I'll share the steps on how you can deposit your check to your QuickBooks account. All you have to do is follow the steps below.

 

  1. Go to +New.
  2. Select Bank deposit.
  3. Scroll towards the Add funds to this deposit section.
  4. In the Account drop-down, choose your QuickBooks Cash account. Then, enter the check number from the Ref No. field and the Amount.
  5. Click Save and New. See the attached screenshot below.

I don't think I have communicated my question clearly enough.  I not asking how to entry a deposit into the ledger of my QB, instead I'm asking how to ACTUALLY deposit he check into my account.  I understand there are no physical branches to the QB Cash account so how do I DEPOSIT THE FUNDS?

The only way to put the money into your QuickBooks Cash account is by depositing the to your bank. Then, transfer it to your Cash account. You may need to set up an account you already linked for online banking a second time for QuickBooks Cash.

 

Here's how:

  1. Go to the Cash Flow menu.
  2. In the QuickBooks Cash section, select Transfer money.
  3. Select Transfer in. You won't transfer money yet, we just need to start the connection.
  4. Follow the onscreen instructions.
  5. Enter the bank's name and select a type in the Account Type field. Then select Next.
  6. Enter your info in the Account number and Routing number fields. Then select Next.
  7. When you're ready to connect, select Sounds good.

 

QuickBooks will send two small deposits to the account within the next 3 days. After you get the confirmation email, come back to QuickBooks to verify the transactions.

  1. Select the verify link in the email. Or sign in to QuickBooks Online, go to the Cash Flow menu, and select Verify bankNote: Some banks don't require verification. Instead, you can just select Add to connect your bank.
  2. Enter the two deposit amounts sent from QuickBooks. The order doesn't matter.
  3. When you're ready, select Confirm.

 

 

Once done, you can transfer your money into your Cash account. 

  1. Go to the Cash Flow menu.
  2. In the QuickBooks Cash section, select Transfer money.
  3. Select Transfer in.
  4. In the From field, select (+). Then select your connected bank account.
  5. In the To field, select your QuickBooks Cash account.
  6. Enter the amount you want to transfer.
  7. When you're ready, select Finalize transfer.

It would really be great if QB Cash would allow deposits of a physical check.  I want to close my traditional business  checking account with a major bank chain.  They charge me a fee to have my info imported into QB.  QB suggests the only way to deposit into QB cash is to deposit to the bank (the one I want to eliminate) and transfer the funds to QB cash.  Too many steps and fees.  I thought QB cash was supposed to simplify things for business owners.  Perhaps a rethinking.  Otherwise this platform of QB cash is def not for me.  I would assume many others as well.

Having the option to use a physical check for deposits would definitely simplify things for QuickBooks Cash. More deposit options might be available in the future, so you'll want to visit our QuickBooks Blog for updates.

Has any progress been made in this regard yet? I'm in the same situation of wanting to change to QB Cash for my business bank, but I need to be able to accept cash and checks.

I understand that the ability to use a physical check for deposits would make things easier for QuickBooks Cash. We always want our customer's success as we're in progress with making some features possible.

Hey Quickbooks Cash Product Team - I'd like to use the Quickbooks Cash bank account and close my other bank accounts, but not being able to make mobile deposits for physical checks is a deal-breaker.

This is the first banking service I have run into that doesn't offer mobile check deposit capability which has been standard for many years. Please add this as a high priority to your feature list.

This is just another reason why I feel Quickbooks is anything but that.

If some lazy accountant says to move to quickbooks online because they don't want to learn where wave put their buttons, don't listen to them.

 

Now I have more BS fees so that accountant could charge me BS fees of their own as a reseller. 

 

I am upset about it all.  Thinking about just moving back to Wave and giving my customers a discount for having to enter their CC information in QB online to pay their last few bills.

QuickBooks  Why am I being forced to use a different account to make cash and check deposits.    I had to jump through hoops this week to make a deposit.   I had to deposit a check to my other corporate bank I was glad I had not closed. Then I withdrew cash thinking I could deposit at the Allpoint ATM.  That was not the case.  Even though Allpoint accepts deposits, the quickbooks account is restricted and will not allow me to make a deposit.   Then I called and the person that answered from India told me to go to any bank and make a deposit. (I don't believe that advice is correct)  I was skeptical and so I asked if there any other way.  He said you can reload your card at any CVS or Walmart.  I went to CVS to reload $1000.  The lady said the limit is $500 but yes you can do that.  Being fed up and wasting too much of my time I did the reload.  It ended up costing me $4.95 for each cash reload, nearly $10

 

To sum things up.  I am dissapointed that a company such as Intuit can't use a better service than Greendot to offer a bank account.   

 

I am an accountant and up to now love all your services.  This service is great while you receive electronic payments.  The deposit services that are lacking almost makes it so tedious that I am not going to talk my clients into using your bank services.   

 

Choose a better service than Greendot prepaid cards.  There are many services out there that are much better than that.

The only work around is to process a payment by typing the routing and bank account number into the ACH fields, technically you have the authorization to process an ACH transaction because you are holding a physical check provided by your client. Until Quickbooks cash enables the deposit check feature like a major bank. Hope this help.

Wow. This is ridiculous that Quickbooks can't deposit a check into a BANK ACCOUNT! This is seriously the only reason I switched to Quickbooks. I guess it's time to cancel.

I am surprised that this is not working yet. I could even survive by mailing in checks for the short term, but otherwise I still need to setup a normal bank which takes away a bunch of the advantage of the account.

You communicated your question correctly.  The responses for Quickbooks tend to be wrong more than they are right.   I'm still trying to figure out if they're poorly trained people or poorly programmed bots.

I followed your instructions.  I still don’t understand what happens with the physical paper check I’m trying to deposit to my new QB Checking account.   Shouldn’t I have to take a pic of it or mail it somewhere for the funds to be captured?  I would think QBs would need the routing number and acct number from the check.

Thanks for visiting the Community, @Arbordave. Let me share further insights about depositing funds to your QuickBooks Checking account so you can manage your transactions in QuickBooks Online (QBO).

 

Your QuickBooks Checking account also holds real money like any other bank account. However, you don't need to take a picture or mail your physical check for your funds to be captured. You'll have to deposit it to your external bank account and transfer the money to your QuickBooks Checking account.

 

After you set up your QuickBooks Checking account, connect an external bank account to transfer money to and from it. The process is separate from online banking. You may need to set up an account you already linked for online banking a second time for QuickBooks Checking. To do this, here's how:

 

  1. Go to the Cash Flow menu and then select QuickBooks Checking.
  2. Select Transfer and then select to transfer money between your accounts. You're not going to transfer money yet. You just need to start the connection.
  3. Click Add a bank.
  4. Enter your bank's name and select your Account Type.
  5. Enter your Account number and Routing number info. Then select Next.
  6. When you're ready to connect, select Next.

 

QuickBooks will send two small deposits to the account within the next 3 days. Then, verify the transactions. In QBO, go to the Cash Flow menu and select Verify bank. Then, follow the onscreen instructions to complete the process.

 

Once you're done connecting an external bank account, you're set to transfer money in and out of your QuickBooks Checking account. For the step-by-step guide, please refer to this article: Use your QuickBooks Checking account (Step 3).

 

Then, go to the Banking menu and categorize your QuickBooks Checking transactions.
