Having to click Start Scan in QB DB Server Manager when QB stops working

Hi all, I'm really hoping someone can help with this ongoing problem that's eluding me.

 

The office is running QuickBooks Desktop Enterprise 19.  There about about a dozen workstations and the server is Windows Server 2016.  Suddenly, QuickBooks just stops working for everyone in the office (and this happens a few times a week).  The fix is simple but cumbersome: go to the server, open QuickBooks Database Server Manager, click Start Scan, and click OK to run the scan.  It always says: "Network Diagnostics: Check successful - no issues found.  Network Diagnostics: Repair successful."  This completely fixes the problem and the users can use QuickBooks again.

 

Anyone have any idea what's going on?!  How can I fix this problem?  Or can I at least automate this process so I don't have to keep going to the server and doing this temporary fix?

I appreciate you performing the initial steps to resolve the issue. We'll have to restart the QuickBooks Database Service Manager and configure the firewall to get you back up and running.


QuickBooks Desktop 2019 uses dynamic ports and specific port numbers for better performance. They can cause unusual behavior or errors once they are blocked. To resolve the issue, refresh the connection by restarting the QuickBooks Database Service Manager.


Here’s how:

 

  1. From your server computer, open QuickBooks Desktop.
  2. Then, tap the File menu to choose Open or Restore Company.
  3. Tick the radio button for Open a company file and look for the file you’re working on.
  4. Once opened, click on Next to mark the box for Open file in multi-user mode and tap the Open option.
  5. Next, log in to the company file and navigate to the File menu to select Close Company/Logoff.
  6. This action will close the company file on your server.
  7. Launch the Windows Start menu and enter Database in the search box.
  8. Open QuickBooks Database Server Manager.

Thank you for the response, Rasa-LilaM.  I only have the QuickBooks Database Server Manager installed on the server.  I don't have QuickBooks Desktop on there.  So, should I continue on to the "If you only installed Database Server Manager section" instead?  Perhaps I need the firewall exception as well?

Since your company file isn't on a server, I'd recommend you contact our Customer Care team. At this point, they are the best person that can help check your data and fix the issue.

You misunderstood me.  The company file IS on a server, but the server does NOT have the QuickBooks Desktop client installed on it.

The fix you mentioned on your first post was to ensure that the shared file and the Database Server Manager are in good conditions.

 

To correct the issue permanently, we can do the following:

  1. Set up folder sharing correctly.
  2. Configure the Database Server Manager.
  3. Set your firewall permissions.
  4. Update the Database Server Manager.

After that, you can go back to your QuickBooks and update the release version.

I am actually having the exact same issue on 2 different systems in different locations. Started a few weeks/month ago both running QB20 DBM on Server 2012 R2, randomly throughout the week I will have to click "Start Scan", it scans and says "No issues found" but "Repair Successful" and it will work for a period of time.

Here's how: 

 

  1. Go to the Help menu. 
  2. Pick QuickBooks Desktop Help
  3. Click the Contact Us option. 
  4. Type in your question and press Continue
  5. Scroll down and choose to Get a callback or Check availability

We had the same problem, almost daily. What's crazy is that it wouldn't kick users out of the company file when it happened, so users could be logged in and working, but the next user who attempted to open QB would receive the error. See attached errors.  Not sure if this will help anyone but I did the following. Our setup has the file hosted on a Windows Server (without the QB software), and the QB server software running on a Windows 7 computer. 

 

1) Uninstalled all versions of "QB Enterprise Server XX" on the hosting server except for QB Enterprise Server 20.0 which is the version we are on. Whenever we upgraded versions, the old Enterprise Server versions would remain. They never bothered us but we uninstalled just in case.

2) File->Utilizes->"Stop Hosting Multi-User Access"  on the QB server with the software.

3) Reboot both PCs.

4) Open the DB Server Manager on the hosting computer. Go to the Ports tab and hit "renew" next to Enterprise 20.0 to get a fresh port. Do the folder scan to share the files. 

5) Open the company file on the server and then host multi-user access again. 

 

I want to change our setup so that the QB software is also on the computer where the file is hosted. I believe from looking at the .ND file and some of the other errors that the DB Manager couldn't tell if the file was being hosted on itself or on the server with the software.  Hope this made sense.

Same problem here.  Firewall on server is OFF.  Happens almost every night.  I'm suspecting when the backup runs.

 

Is there a reason Intuit can't use a real database engine like SQL, MySQL, dBaseIV, etc.?

Let's make sure that the shared file and the Database Server Manager are in good conditions. We can follow the steps recommended by Rasa-Lilam.

 

Once done, you can proceed with the guide provided by JamesDuanT to resolve it permanently by doing these steps:

  1. Set up folder sharing correctly.
  2. Configure the Database Server Manager.
  3. Set your firewall permissions.
  4. Update the Database Server Manager.

For those that have had to do the Scan almost all the time now - I was able to find away to "fix" this. Seems when you have a backup service or something else on like that one the server that has the database files - the connections on the services get paused by Windows or stopped while still saying running. Try this script I wrote:

Hey blinix,

 

I've had this problem for years. Different machines, different servers, environments where I'd almost ONLY setup QuickBooks, even different jobs. I've NEVER been able to solve this. I upgraded from Premier to Enterprise thinking the Ent-level networking would be superior and solve this issue; it does not.

 

So I made a couple of modifications: 

1. I removed the part of the script that stops the service. So I have it only restarting the service.

2. I run it once per hour, not once per day. Why? Because why not. I'm already using task scheduler to restart the server (which is dedicated) every day at 3AM. Even then, my team will be (often) networking without issue in the morning, but we'd already be failing multi-user or getting error messages before lunch.

 

This solved the issue. I've been running it this way for a few weeks without issue.

 

Genuinely appreciate you posting this. This has been a game changer for me.

You are very welcome. I do not check this thread much but I have made changes to the said script that might help somewhat -- it has a GUI now if you wanted not to use task scheduler.

You can just use the .bat file --- either way --- it fixes what QB can't seem to fix or get right.

I can't believe it's a year-and-a-half since this post. Not only do I still use this (I just modified the batch file to DB32 when I switched versions the other day), I JUST downgraded from Enterprise to Premier... because now I can.

 

Thanks for the GUI version. What a win this is- you completely saved my QB experience.

Had a similar problem, the "Database monitor of quickbooks" has crashed.

but I notice it is "trying to start" but is unable due to the UAC the issue is it not as a service but an application.

 

but due to the windows setting in User Account Control (UAC) In the Server that hosting the company file

need to move it down to the lowest setting, so it won't be stopped by the windows and ask you to click OK.

 

I have not full test I will continue to see if this issue occurs but I notice the UAC and after that it worked.

I assume the "server" that hosting the file needs to be logged in.
