Invoices won't send from quickbooks

I want to make sure you're able to email invoices to customers, Jrountree.

 

The verification may have been turned off, and that's why you're unable to send invoices via Yahoo! Mail.
 

Yahoo Mail uses a 2-Step Verification process. That being said, you need to review their security settings.

 

Here's how:

 

  1. Go to your Yahoo Account Security page.
  2. Turn on the Two-step verification and Allow apps that use less secure sign in features.
  3. Go back into QuickBooks and email yourself a test transaction.

 

If you still can't send emails, use Yahoo's generate third-party app passwords tool. It creates a random password you can use to connect to QuickBooks. You only need to do this once.

 

If you’re batch sending emails, the password will expire after sending 12 invoices or transactions. You’ll need to generate a new third-party app password to continue.

 

  1. Follow the steps to get a password.
  2. Go back into QuickBooks and email yourself a test transaction.
  3. In the Password field box, enter the third-party app password, then select OK.

 

To send email to QuickBooks, Yahoo mail powered by AT&T now generates a secure mail key when sending emails via the third-party desktop app as its new feature.

 

Also, you'll want to check if the antivirus software may have accidentally block the connection. Search your antivirus provider's website for steps to allow port exceptions. Here are steps for Norton and McAfee

 

If you use McAfee, open your antivirus program and check your Excluded Processes list. Add these names to the list so they can run freely.

 

  • QBW32.exe - C:\Program Files\Intuit\QuickBooks [year]\QBW32.exe
  • QBDBMGRN.exe - C:\Program Files\Intuit\QuickBooks [year]\QBDBMgrN.exe
  • QBDBMGR.exe - C:\Program Files\Intuit\QuickBooks [year]\QBDBMgr.exe

 

Go back in to QuickBooks and set up again the connection. Make sure to use Port 465 for Yahoo! Mail. Then, email yourself a test transaction.

If you're still unable to send emails, I recommend getting back in touch with our Live Support Team. I know you've already contacted them. However, they can create a case to further investigate the issue.

    If you haven't solved the problem, mine sound exactly like yours.  I used the Self Help and it referred me to google mail which I don't use.   I found that Outlook had changed their Server info.  I used option 2 of the Self Help which was to change the email server info in QB Pro.  Did a search of my email provider server info and found the new server info on the MSN website and changed my IMAP email server info in QB Pro.   It now works.  

Option 2 was listed in the main thread and it walks you thru how to find the Server info.  Step 5 is the info I changed.

  1. Go to the Edit menu, then select Preferences
  2. Click Send Forms from the left menu.
  3. In the My Preferences tab, select the email account you're using. Then, click Edit.
  4. Mark the SSL box, or just select Default.
  5. In the Server Name field, make sure the server name matches your email provider's settings.

I was able to fix mine by going into Edit - Preferences - Send forms - My preferences - Edit

Make sure email ID is correct. Make sure email provider is correct. (outlook/hotmail/live) Those were okay. The 

update changed the SMTP Server Details in the box area. The server name had changed and now showed "smtp.live.com"  I changed this back to my correct server"smtp.office365.com" The port was still correct and the box was still checked. If you are unsure of your email server, I found this in my email in View All Outlook Settings and it was listed in the Email tab under Sync Email.

This is an infuriating problem. It happens with all of my clients periodically and is never easy to fix. Works fine for years, then suddenly stops working. Drives me nuts and an absolute time suck to solve.

I am having the same issue just now. I use Microsoft and also email is with hotmail.

I was forced to do microsoft updates so it has something to do with that.

Did you get everything fixed or is it still an issue.

Let's try a few trobleshooting steps to resolve this issuw when sending invoice from QuickBooks Desktop (QBDT). Let's begin by making sure that your QuickBooks is updated to its latest release. Here's how to update your QuickBooks Desktop:

  1. Go to the Help menu and select Update QuickBooks.
  2. Choose the Options tab.
  3. Click the Mark All button, then Save.
  4. Click Update Now.
  5. Check the Reset Update box, then click Get Updates.

Then, you can set up a secure WebMail to provide an easier and safer connection to your email provider.

 

Here's how:

  1. Go to the Edit menu.
  2. Select Preferences.
  3. Tick Send forms.
  4. Tap My Preferences and choose WebMail.
  5. Hit the Add button.
  6. Enter your email address in the Email Id field and select Gmail from the Email Provider drop-down.
  7. Click OK.

Invoices won't send from quickbooks

I had the issue with not being able to send any invoices.....I posted earlier about how to fix....it's below....in the meantime, all of a sudden I could not send an invoice to just ONE customer via my hotmail webmail account through QB....at a Verizon.net account. Not sure if that verizon.net account has anything to do with it or not, but I can send invoices to my own hotmail account and to another yahoo test account. The message I got was "Unable to send emails due to network connection error" I exported a PDF file of the invoice and emailed that to my ONE client from my hotmail webmail account. I have not found a solution and the moderators keep sending and posting the same cut and paste information about 2 step authentication, gmail, Yahoo mail, making sure you have the latest QB, etc. and none of those solve it. I solved my "unable to send estimates" error by the following...NOTE: Sometimes I got into a loop where the dialog box for "use enhanced security" would not let me enter a new value in the "server" field, and I'd have to start the process over....frustrating.

 

 

I went into Edit|Preferences and clicked on Send Forms.

On the My Preferences Tab I went down to my email address under Email IDS

I clicked on the email address and clicked the "Edit" button at the bottom of the window

I unchecked "use enhanced security"

I clicked OK.

It then sent me to my MSN Hotmail access page and allowed me to enter my password.

It told me that Quickbooks Desktop was now connected to my Microsoft Email account and it sent me an email verifying that.

Quickbooks then prompted me to go back in and re-check "use enhanced security".

 

I then went and tested....sure enough it asked for my email password like it always does once each session.

 

I entered the password and the estimate was sent.

 

PROBLEM SOLVED....hope that helps others....

I have been searching this topic for weeks and finally get clear, concise, and correct answer without paying for what should be a basic answer. Now I can get back my business rather than spending an inordinate time “debugging” QuickBooks.

If you're done performing the steps shared above, I'd recommend contacting our QuickBooks Support Team. They're equipped with tools to check the cause why you can't send sales transactions. It'll also allow them to submit a ticket to our engineering team to alert them about the issue if necessary.

  1. From the Help menu, select QuickBooks Desktop Help.
  2. In the Have a Question window, scroll down to click the Contact us link.
  3. This will display the Contact Us screen.

I don't use yahoo/hotmail/google mail. I spent over an hour speaking with the QuickBooks Support Team and all that happened was that I was transferred over to the sales department and some guy wasted my time by very aggressively attempting to upsell me on my QuickBooks program, giving me a quote that equalled to about $1000 per year for an upgrade. Ridiculous. Since tech support thought I needed to upgrade my software, my client spent $78 for a non-subscription based, non-profit desktop version that we found ourselves online. That was fine, but it didn't solve the problem. I went through all the steps listed here and in other searches with no luck. I called my email provider and they suggested I unclick the SSL Certificate box. That worked.

Hello,

   I understand that you un-checked the SSL (secure socket layer) box on your email.  I was in a similar situation and found out that Outlook changed their email web server address.  After finding out the correct information from MSN email I then changed that info in my Quickbook desktop.  My email features worked again after changing the server name, the port numbers stayed the same.  I would suggest that you try and find the email for the IMAP settings for the correct server name and port settings to return to SSL.  SSL is part of the security feature in email that keeps wanted hackers out of your email by encrypting the data between your terminal and the web email server.

  It's unfortunate that you spent so much time and unnecessary $$ to not resolve the problem.  I refused to pay for something they could have just sent an email for instructions.  I didn't really need to have a huge conversation about the problem.

@PC2Networking !!!! Thank you so much for your response. Because of your message, I figured out how to use a different smtp address that uses ipage's server, not just the one associated with my domain. I checked the SSL box with that new server name and the email worked! QuickBooks Tech Support did nothing to solve my problem and sucked up a lot of my time, but I am so happy to have found the solution and made it more secure with your help. I didn't mind upgrading to a newer version of QuickBooks. But it's odd that the "QuickBooks Support Team" told me that was the older version was the source of my problem, tried to upsell me by $1000, and then it didn't even fix it. The real solution was not very difficult to implement either.

Hi, I have been a QuickbooksOnline user for a couple of years.  I’ve been sending invoices, estimates to my clients with no issues but sometime around February 2022, my clients have not been receiving our estimates and invoices.  I have called QuickBooks customer service, they have remotely accessed my computer but my issues WERE NOT RESOLVED.  QuickBooks need to step up and fix this once and for all.  It is obviously a software issue since most of us here are complaining that we had no issues before but suddenly we’re all affected by this faulty email service through all the QuickBooks applications.  

this is causing delay and confusion in our work.  WE DO NOT WANT ALTERNATIVE WAYS TO SEND INVOICES VIA OUR EMAILS.  We want to use the QuickBooks desktop or online they way it was designed, to send invoices/estimates for our QuickBooks softwares.

There are some possible reasons why you're unable to send an invoice via email. It could be due to the following:

 

  • The email preference is being set incorrectly.
  • A damaged QuickBooks installation.
  • Domain admin was blocked.
  • Account security settings from your email provider.

 

To isolate the issue, let's ensure that you update QuickBooks Desktop to the latest release. Once done, check the web mail's settings in the preferences.

 

  1. At the top menu bar, click Edit.
  2. Choose Preferences.
  3. Click Send Forms on the left panel.
  4. Under the My Preferences tab, select the email account you're using.
  5. Click Edit.
  6. Mark the SSL box, or just select Default.
  7. In the Server Name field, make sure the server name matches your email provider's settings.
  8. If you see smtp.mail.yahoo.com for example, change the name intuit.smtp.mail.yahoo.com and click OK.

 

Then, let's set up your email service in QuickBooks Desktop and try to send an email again.

Allow me to jump in and share appropriate troubleshooting steps to address the issue. This way, your customers would be able to view their invoices and pay them. 

 

To start, try to reset your email address inside QuickBooks Online. This way, we can refresh your details in the system. Here's how:

 

  1. Go to Settings ⚙.
  2. Under Your Company, select Account and settings.
  3. Click Company, then select the edit icon in the Contact info section.
  4. Review each email address and make changes as needed. You can also clear the Company email field and enter the desired address as is, even if it appears correct.
  5. Select Save, then Done.

 

After following the steps, try sending yourself a test transaction. If you still don't receive the email, try using a different email address that has a different domain (for instance, if you were using a Gmail email address, try a Hotmail or Yahoo address instead).

 

If the issue persists, you may need to ask an IT expert to have the QuickBooks Online mail server hostnames and IP addresses be added to your outgoing mail servers.

I finally have a solution to QB 2022 desktop invoices not being sent via email through my client's yahoo webmail and my outlook mail accounts.

 

Yahoo webmail requires a special app specific password for third party apps to generate an email which will send through webmail. Once you get that specific password from your account on the Yahoo the website, save it on your desktop in a text or PDF file. Go to QB preferences and set up "send forms" preference for Yahoo webmail. (Note that this is not you main Yahoo password but a specific one generated through your Yahoo account) The first time you try to send an emailed invoice from the QB invoice window, you will be prompted for this special email password. The wording is confusing because it asks for you email password. There is nothing to indicate that this is not your main email password. You will get a message that your email has sent successfully. You will not have to re-enter this special password again until you have closed QB and reopened it. That is why you save a copy on your desktop so you have easy access to it the next time QB requests it. Otherwise you will have to go back to your Yahoo account and get another app specific password.

 

I have to do something similar when I use Outlook to email my invoices to customers. In this case my email is an iCloud email which requires app specific passwords to send and receive iCloud email through 3rd party apps. When I set up Outlook to handle my iCloud email I had to get a special password for Outlook by logging into appleid.apple.com and signing into my apple id account. The nice thing about Outlook is that I do not have to re-enter this app specific password each time I restart Outlook. Apple does require me to get a new one occasionally. The time frame may be annually but not often. To get QB 2022 Desktop to send emailed invoices through Outlook, I have to follow the Yahoo steps above and get a new app specific password for QB from appleid.apple.com. In QB preferences I set up "send forms" to use Outlook. Thus far, I have been able to email invoices just fine as long as I re-enter the special email password the first time I send an invoice via email.

 

If any of this is confusing let me know and after 4/15/22 I'll give more detailed steps. I have spent what seems like days trying to work this out with QB support but none of the support agents knew the whole answer. Some had figured out that the issue was tied to the extra authentication email services were implementing which gave me a clue how to solve the Yahoo and Outlook-iCloud scenario.

Arbooks reply worked for me and is spot on!  After not being able to send emails for at least a couple years, I finally can do so again.  I have a yahoo email and never knew I needed to use a separate password for Quickbooks to be able to send emails on my behalf-you cannot use your normal password when Quickbooks prompts you to enter a password!  It has to be a special third-party password generated by Yahoo.  I cannot thank Arbooks enough, such a lifesaver, I hope others find it helpful as well.  Please see their post above, I'm sure I'm not explaining it very well, but they do a great job, and you can also google how to get a third-party password for yahoo email accounts and answers will come up there as well.

We’ll have to turn on the enhanced security in QuickBooks Desktop (QBDT) to resolve the issue. There are different ways how to activate the feature. You can change the current Gmail account to use the secure webmail or set up secure webmail when you first add Gmail.


Let me walk you through the process of how to do the first solution. Follow the steps below:

 

  1. Turn on 2-step verification for your Google account.
  2. Open your company file and head to the Edit menu to select Preferences.
  3. Tap the Send Forms menu on the left panel and go to the My Preferences tab.
  4. Navigate your mouse to the Send E-mail Using section and tick the radio button for Web Mail.
  5. Select Gmail User Id and Edit.
  6. Choose Use enhanced security and click OK.
  7. We’ll ask you to sign in to your Intuit account to complete the process.
  8. This will display your Gmail sign-in page and then sign in and grant Intuit access.
