How do I export from online payroll to Mac desktop into my check register. It was very easy until I started using the new version. I can export payroll taxes easy but not the employee check into.

I'm here to ensure you're able to export employee checks from QuickBooks Online to Desktop for Mac, @jheselius.

In preparing your transactions in a spreadsheet file, make sure that the items on it match the template on QuickBooks. This way, you'll be able to export them successfully.

To do this, here's how:

Go to the File menu, then choose Import.
Select Transactions and the transaction type you want to import.
Choose the gear menu, then click Export Table Template.
Enter a name, then save the template. This downloads the template in a .CSV (spreadsheet) file.
Open the template on your spreadsheet application.
Attach your transactions to the template, then save your work.

When you’re ready, here’s how to import your transactions.

Open your spreadsheet file.
In QuickBooks, go to File, then select Import.
Choose Transactions, then the transaction type you want to import.
Copy the transactions from your spreadsheet and paste them on the import window.
If everything looks right, click Import.

If the same thing happens, you can use an IIF file as another option.

Go to the QuickBooks payroll website.
Choose the employees and then the paycheck list.
Click on the box to the left of the paycheck you want to export.
Look for 3 boxes Print/Export to Accounting/Void.
Click Export to Accounting.

Is this really how we have to export now? What a PITA. I think I will look for new options for payroll. Can you tell me if there is another payroll service that works? Longtime customer don't have to manually do this.

We are in the same boat. Here is a brief (yes...this long post is the brief version) rundown of what we are experiencing.

We have been running QB Mac Desktop 2020 and QBO Payroll for some time. When Intuit Online Payroll switched to QBO Payroll, we lost the ability to auto-update our desktop with the online payroll info. Finding it a difficult task, we are behind on our desktop records and have no payroll info in desktop since May 2021.

We felt the push from QB to upgrade to QBO. Looking it over and finding it to seem much more user friendly, we made the jump thinking it would be easier to update our books online. We were offered 50% off for 12 months.

When we switched to QBO Plus through a chat, I failed to let the sales person know we had an existing Online Payroll account (I thought that would be evident on their end). As a result, a second Company ID was established for us with no possible way to link the QBO Plus to the QBO Payroll. I was told I could not export Plus to Payroll or vice versa. Through another chat, we cancelled the Plus account and added a Plus account to the existing Payroll. This resulted in the loss of the 50% off for 12 months offer and we instead received 50% off for 3 months. Seeing that our COA was too large for Plus (it needs a major overhaul), we upgraded again to QBO Advanced.

I then proceeded to export our Desktop to Online. The data never appeared in our new Online Advanced account. After some searching, I discovered there was a second Advanced Company ID created as a "trial" the same day the new Plus was added to our Online Payroll. That is where the export showed up. I quickly cancelled that trial so as not to start being charged for an unwanted account (QB is already bleeding us dry as it is). Still, the account I needed the Desktop data to export to was not available as an option.

Several chats, emails, phone calls later I am left with the black hole you are experiencing. I cannot export Online Payroll to Desktop because Payroll is not a standalone product (quote). I cannot export Desktop to Online without wiping all the Online Payroll history that goes back a few years. I can download an Excel file from Online Payroll that does not provide the full data of the checks, yet there is no way to import even that limited data into Desktop as it must be an iif file (i.e. fork our more money for a third party data converter that only seems to convert lists and journal entries).

In my last Facebook Messenger session with QB, I was told they could cancel my Advanced account on their end, disassociate the Advanced from my Payroll account, I could then export Payroll to my desktop, make sure everything in desktop is up to date, then open yet another QBO Advanced account an export from desktop to online. Then I was told a short time later that this is also not a possibility.

So here we are PAYING for QBO Advanced and QBO Payroll and not being able to use them together because QB totally missed the mark on uniting their services.

I feel your pain. Truly. You're correct that our situations are identical. And it's based on the failure of Intuit to come up with an acceptable porting strategy to allow those customers it recruited with its Quickbooks Desktop (a great product) and then Intuit Payroll (which was a good product) and later Quickbooks OBO Payroll (which was a somewhat less good product) to easily convert from a QBDT/OBO-Online setup to a full QBO setup - which is what it's pushing all its customers to do in the first place!

It's common in companies to make it difficult or impossible for customers to make a change that the company doesn't want you to make. It takes a rare company of exceptional ineptitude to mess things up when you're actually doing what they want, and buying the products they want!

It should come as no surprise to anyone following this thread that I tried to follow the two suggestions about exporting my QBO Payroll data into an IIF file, and this proved impossible to do, because the Export settings and functions described do not even appear on my QBO Online website pages.

Absent any additional help on this site in the next few hours, I'll try tomorrow to sort this out again. I manually input ALL of my March payroll data into QBDT - every single tax account - an effort that took 3 hours when it used to just take a click. I have two April payrolls so far I'm going to try and see if QB CS can help me solve so I don't have to keep inputting everything manually - because at that point there's no point using any Quickbooks product.

Ah well, another day looms.

Could not export form Intuit online payroll into Quickbooks desk top. We hit the 14500 limit. We started merging names and can now export payroll as before.

Hi, Im not an accountant, I am a business owner of 30 years. I am a plastering contractor about to throw in the towel because Quickbooks stopped syncing checks written to my men into my quickbooks for Mac. I since have migrated my desktop to my online payroll, but the new platform is not so simple for me. I just want the bank transactions to show up in my desktop for Mac like they used to do. but since I purchased the online payroll six months ago the syncing stopped and I had to manually enter in every transaction painstakingly. Can you help me sync my desktop for Mac to my bank accounts?

First, make sure that you have the latest release for your QuickBooks Desktop for Mac. You can install the update from the QuickBooks menu.
