QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

Hi there, Balcerzak7.

Thanks for contacting the Community for support. I can show you how to permanently delete transactions so you'll be able to reconcile your account.

Here are the steps to get the transactions permanently removed:

1. Click the Banking tab in the left navigation bar.

2. Make sure the correct account is highlighted blue at the top of the page.

3. If the transactions in question aren't in the register, they will appear in the For Review section.

4. Locate the transaction in For Review and place a check in the box to the left.

5. Select the Batch actions button and choose Exclude Selected.

6. This item will be moved to the Excluded section.

7. Under the Excluded tab, place a check in the box for the transaction you'd like to permanently delete.

8. Choose Batch actions, then Delete.

9. You'll be asked if you're sure. Click Yes to confirm.

I've got an article for you that offers additional details on excluding transactions. You can view it by following this link: https://quickbooks.intuit.com/community/Banking-and-bank-feeds/How-to-exclude-expenses-from-download....

Additionally, this write-up gives some helpful pointers on the reconciliation process: https://quickbooks.intuit.com/community/Getting-started-with-QuickBooks/How-to-Reconcile-an-Account-....

With this information you'll be able to delete transactions that are causing discrepancies and get back to business. I'll be here if you have any other questions. You've got this!

The issue about the deleted transactions that are still appearing on your register has been resolved, @Saara Daniel. Rest assured that I've got the steps to help resolve this.

First, let's go to the Audit Log to verify if the income transactions were successfully deleted. Please make sure to log in to your QuickBooks Online (QBO) account as an admin before performing the steps below.

  1. Go to the Settings (Gear) icon at the upper right.
  2. Select Audit Log under Tools
  3. Click the Filter drop-down.
  4. Select the appropriate UserDate, or Events to narrow the results.
  5. Click Apply.

For detailed instructions, go through this article: Audit Log

If you've verified that the transactions were deleted, it could be the browser's cache is full. You'll want to access your QBO account via a private browser. It's a great way to isolate the issue since it doesn't store data in the cache. If you're using Mozilla Firefox or Microsoft Edge, press CTRL + Shift + P on your keyboard. For Google Chrome, hit CTRL + Shift + N. Press Command + Shift + N if you're using Safari.

Once logged in, go back to your register to see if the deleted transactions aren't showing. If it works, switch back to your default browser. Then, clear its cache. It refreshes the system, and you'll be able to work with a clean slate. If the private browsing doesn't work, please use a different browser

However, if you've verified that the transactions weren't deleted from the Audit Log, let's manually delete them on your register. Just select each transaction one at a time. Then, choose Delete as seen in the screenshot below.

DeleteTransactionsInRegister.PNG

After that, you can now reconcile your account to ensure it matches your bank statement. To learn more about this process, visit this article: Reconciling Accounts

Please know that I'm here anytime you have other concerns. Have a great day, @Saara Daniel.

QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

Dear Raymond,

Thank you for your reply! I think I figured out what is going on.

The transactions are showing as deleted in the audit log. However, soon thereafter, they are shown as being re-added to the account. I did not personally add them myself. However, these transactions are credit card income, which I recently set to auto-deposit into the account. So it seems each time I delete them, they are then auto deposited again.

I had already added these transactions manually, so I would like to keep the deleted transactions as deleted. Can you help? Thank you!

QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

I am sorry that I am just venting, but this caronavirus is completely devastating my small business and I can't apply for aid until you folks find a solution to this problem.

I have read every recommendation on this topic from the Quickbooks team and NOT one of the recommendations corrects the problem.

I am a small business that is devastated by this caronavirus and in order to get any financial assistance the SBA requires financials for the 12 months prior to Jan of 2020.

I have balanced my checkbooks 4 times now and followed 100% of how to delete transactions on the bank register.  Sadly, within 2 hours the transactions reappear and screw up my balancing of my 2019 books.

Why can't Quickbooks online find a solution to this problem.  It has been around for over a year.  Does it take a class action lawsuit for a solution to be found?  I need the SBA loans and Quickbooks online does not give small business priority.  I have requested and received 8 calls from Quickbooks online support today and none of them have any answers as to why this is happening.  They keep on saying the problem is being referred to a higher level. Seriously..... ?

Hi there, @metromuttscorp.

I can see the urgency of being able to remove the duplicate or multiple transactions to correct your records. Allow me to step in for a moment and guide you with the steps on how to delete those unwanted transactions from QuickBooks Online.

To get started, make sure to open QuickBooks as a master or company admin. Then, locate the transactions that are causing the issue and remove them from your account.

Here's how:

  1. Click on Chart of Accounts from the Accounting at the left pane.
  2. Look for your bank account from the list, then tap on the View register link under Action.
  3. Filter the transactions ( Reconcile StatusTransaction TypePayee, and Date).
  4. Look for the multiple records transactions, then select Delete to take them out from your register.
  5. Hit Yes to confirm the process and ensure they are taken out successfully.
  6. Replicate the steps for the other entries.

Once completed, you're now ready to reconcile your account. You can open the topics from this link as your guide: Learn the reconcile workflow in QuickBooks.

Just in case you're getting issues with your reconciliation, you can as well check out the instructions under the Fix issues during a reconciliation in QuickBooks Online article reference in fixing the errors.

Let me know how it goes on your end. I'm determined to get this fixed for you. Thanks for reaching out, I'll be standing by for your response.

I found if you undo the transaction you want to delete, then move it to the Excluded list, it doesn't return.

Another way is to delete it and when it returns for review, move it to excluded.

I 10000000% agree I am beyond frustrated we have been having the same issue with duplicate entries and whenever we go to delete them they just reappear in the next couple hours! I have contacted Quickbooks MULTIPLE times and no one can help me. Their solution was to just delete the entries (Well that doesn't work when they keep reappearing) We can't reconcile our books properly! I am paying for this subscription monthly and no one will fix this MAJOR issue! Every time I speak with someone they tell me its in investigation and someone is working on fixing the issue. Well my first contact was in July and it is now almost October and still no fix seriously!

QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

It is a weekend and I can not call customer service. I have had this issue for a couple weeks now. When I go into my bank feed to code transactions I have opted to exclude certian ones. As a control I eventually review all excluded transactions and once confirmed they should have been excluded I delete them.

The issue is that once you delete them from the excluded screen, they appear as for review next time you refresh the bank feed.

This is ridiculous that is is November of 2021 and this issue still has not been resolved.

Will QBO offer discounts to users who are affected by software failures that have existed for two years now and continue to exist? This is very typical of Intuit QB, tell customers that your engineers are working hard to fix it and hope to god they forget when you leave them hanging for a while....

QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

I understand how you want to permanently remove deleted transactions from the Excluded tab on the Banking page, Jonathan.

Deleted transactions should not be posted back to the For review tab. Since you're seeing them again, there could be damage on the company file.

You can log in to your account on a private browser. As an alternative, make sure to use updated and supported browsers. Check out this link to know what computer and browser you need: System requirements for QuickBooks Online.

Then, exclude and delete again those transactions. If it works, clear cache and cookies on your regular browsers.

If not, I recommend contacting our QuickBooks Live Team. They can create a case to isolate and find a permanent fix about the issue. They're available from M-F 6 AM to 6 PM PT and Saturday 6 AM to 3 PM PT.

You can get back to me by leaving a comment below if you have additional questions about removing deleted transactions. I'll be right here to provide the information that you need.

I have the same issue. I deleted transactions yesterday. However, they are showing as deleted on the audit log, but are still showing as pending transactions on my reconciliation report. I am trying to figure out what to do. When I look in the bank register they are not there, so I dont understand how they are still on the reconciliation report. Is there some way for me to refresh the report?

QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

Hi there, alantaxation.

Thanks for joining this conversation. I'm here to help ensure this is taken care of for you.

May I know if you excluded the transactions or just deleted them? I'm asking this because there's a difference between the two in QuickBooks Online (QBO).

Once a downloaded transactions are excluded, QBO will stop the bank from bringing them into the bank feed again. If you just deleted them, the system will recognize the transactions are not accounted for and will download them again from the bank.

If excluded the transactions and they're still showing, let's sign in to your QBO using a private browser (incognito). This will help us check if the browser is already full of frequently accessed page resources (cache and cookies), causing this unusual response.

Here's how:

  • Press Ctrl Shift (Google Chrome).
  • Ctrl Shift (Firefox).
  • Control Option (Safari).
  •  Ctrl + Shift + P (Microsoft Edge)

If everything looks good, return to your default browser and perform a clear cache to refresh the system. However, if the issue persists, try using other supported browsers.

To know more about managing and excluding bank trasactions in QBO, check out this article: Exclude a bank transaction you downloaded into QuickBooks Online.

If the same thing happens, I highly suggest contacting our Support team again. They have tools such as screen-sharing (remote access) that can pull up your account in a secure environment and check the cause of this odd behavior.

Refer to this article for the detailed steps to reach them: QuickBooks Online Support. It also contains our Support hours.

Moreover, I recommend visiting this article that tackles processing reconciliation for future reference: Reconcile an account in QuickBooks Online.

Please let me know if you have more questions about this or anything else. I'm always here to help. Take care.

QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

Hello, I'm having a similar situation. I deleted a transaction that was a partial payment on an invoice (my error). I've checked the audit log and it was deleted. After deleting the partial payment from my invoice, I then received the correct amount. The invoice is now showing paid in full, however the partial payment is still showing up in "bank review". QB online will not let me exclude it. I also cannot "unmatch" the transaction. I keep getting this notification:

"Something’s not quite right

This transaction has been partially matched and cannot be excluded."

UUGGGG! Any suggestions? I spent a couple hours on the phone with tech support and they could not resolve the problem. I'd appreciate any help. Thank you!

QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

Thanks for joining this thread, Gettingitright.

I'm here to help fix the error you're having when excluding a deleted transaction showing in your bank feeds in QuickBooks Online (QBO).

To remove the deleted transaction in question, you should first add them back from the For review tab. Afterward, locate them in the Categorized tab and select Undo to remove them from the list. This action will return the transaction to the For review tab. Finally, navigate back to the For review tab to successfully exclude the mentioned transaction.

Here's how to do it:

  1. In the For review tab, find the partially matched transaction and click the Add option under the Action column.
  2. Proceed to the Categorized tab.
  3. Locate the transaction and tick Undo under the Action column.
  4. Return to the For review tab, then find and select the transaction check box.
  5. Click Exclude.
  6. The transaction will now go to the Excluded tab. This is where you can completely delete it.

For more information about managing and excluding bank transaction in QBO, check out this article: Exclude a bank transaction you downloaded into QuickBooks Online.

In addition, I recommend performing a reconciliation on a regular basis to ensure you account is balanced and accurate. Refer to this article for future reference: Reconcile an account in QuickBooks Online.

Please let me know if you have more questions about this or anything else. I'll be here to assist. Take care.

QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

Hello FritzF,

Thank you for your reply! Here's what QBO wants me to do when I click on "undo" from the categorized tab. I created 32 invoices for customers and received the funds from the "find match" tab and recorded my deposit. That's when I realized I made the error & recorded that partial payment. After receiving against my invoices, I make the customer inactive because we're finished with that customer. So... when I click "undo" QBO is asking me to "make the customer active" to undo. I'm assuming I would have to "undo" all 32 customers, start over & redo my deposit?? Is that right?? If so, seems like a lot of work. I may just "add back" & then do a GE to remove the partial payment from my register. Let me know your thoughts.

Thanks again!

QBO, I deleted transactions but they still show on discrepancy report& cannot reconcile. Is there a way to permanently delete transactions that are not even in register?

Let's make sure your transactions are recorded correctly in QuickBooks, Gettingitright.

I understand that sometimes, you'll have to really invest a lot of time whenever certain error occurs especially with your recording.  This is extremely a very important process because it provides the basis for your financial statements and tax returns.

You'll have to activate your customers first to ensure you can proceed in undoing your transactions. I've added a screenshot for reference:

After you've made your customers inactive, you can now continue to undo the transactions:

Then, since you've already recorded a partial payment, exclude the transaction to prevent duplicates. I'll show you how:

  1. Go to Transactions, then select Bank transactions (Take me there).
  2. Choose the For Review tab.
  3. Tick the checkbox of the transactions to exclude.
  4. Hit Exclude.

However, I still recommend reaching out to your accountant to double-check the process or if there's any other steps that they can recommend aside from what you're doing.

Additionally, learn how to compare each transactions with the ones entered into QuickBooks. Go through this article for more details: Reconcile An Account In QuickBooks Online.

Please get back to us if you have any other concerns when matching your transactions. We're always right here to assist you with all your need. Have a nice day ahead!
