Our business has been in business for 50 plus years.  Last Friday, I tried to file our 940.  It was rejected because the SIGNATURE pin was not valid.  We have been filing for years and years with no problems.  I cannot locate a pin number  in any of our files to compare to.  I then spent 45 mintues on hold today with the IRS.  When I finally reached someone, I was told that the IRS did NOT haver a 94x signature pin on file.  I asked why and was told that someone must have been using an incorrect pin.  How does that happen.  I have been with the company for 15 years and I know there haven't been any problems.  I was told AGAIN that we needed to do a 94x signature pin application with our provider.  Does anyone have ideas on what might becausing this issue?

I know this must be frustrating for you. Let's take a look to see if we can get the pin to work. If you have had successful filings in the past, could be the Credential Vault might be corrupted. To determine if this is the issue, follow a few simple steps listed below:

  1. Login at the E-file page and uncheck the Remember My Information for Next Time box.
  2. Verify and re-enter your ten digits numeric PIN you requested and received from the IRS after enrolling to e-file the 94X.
  3. Re-submit your filing.

Note: If this resolves the issue, the next time you file your 940/941, check the Remember My Information for Next Time box, so your Login information captures. Then re-entered into the Credential Vault.

 

However, if you don't remember your pin check out, E-File 10-digit PIN lost or missing and get started with getting a new pin.

The 10-digit PIN you obtained after enrolling in the IRS e-File Program is one of the requirements when e-filing tax forms. If you do not receive this PIN or have lost it, you'll need to contact the IRS to request the status of your application.  

 

Please note that you can enroll in the IRS e-file program only once. If you have e-filed forms before using other channels or services, you don't have to re-enroll. You can use the same 10-digit PIN to e-file in QuickBooks Desktop.

I have my 10 digit PIN already but it is not being recognized in Quickbooks. QB wants me to enroll again, which I did, but it just got rejected from the IRS because (surprise) I already have the PIN ... there is no place in QB to enter this info as far as I can see. HELP ... I really want to e-file my 941s!

Why is it requiring a 10 digit signature PIN all the sudden?  Everything has been saved on our system for year, so I don't have the paper copy of it to remember.  I don't understand how it doesn't accept it all the sudden? How do I go about getting this 10 digit signature PIN in a quick manner now?

Let's make sure you'll be able to file your 941 form, PeggyRHS.

 

QuickBooks lets you run in two modes, this is single and multi-user modes. You'll have to make sure that you're running as admin in QuickBooks to prevent issues when filing the form. To check if you're running as admin, you can follow the steps below:

  1. Log in to your QuickBooks application using your username and password. 
  2. Click File in the QuickBooks menu. 
  3. Read the option that appears below the menu's Close company option. If this option reads "Switch to Single-user Mode," you are currently in multi-user mode. If it reads "Switch to Multi-user Mode," you are currently in single-user mode and have administrative privileges.

 

Also, ensure you're using the latest payroll tax table. Then, uncheck the Remember my information for next time box to remove any saved information that may have been the cause of the error. Please go through this article for more information: Handle Payroll E-file and E-pay Rejections

I need some help. I used to use desktop payroll 25 yrs ago. I have a friend that just started using it. 

The 10 digit pin, is this your password to get into eftps. I have another client that says its the password to eftps. I tried that and got rejected. I have our enrollment trace number, I remeber something about that. the first 10 digits. The IRS was useless, I waited 2hrs on hold and nothing. If anyone could quide me on where I could get or find this 10 digit pin, I would be very grateful .

Yes, a 10 digit pin was used for E-Filing,  Mikie.

 

I'd be happy to assists you with getting your 10 digit pin. 

 

You can only ask for a new one through the IRS website if it's missing or lost. Once your enrollment for E-file services is approved, IRS will provide you a 10-digit PIN that you need to enter every time you e-file Federal Forms in QuickBooks Desktop.

Also, make sure you have the most recent payroll update to avoid any disruptions while processing your E-file/E-pay in QuickBooks.

You need to call the IRS.  I just had this problem and here's how I fixed it.  I'm posting this answer because I struggled to find it on the QB Community.

 

Call 1-866-255-0654, Option 1, Option 2.  I was on hold for about 30 minutes before I was transferred to the 941 department.  Then I was on hold for another 1.5 hours. Explain to them that you updated QuickBooks and the 10 digit efile PIN disappeared.  You don't know what the number is and you need a new one mailed to you.  By the way, the IRS website says this can take up to 45 days.  The owner of the company will need to speak to the IRS or you won't get anywhere with them.  You'll need to provide your EIN, name of company, address, and telephone number.  Once you're through, they'll give you a Case #.  You'll only receive your 10 digit PIN in the mail within 45 days, so plan accordingly if you have forms due before then.  You may need to mail in the forms if you don't receive your PIN in time to efile.

 

It's a pain, but this is the only way around it.

To answer your query, the e-file PIN consists of 10 digits and not the last 10 numbers. Once your QBDT enrollment is Accepted when the agency receives your enrollment, you'll get the PIN by mail.
