Invoices I send to customers as well as invoices I receive from some vendors land in my deleted folder in outlook. Is there some setting to prevent this?

When I bcc myself on customer invoices, I see the invoice briefly hit my inbox and then get moved (without me touching it) to my trash folder.  Why is this happening?  Similarly, this also happens with some of my vendors who use QB.  I see the invoice come into my inbox and then disappear - I later find it in trash/deleted folder.

Thank you for bringing this to our attention, sbarrett.

We'll review your email preferences to determine if a rule was set to move the invoices to the folder mentioned above.

When you set up rules for your Outlook account, any emails that meet the criteria will be automatically sent to the Trash folder. It's important to review these rules to see if any of them are configured to send messages to the Deleted Items folder.

You also have the option to reach out to an IT professional for further assistance. They'll configure your email settings to prevent invoices from going to the Trash or Deleted folder.

If you're unable to receive emails from Intuit or your customers didn't get the sales forms you sent, these resources offer solutions to help fix the issue:

In case you wish to send reminder messages regarding overdue sales entries to your customers or integrate your Gmail address with QBO for invoice sending, refer to the articles below for detailed instructions:

Hi there, sbarrett.

Hope you’re doing great. I wanted to see how's everything going regarding the emailed invoices automatically moved to the Trash folder the other day. Was it resolved? Do you need any additional help or clarification? If you do, just let me know. I’d be happy to help you at any time.

Looking forward to your reply. Have a pleasant day ahead!

Same issue on Gmail, no obvious filter or preferences to be seen but many vendors invoices straight to trash folder.

Welcome to the Community, @Payton797.

I can help shed some light on your concern about Gmail. Even though you haven't set any specific rules or filters, many vendors' invoices are still ending up in the trash folder in QuickBooks Online.

To resolve this issue, make sure to add Intuit to your allowed list or safe sender list. Additionally, double-check for any faulty filters that might be redirecting your emails to folders other than your inbox. You can review your settings to see or modify where your emails are being sent. If you have filters set up, they may be sending some emails to the trash.

As my colleague suggested, I recommend seeking assistance from an IT professional. They can help configure your email settings to prevent invoices from being sent to the Trash or Deleted folder. You can also contact Gmail's support team for further guidance.

You can also refer to this article to learn how to add Intuit's service email addresses to your email whitelist. Additionally, you can find instructions on setting up QuickBooks Online to send invoices from your Gmail address.

I'm only a comment away if you have any questions regarding managing your invoices or bills in QuickBooks Online. Take care and enjoy your weekend!
