Hello mike16,

Let me show you how to print the filed 941 form so you can mail it to the IRS.

  1. Click on the Employees menu.
  2. Choose Payroll Tax Forms & W-2s, then Process Payroll Forms
  3. Choose filing period to Quarter Ending to 03/31/2018.
  4. Click on the 941 form.

If you need more help, please let us know.

What I need is copies of the forms your company filed for my company for 2019 by the quarter.

How do I print a previously efiled 941?

Hello there, captgary,

I'm here to help get a copy of the forms filed in QuickBooks Desktop.

If you're using our Assisted Payroll, you can follow the steps listed below to get the 941 form:

  1. Go to the Employees menu and select Payroll Center.
  2. Select the File Forms tab, and then View/Print forms & W-2s.
  3. In the Payroll Tax Center window, enter your Payroll PIN, then select OK.
  4. Select Filed Forms.
  5. Choose the forms you want to view, print, or save.

If you aren't seeing the filed return, I suggest chatting with our QuickBooks Desktop Assisted Payroll Team. They can help retrieve those quarterly forms for prior years.

If you're using the Enhanced Payroll, you'll want to pull up the Tax Form Worksheets to get all the detailed transactions that made up 941.

Here's how:

  1. Select Reports at the top menu bar.
  2. Choose Employees & Payroll, pick More Payroll Reports in Excel, then Tax Form Worksheets.
  3. If prompted by the Excel security warning, saying macros are not enabled in Excel, follow the directions to enable macros for your version of Excel.
  4. Choose the type of tax worksheet you want to create and the dates, click Create Report.

Let me know how everything goes by commenting below. I'm always right here to ensure you're able to get the 941 forms for 2019.

Hello there, nshah59,

Did you file your 2018 941 forms through QuickBooks Desktop? Have you moved recently to a new version of QuickBooks?

If the form is not filed through QBDT, you can check with the IRS directly to ask for a copy. However, if you've moved to a newer version of QuickBooks, it's possible that the backup or company file that was restored does not include the previously saved tax forms.

If you still have a backup copy of the file prior to the upgrade, you can restore it. Then, go back to the Save Filings section and check if you can see the older tax forms.

Follow the steps in this article about restoring backup copies: Restore a backup of your company file

Please let me know if you need further assistance.

How do I print a previously efiled 941?

Well ReymondO, that procedure usually works, but not always.

What you are pointing to is merely a link to the actual file, which can be found at:

C:\Users\Public\Documents\Intuit\QuickBooks\Company Files\QB {your company file name}\{your company file name} Tax Form History

Anything older than about 10 quarters is deleted in its entirety automatically by QB, for some reason.  That is why I keep a copy in a separate folder on my PC, as well as a hard copy.

Occasionally, a the file is not saved at all by QB.  You need to check and see.  If it is missing, then manually save another copy and go and place it in the folder that I notated above yourself.  Then the Link to it will appear in the place that ReymondO described.

How do I print a previously efiled 941?

When I tried that, I get an error message: "When you subscribe to Assisted Payroll, we started filing forms for you.". I tried to view/print forms & W2's as it said and I get nothing. I need these forms from 2018-2020

How do I print a previously efiled 941?

Hi there, MrsCrawdaddy.

Welcome back to the QuickBooks Community. I'll be sharing details on how Assisted payroll works in QuickBooks. Then, ensure you'll be routed to the right support team to assist you further in managing your taxes.

The error message you're seeing indicates that you're using Assisted Payroll. With this, Intuit files and sends your payroll taxes and forms automatically to ensure your business processes taxes on time. That's the reason why viewing/printing forms in the system got nothing.

I recommend contacting our QuickBooks Desktop Support Team. They have the tools to pull up your account in a secure environment which we're unable to do it here in the Community. Then, share with you the detailed information on how our support handles the tax forms and provide you a copy of tax forms or W2s.

Additionally, our support also can provide you the instructions on how you can have the permission or let you perform in paying and filing your taxes/forms.

Lastly, I'm adding the articles below to view steps on how you can keep your software up-to-date so you always have the latest features and fixes. Then, get the newest payroll tax table to stay compliant with paycheck calculations.

Keep me updated in the comments if you have any other questions about managing your tax forms. I'll be here to lend a hand.
