EXPORT PAYROLL TO DESKTOP MAC

We are in the same boat. Here is a brief (yes...this long post is the brief version) rundown of what we are experiencing.

 

We have been running QB Mac Desktop 2020 and QBO Payroll for some time. When Intuit Online Payroll switched to QBO Payroll, we lost the ability to auto-update our desktop with the online payroll info. Finding it a difficult task, we are behind on our desktop records and have no payroll info in desktop since May 2021.

 

We felt the push from QB to upgrade to QBO. Looking it over and finding it to seem much more user friendly, we made the jump thinking it would be easier to update our books online. We were offered 50% off for 12 months.

 

When we switched to QBO Plus through a chat, I failed to let the sales person know we had an existing Online Payroll account (I thought that would be evident on their end). As a result, a second Company ID was established for us with no possible way to link the QBO Plus to the QBO Payroll. I was told I could not export Plus to Payroll or vice versa. Through another chat, we cancelled the Plus account and added a Plus account to the existing Payroll. This resulted in the loss of the 50% off for 12 months offer and we instead received 50% off for 3 months. Seeing that our COA was too large for Plus (it needs a major overhaul), we upgraded again to QBO Advanced.

 

I then proceeded to export our Desktop to Online. The data never appeared in our new Online Advanced account. After some searching, I discovered there was a second Advanced Company ID created as a "trial" the same day the new Plus was added to our Online Payroll. That is where the export showed up. I quickly cancelled that trial so as not to start being charged for an unwanted account (QB is already bleeding us dry as it is). Still, the account I needed the Desktop data to export to was not available as an option.

 

Several chats, emails, phone calls later I am left with the black hole you are experiencing. I cannot export Online Payroll to Desktop because Payroll is not a standalone product (quote). I cannot export Desktop to Online without wiping all the Online Payroll history that goes back a few years. I can download an Excel file from Online Payroll that does not provide the full data of the checks, yet there is no way to import even that limited data into Desktop as it must be an iif file (i.e. fork our more money for a third party data converter that only seems to convert lists and journal entries).

 

In my last Facebook Messenger session with QB, I was told they could cancel my Advanced account on their end, disassociate the Advanced from my Payroll account, I could then export Payroll to my desktop, make sure everything in desktop is up to date, then open yet another QBO Advanced account an export from desktop to online. Then I was told a short time later that this is also not a possibility.

 

So here we are PAYING for QBO Advanced and QBO Payroll and not being able to use them together because QB totally missed the mark on uniting their services.

I feel your pain. Truly. You're correct that our situations are identical. And it's based on the failure of Intuit to come up with an acceptable porting strategy to allow those customers it recruited with its Quickbooks Desktop (a great product) and then Intuit Payroll (which was a good product) and later Quickbooks OBO Payroll (which was a somewhat less good product) to easily convert from a QBDT/OBO-Online setup to a full QBO setup - which is what it's pushing all its customers to do in the first place

 

It's common in companies to make it difficult or impossible for customers to make a change that the company doesn't want you to make. It takes a rare company of exceptional ineptitude to mess things up when you're actually doing what they want, and buying the products they want! 

 

It should come as no surprise to anyone following this thread that I tried to follow the two suggestions about exporting my QBO Payroll data into an IIF file, and this proved impossible to do, because the Export settings and functions described do not even appear on my QBO Online website pages. 

 

Absent any additional help on this site in the next few hours, I'll try tomorrow to sort this out again. I manually input ALL of my March payroll data into QBDT - every single tax account - an effort that took 3 hours when it used to just take a click. I have two April payrolls so far I'm going to try and see if QB CS can help me solve so I don't have to keep inputting everything manually - because at that point there's no point using any Quickbooks product. 

 

Ah well, another day looms.

Allow me to forward you a couple of screenshots that show why we're all so frustrated and angry. Your instructions work UNTIL you get to Step 3. Note that we can find the "Export" section, but once we select it, NO WHERE on the page is there the option to select Quickbooks Desktop for Mac as a support option.

This isn't the kind of experience that I'd like you to have while using QuickBooks, and we know how much time it can take when something isn't working on your end. 

 

Since the issue still persists, I suggest contacting our Customer Care Team. Our agents can check the system and fix what's preventing you from exporting the payroll details.

 

 Here's how you can reach our payroll support: 

 

  1. Click the Help menu in the upper-right-hand corner.
  2. Type in "Talk to a human", then press Enter.
  3. Look for I still need a human and click on it.
  4. Click Get help from a human or Contact Support Team.
  5. Select between Send a messageSchedule an appointment, or Get a callback.

THIS!! This is why we are all mad!

 

1) the EXACT same response over and over

 

2) we HAVE contacted the Customer Care Team multiple times and not one "specialist" has a solution

 

3) the Exporting to QuickBooks for Mac link shows options which DO NOT exist (see section in attached pic)

 

4) the QuickBooks Desktop export troubleshooting link has another link (www.MacPayroll.com) which says Server Not Found. (pics attached)

 

QuickBooks doesn't even know their own systems and products. This is infuriating and insulting that we keep getting sent to support, troubleshooting, chat, and tutorials that don't work, don't exist, or are outdated......as if we haven't already been to each one of those a dozen times each.

Thank you for taking the time to follow up with us and sharing your concerns. I wanted to chime in to share some helpful information about Intuit Online Payroll (IOP). 

 

Intuit recently discontinued Intuit Online Payroll and replaced it with QuickBooks Online Payroll. I wanted to give you the steps to export the data from QuickBooks Online Payroll to ensure you get on the right track. I've included those steps below. 

 

First, you'll want to ensure you prepare your transactions in a spreadsheet file. Be sure that the items on it match the template on QuickBooks. This way, you'll be able to export them successfully. Here's how: 

 

  1. Go to the File menu, then choose Import
  2. Select the transactions and the transaction type you want to import. 
  3. Tap on the Gear Icon, then click Export table template
  4. Enter a name, then save the template. (This will download the template on your spreadsheet application).
  5. Attach your transactions to the template, then save your work. 

 

When you're ready, here's how you can import:

 

  1. Open your spreadsheet file. 
  2. In QuickBooks, click on the File menu, then Import
  3. Choose Transactions then the Transaction type you want to import. 
  4. Copy the transactions from your spreadsheet, then paste them to your import window. 
  5. If everything looks right, hit Import

 

If you're having issues importing this way, we can import using an IIF file as another option. Here's how: 

 

  1. Go to the QuickBooks payroll website. 
  2. Choose the employees and then the paycheck list. 
  3. Click on the box to the left of the paychecks you want to export. 
  4. Look for three boxes, Print/Export to Accounting/Void
  5. Select Export to Accounting.

If you're having issues importing this way, we can import using an IIF file as another option. Here's how: 

 

  1. Go to the QuickBooks payroll website. 
  2. Choose the employees and then the paycheck list. 
  3. Click on the box to the left of the paychecks you want to export. 
  4. Look for three boxes, Print/Export to Accounting/Void
  5. Select Export to Accounting.

 

I do not have three boxes. I have one box (Print) and a drop down “Share” menu (Export to Excel / Print or Save PDF). There is also a drop down menu next to the “Print” option next to each individual check (Delete/Void/Edit).

 

I am assuming I use the Export to Excel option. However, this list only provides the Total Pay and Net Pay, but no breakdown of the Wages/Taxes/Deductions. Will I have to edit each individual check after importing into desktop?

Let's ensure that your preferences are set up correctly. Follow the instructions below: 

 

  1. Go to the Gear icon and select Payroll settings.
  2. Click the Pencil icon on the Export section.
  3. Choose where you want to export your payroll transactions. You can choose QuickBooks Desktop for Windows or Mac using a downloadable IIF (Intuit Interchange Format) file or QuickBooks Online that sends data directly to your QuickBooks account. Select Continue.
  • If you choose to export to QuickBooks Online. You may be prompted to sign in and select the company you want to export into.

       4. Complete the fields by adding the name of each account you are exporting your liabilities and expenses to. We recommend that you have a copy of your QuickBooks Chart of Accounts handy.

       5.  When complete, select Done twice.

Ok. I have been successful so far with the import template, however, I can only seem to get the Bank Account, Payee, Date, one Expense Account and Expense Amount. There are several Expense Accounts per payroll check (wages, federal taxes, state taxes, unemployment, social security, retirement deductions, health saving account deductions, etc.) If I have to enter the info into the template, import, then edit each check with all the other needed info, I may as well just manually enter all info for each check straight into QB Desktop. Why was the auto sync/import function of Intuit Online Payroll left out of QB Online Payroll?

 

AND…once I import all payroll info into desktop, then export desktop to online, all my online payroll data vanishes. Why??? Why not just be able to MERGE my desktop (without updating all the payroll) to online? I have not had so much difficulty in upgrading products with any other platform I have ever used. 

 

AND…okay, I import all paychecks into desktop. Now I have to also import all tax payments from Online Payroll to Desktop or they will also be lost when I export from Desktop back to Online. And this still doesn’t answer the question of why my QB Desktop doesn’t even recognize my Online account as a destination to send the export. How do I even get my data to online once I have Desktop updated???

 

So many questions with so few answers. WHY IS THIS SO HARD?

OMG!!! This advice AGAIN!?! There is no Export section in the Payroll Settings! I have reported this multiple times with multiple screenshots.

We too have the "Ghost Import" it tells us payroll has been imported to Mac desktop but never is.  It has been almost 2 months of no service or help, I have circumvented QB and manually entered payroll into the register.

I too am looking for different program.  Good luck everyone!

Hi, Im not an accountant, I am a business owner of 30 years. I am a plastering contractor about to throw in the towel because Quickbooks stopped syncing checks written to my men into my quickbooks for Mac. I since have migrated my desktop to my online payroll, but the new platform is not so simple for me. I just want the bank transactions to show up in my desktop for Mac like they used to do. but since I purchased the online payroll six months ago the syncing stopped and I had to manually enter in every transaction painstakingly. Can you help me sync my desktop for Mac to my bank accounts?

I can guide you with fixing the issue you're having to sync your bank transactions to your QuickBooks Desktop for Mac, @Chelsea123.

 

First, make sure that you have the latest release for your QuickBooks Desktop for Mac. You can install the update from the QuickBooks menu. Check this article for detailed guidance: Update QuickBooks Desktop to the latest release. Then, create a backup of your QuickBooks company file to use the file in case you run into some problems. 

 

Once done, make sure the financial institutions' list is up-to-date. You can do it by deleting the fidir.txt file from the Library or Applications. See this article for detailed guidance: Fix online banking issues in QuickBooks Desktop for Mac. You can also follow the next solutions provided in this article if the first one didn't work. 

 

After downloading transactions from your bank and you already have similar entries in your register, here's how you can add and match those transactions to avoid duplicates: Add and match transactions in QuickBooks Desktop for Mac.
