how.

 

To upgrade in-product:

  1. Go to the Gear icon at the top.
  2. Choose Account and Settings, and then select Billing & Subscription
  3. From the QuickBooks Payroll section, tap Upgrade. You will be presented with options for upgrading, along with their features and pricing.
  4. Click Upgrade for the product you want. 
  5. Hit Confirm Upgrade.

Is it even possible to see the billing and subscriptions tab as an QBOA user looking in client files? Even when I switch to business view, I don't see it. I told my client I would upgrade their payroll subscription, but it doesn't seem like I can even SEE the tab where I would need to go. I thought I needed to upgrade it from the QBOA side, but that only allows me to upgrade their QBO subscription, not their payroll subscription.

Thanks for reaching out to the community. There are 3 possibilities in your case, I'll go over all of them so we can get you back up and going as soon as possible. Here they are: 

 

  • Your account is under an accountant's Wholesale Billing
  • Your account was purchased through an AppStore or another third party
  • Your cached images are corrupted or conflicting causing a display error 

 

Wholesale Billing: 

 

If you think maybe you're on an accountant's wholesale billing, you will need to reach out to the accountant to have them transfer the billing to you. Here's how: 

 

  1. Go to Settings and click Subscriptions and Billing.
  2. Select the dropdown next to your company and choose Transfer billing to client.
  3. Tap Remove.

Your accountant may need some more help, if so then here's a link to the article on managing clients subscriptions to help guide them a bit more.  

 

Purchased through Appstore:

 

If you may have purchased QuickBooks through the Apple Appstore or Google Playstore. In that event, head over to our article on how to Cancel your QuickBooks Online mobile app subscription purchased from an app store. There are step-by-step instructions available just navigate to the section for whichever service you're using. 

 

Clear Cache:

 

In the off chance, neither of these applies to you, you may need to clear your web browser's cache.  Here's a brief guide on how to do so in Google Chrome: 

 

  1. Press Ctrl+H on your keyboard
  2. Select Clear Browsing Data on the left
  3. Check the Cached images and files box 
  4. Choose All time from the time range drop-down
  5. Last, click Clear Data in the bottom right.

 

Once the browser finishes clearing the cache, restart the browser and attempt to navigate to the billing and subscriptions tab again.

I am in complete agreement.  For Intuit to charge DOUBLE what IOP costs and then to not do IOP did - is awful.  I hate it, and if I could find any other provider that would do with IOP did, I would move ALL my clients there.  They want to control the whole world and shut out the CPAs, but you know who the client calls when there is a problem???  The CPA - who can't charge double to resolve issues that Intuit is already charging them for.  The tax payment timing is ridiculous.  The clients are used to paying on the 15th and the 20th, and now that we are required to use Standalone or CORE or whatever name they have assigned to their required payroll service, we have no control over the dates of the payroll tax payments unless we turn off autopay - and charge the client more for doing this manually - which is not fair.  The tax payments are due on the 15th and 20th, and Intuit shouldn't be paying them early.  It's just mind boggling to me that they are allowed to do this.  There should be something we can opt out of - and get a price decrease - if we have to pay these manually.  And, Intuit shouldn't be paying them early anyways.  I know I'm falling on deaf ears.  I just saw the question and wanted to bring it up again.  The new standalone payroll service was only required because they got burned when all the COVID rules changed and they had to service 2 different platforms.  I think they should have terminated their QBO payroll and moved everyone to IOP.  It was such a better system.  And, because Intuit is all about the DOLLAR - hence the price increases that just keep coming - they wouldn't sell IOP to someone else so that we could keep the system.  It's typical of the have and the have nots.
