How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

I tried both QB desktop 2020 and 2021 and printed the 1099. It doesn't line up with the IRS form.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

Thanks for the information. Sadly, this doesn't work. I have numerous clients (each with their own QB file) and it's happening on all those companies.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

Thanks for joining us here, Carol.

Misalignment when printing forms and other transactions can either be a QuickBooks or a printer issue. I'd like to ask if you've tried all the steps that are shared in this thread? We just want to make sure that we're not missing anything that might have resolved the issue.

If not, let me re-share these articles so you can go through each one of them:

After that, print a 1099 form once again to check if the forms are aligned properly.

If you're still getting the issue, I would recommend reaching out to our Payroll Support Team. They can take a closer look at this to determine what's causing the issue. Here's how:

  1. Go to the Help menu and select Contact Us.
  2. Click Contact Us.
  3. Provide a short description of your concern, then click Continue.
  4. Select between Chat or Callback.

You can also reach out to them via chat using this link: Contact Us.

Allow me to share these articles with you in case you need more references:

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

I did follow all the steps, even through the Tool Hub and File Doctor. Resharing articles isn't very helpful (particularly as I'm not using a continuous feed printer) and I really don't have time in January to wade through these issues. All other reports in QuickBooks print beautifully as well as printing from all other programs. This seems to an issue with the 1099s only. No need to respond. I'll figure a workaround.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

I am using QB 2021 desktop, and the Social Security, Name and Address are not printing in the correct spaces. They are way off. The company name and the amount in box 1 print correctly.

Hi there, MelinTexas.

Let's perform some troubleshooting steps that can help us fix this. To start, let's check the printing alignment and adjust it if necessary.

I'll show you how to do it:

  1. Go to the File menu at the top.
  2. Choose Printer Setup.
  3. Tap the Form Name drop-down arrow and scroll up.
  4. Tick Align button and make the adjustment.
  5. Press OK twice to save the changes.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

The alignment adjustment does nothing to the layout of the 1099.  I have tried all the suggestions and nothing seems to work.  As this seems to be a common issue, I am surprised that QB just posts the same 'fix' which obviously does not work.  It prints correctly in the payers box but then double or triple spaces the info for payers tin and recipients name and address.  I did not had this issue last year..same printer same program..QB Premier 2021

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

The QB 'fixes' to this problem do not work, including the fact that the alignment does nothing to the layout of the page.  To reiterate, the info. in the Payers box and the amount paid, lines up perfectly, but then for some reason the information in the lower boxes double or triple space between lines..thus the misalignment.  I did not have this problem with my older version of QB...I now have 2021 Premier

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

Let me assist you in printing 1099, @AJcr

There's an option in QuickBooks Desktop to align the form 1099. You'll want to follow these steps:

  1. Go to the File menu and select Printer Setup.
  2. From the Form Name drop-down, choose 1099s/1096.
  3. Tap the Align button and make the adjustment. You can also print a sample by clicking Print Sample.
  4. Click OK twice to save the changes.

Before that, make sure that your QuickBooks is up-to-date. Also, you can run the QuickBooks Print & Print Repair Tool to fix issues in printing forms.

Once done, print the 1099 forms again. For the detailed steps, here's how to align forms in QuickBooks Desktop.

Get back to me if you still have questions or concerns with 1099 forms. I’m more than happy to assist further. Have a great day ahead.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

I can't align the 1099-nec form. The Payer's name comes out in the correct position, but the lines after that have too many spaces between them to align properly.  I have tried the align function, but it does not resolve the problem.

Hi @Manager45, I want to ensure this problem is addressed timely.

For all customers who are having trouble printing 1099s, the supposed fix where to install QuickBooks' latest released versions. Press the F2 key on your keyboard and review the list below for reference.

QuickBooks for Windows:

  • QuickBooks 2022/Enterprise 22 - R3_71 (or later)
  • QuickBooks 2021/Enterprise 21 - R8_62 (or later)
  • QuickBooks 2020/Enterprise 20 - RR13_39 (or later)
  • QuickBooks 2019/Enterprise 19 - R16_55 (or later)

QuickBooks for Mac:

  • QuickBooks Mac Plus 2022 R4 (or later)
  • QuickBooks Mac 2021 R8 (or later)
  • QuickBooks Mac 2020 - update coming soon
  • QuickBooks Mac 2019 - update coming soon

Since the issue persists, I recommend contacting our Customer Care Support. You can work with one of our specialists to let our engineering team investigate why the latest released still not printing forms as expected. I'll show you how.

  1. Go to Help.
  2. Select QuickBooks Desktop Help.
  3. Click Contact Us.
  4. On the Tell us more about your question section, enter a few words describing your initial concern.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

Re: printing on new 1099 forms (2021)... three 1099s per page... Quickbooks Desktop(2018) is still setup for old forms. I have tried to align, I have clicked ok, it doesn't change anything. I don't know what to do. My only other option is to hand write them all. Help!

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

Hello there, cqlusk.

I'd like to share some insights about printing 1099 forms in QuickBooks Desktop.

To generate and print 1099-NEC forms, we'll need to use one of the supported versions of QuickBooks. It also needs to be updated to the latest release and get the recent payroll updates.

Below are the current list of the supported versions:

  • QuickBooks 2022
  • QuickBooks 2021
  • QuickBooks 2020
  • QuickBooks 2019

If you're interested in upgrading your QuickBooks, you can check out this article for more information: Upgrade QuickBooks Desktop Pro Plus, Premier Plus, or Enterprise.

I've included this useful resource that may come in handy in the future: Create and file 1099s with QuickBooks Desktop.

You're always welcome to post in the Community or click the Reply button for follow up questions about 1099 forms. I'll be happy to help.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

I have tried all recommended updates and fixes. I can use Align to fine-tune the placement of one entry (out of the three per page on 1099-NEC); however, when the top entry is correctly aligned the second and third are not, and since they CANNOT BE ALIGNED INDEPENDENTLY of one another, adjusting one throws the other two out of alignment. I have tried both IRS-provided forms and forms purchased from Staples (Adams brand – meets IRS specifications). QB should ensure that forms can be properly filled (without hours of wasted effort) or grant users greater ability to manipulate text within fields themselves. Attempts to access help have been ineffective and QB responses here are repetitious suggestions that do not work. User input has been interesting though -- print PDFs 102%, print one entry (delete others) at a time, pay QB $199 for assistance...

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

Hi Tim,

Your solution seems like the best option for me at this point, having tried almost all other suggestions without success. Does the IRS accept the 1099-NECs, multiple pages submitted with only 1 form filled out per page? If so, do you simply leave the 2 bottom forms blank or do you actually mark them VOID? (IRS has been as impossible to reach as QB). Thanks for any assistance.

I appreciate you for trying the solution shared above, deboyd.

Can you tell me the exact error message you've got?

In the meantime, let's try running the  Verify and Rebuild Data. This identifies the most common data issue within the company file and resolve it.

How do you align the 1099 and 1096 forms when printing in Quickbooks desktop?

Same issue.  Been on the phone with support for over 2 hours now and still no fix.  She actually made it worse.  It's now wanting to print only 2 vendors per page instead of 3.   It's the gap between each vendor that is off.  That is why the alignment tool won't work.  My alignment tool also errors out and quits quickbooks if I try to print a sample.  Don't print a sample!  Alignment won't fix it anyhow.

We can run the QuickBooks PDF & Print Repair Tool to help us resolve common printing issues in QBDT. Before we begin, let's download the QuickBooks Tool Hub first.

Here's how:

  1. Close QBDT.
  2. Download the most recent version of the QuickBooks Tool Hub
  3. Save it somewhere you can easily find it (like your Downloads folder or your Windows desktop).
  4. Open the file you downloaded (QuickBooksToolHub.exe), then follow the on-screen steps to install and agree to the terms and conditions.
  5. Double-click the icon on your Windows desktop to open the tool hub once the installation is complete.

Then, open the Tool Hub to run the QuickBooks PDF & Print Repair Tool. Here's how:

  1. Go to Program Problems.
  2. Select QuickBooks PDF & Print Repair Tool

Once done, go back to the 1099 Wizard in QBDT and print the form.
