Welcome to the QuickBooks Community. I’m here to walk you through on how to move an item in an invoice from one line item to another.


You can move an item up or down in 4 easy steps. Here’s how:
1.    Create an invoice.
2.    From the Invoice screen, enter the information needed.
3.    On the Product/Service column, enter the items.
4.    You can move the item by clicking (long press) the Order (square of dots) next to the number line and move it up or down.


By following the steps above, you’ll be able to change the order of the items on your invoice.

Hi,

I want to move a line on an invoice.  I don't see the "order" square of dots.  Is moving possible or only copy, paste and then delete.  When I delete and then try to look at the items again (add time/costs) it get an unrecoverable error and it shuts down.

Helping you move a line item on your invoice is my priority. Let's get this sorted out.

 

We haven't received similar issues reported. The behavior you've experienced is probably a browser-related issue. Cache and cookies make the browser easier and faster to use. However, too much of these may affect the browsing performance. 
 

As an initial step, we can start with opening the QuickBooks account in a private browser.

 

If you're able to move a line item on your invoice using the private browser, let's go back to your regular browser and clear its cache.

  1. Sign in to your QuickBooks Online Company.
  2. Click (?) Help at the upper right corner.
  3. Select Contact US on the pop-up.
  4. Enter a brief description of your concern then hit Continue.
  5. Click Get a callback.
  6. Enter your contact information.
  7. Select Call me.

If none of the steps work, try using a different browser. Please get back to me if you continue to get the same results so I can look further into this. Have a good one.

I apologize....I wasn't clear.  I am using Qb2018 Desktop.  So no browser is involved.

Yes, you’re right. Moving the items from one line to another is currently unavailable in QuickBooks Desktop.


Since you encounter an unrecoverable error when deleting and replacing it, I recommend performing some troubleshooting solutions to isolate and fix the issue. You can start by identifying how many users are affected.


Create a different log in details and use it to open the same company file. If the problem only happens in one specific user, that credential might be damaged.


Let’s recreate it for regular users. Here’s how:

  1. From the Company menu at the top, select Set Up Users and Passwords and then Set Up Users.
  2. Click Add User.
  3. Provide a name and an optional password for this user and hit Next.
  4. Follow the on-screen instructions to customize the user's access, and click Finish.

Once done, log off the company file and sign back in using the new credentials. However, if the damaged user is an Admin, download and run the QuickBooks File Doctor. Follow the steps below:

  1. Download the tool and save it to a location where you can easily find it.
  2. Open the QBFD.exe file and follow the instruction to install the tool.
  3. In the next window, select the company file from the drop-down or click Browse to search for the file.
  4. Choose the appropriate option and enter your Admin password.
  5. Select whether you want to run the File Doctor on the Workstation or the Server.

Well, it's been 2 years since, in 2019, you reported that Intuit didn't include being able to reorder Invoice items useful enough to implement in one of Intuit's most expensive offerings, the desktop enterprise product. It's almost 2022, it's not in the current version QuickBooks Enterprise Solutions 21.0.

The feature is important. Often invoices are created line-at-a-time, but when it's time to bill the client, it's useful to group some items together.

Within our company we have someone unable to move the line items on an invoice. They hover the mouse over the square of dots but a red circle appears and they are unable to rearrange the order of the line items. Have you come across this before?

Thanks for joining this conversation, @Christy05. I'm here to provide additional troubleshooting steps to ensure your user can rearrange the order of the line items in the invoice.

 

To clarify are you using QuickBooks Online (QBO) program? If so, we can perform some basic troubleshooting steps to narrow down the cause of the problem. Let's begin with pressing the F5 key on your keyboard to refresh the invoice page. Then, try to drag the square icon in the line items to rearrange the order.

 

If the same thing happens, let's go ahead and run your QBO account in incognito mode. This doesn't store cache and browser history that sometimes caused issues when accessing the program. 

 

You can use these following shortcut keys depending on your browser type:

 

  • Google Chrome: press Ctrl + Shift + N 
  • Mozilla Firefox: press Ctrl + Shift + P
  • Microsoft Edge: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

 

Then, sign in using the user's login credentials. Once done, go to the Sales menu then, All Sales, and look for the invoice they need to rearrange the order of line items. Attempt to drag the square icon again to reorder the items. 

 

If this works, they have to go back to the regular browser and clear the cache. This will refresh the browser's background processes and have a clean slate. If not, this may be a browser-related issue. They can access the QBO account using different supported browsers as alternatives. 

 

You can also customize your invoice forms to add or edit your business logo, add or delete columns, and personalize your email message. This is also a great way to widen your business connection with your customer.

I'm having the same problem. I tried the process described above, but it didn't work.

 

I used to be able to rearrange lines on invoices or journal entries by dragging them, but it stopped working most of the time.  It's very strange, it stopped working and then worked one time for a JE and the immediately stopped again.  I've cleared my cache, rebooted, tried multiple browsers (Edge and Chrome), and two mice.  The odd thing is I logged in with my account on someone else's machine and it worked so it doesn't seem to be related to my login.  The drag feature also works for my colleagues on a Mac and a Dell XPS. I'm on a Lenovo Yoga.

Ok - I don't know what happened, but it just started working again for me 5 minutes ago when it hadn't been working for weeks.  I did update my bios today, but it didn't work immediately following that so I'm not sure if it was related.

I can see that you've already tried some basic troubleshooting steps provided by my colleague. Aside from using a different browser, your operating system also affects your navigation in QuickBooks.

 

Make sure your Lenovo is up to date, and you meet or exceed the System Requirements for QuickBooks Online. It may be the reason why you're able to access your QuickBooks using other devices just fine.

 

To get the best performance, you can check out the recommended specs for the Online version. In case you're using a supported device, ensure your browser is updated to the latest release.

It stopped working again for me.  Here's how my PC compares to the system requirements:
Windows PC: 

Windows 10 - I'm on Windows 10 Pro V10.0.19043 Build 19043

Intel Core i5 or comparable processor (2015 or newer) - I have

Processor Intel(R) Core(TM) i7-10510U CPU @ 1.80GHz, 2304 Mhz, 4 Core(s), 8 Logical Processor(s)

at least 4 GB of RAM - I have

Installed Physical Memory (RAM) 12.0 GB

Let me provide some information on why your PC stops working and guide you on what to do, tlehman1.

 

Ideally, if your computer meets the system requirements and if you're using the latest browser and operating system, you'll be able to use QuickBooks Online (QBO) without issues. Have you tried using a different computer aside from Lenovo Yoga? This way, we'll be able to isolate the issue if this is only happening once you use Lenovo or if the same behavior is also happening with other computer devices. 

 

You'll also want to reach out to your IT guy to double-check if there are factors why this is happening. You'll want to verify your internet speed (bandwidth) is not limiting your QuickBooks Online experience. Run a Google Speed Test to confirm your bandwidth/the speed of your connection.

I'm on the latest version of my browser.

Yes, I've tried my login on another machine and it works.

I don't know what speeds are acceptable, but I get 12Mbps downstream and 3Mbps upstream.

I have been having this same issue. I have posted in other spots here before with no response. 

I did just try your steps above and it did not make any difference. (Reset keyboard, refresh browser, browser (CHrome) is updated, tried incognito mode, and then tried a different browser and all the same. 

It seems that once I type anything into the description box of any service/line item, it no longer lets me move it. I have been using QBO for about 2+ years, on same computer and browser with no issues before. 

Is this any sort of update issue or change in system? Any help would be great! thanks.

I just discovered that this no longer works in Chrome or Edge browsers for Windows.

 

It does work in Firefox, but it is extremely tedious.  You must move the mouse very slowly and carefully when dragging an invoice line to a new position, and watch for the red circle with a dash to change to a green circle with an arrow, which indicates that the line can be dropped in that location.  You may need to move the mouse pointer slightly to the left or right to find the tiny spot where the circle will turn green.

 

Even when you get the green circle, it is virtually impossible to know exactly where the line will be dropped.  They will often "snap" one row above or below where you intended.  In my experience, it takes several tries to move each line.

 

This feature needs to be fixed, but it would be better if QBO also allowed quick sorting of line items by date or another column.

 

And it would be good if Intuit re-released the QBO app for Windows, which was free from these browser quirks.

So, I suggest sending product feedback to our developers to make adding this feature possible. Rest assured that they are bound to improve the QuickBooks Online (QBO) features to suits our customers' needs and preferences. Please follow the steps below to send feedback:

  1. In your QBO account, click the Gear icon.
  2. Select Feedback.
  3. Next, enter your comments or product suggestions. Example: Have an option for quick sorting of line items by date or another column on an invoice. 
  4. Then, select Next to submit feedback.

 

I also recommend visiting our QuickBooks Online Feature Requests website to track your suggestion. From there, you can also add votes to other product requests that you think might help optimize your QBO navigation.

 

In case you'll want to make your invoice forms more personalized to reflect your business identity, you can customize the templates you use.
