Employee billable rates

I am looking to update the default billable rate for our employees in Quickbooks Online. I have searched everywhere but cannot find the list of employee billable rates, only cost rates and product/service rates.

This is for the rate that is auto-entered on timesheets as the billable rate.

Hello @MKeele! It's good to see you here in the Community. I'm happy to help you with your employee rates. 

 

The rate that comes into TSheets from QuickBooks Online is the cost rate you set up on the Employee Information page within QBO. That's the time that you use to pay your employees for payroll. The time that you use in invoices will use their billable rate.

 

 

In their profile is also where you can make their billable rate default as well. This can't be updated on a company level, it's done individually within their profile. You can, however, run a report to give you a list of the employees and their billable rates. Here are those steps:

  1. Log in to QuickBooks Online as the admin.
  2. Go to Reports on the left menu and search "Employee Contact List".
  3. Click on the little gear icon in the upper right-hand corner of the report.
  4. Click on Show More under Change Columns.
  5. Select the box next to Billable Rate.
  6. Click on the white space to apply (there's no save option).

Hello, QBO has recently changed and does not reflect the screenshots above. I also use QB Time but how can I adjust the global Billable Rate for each employee and NOT the individual Billable Rate from the imported Timesheets? Thanks!

I'm happy to lend you a hand with your global billable rate. Before we begin, are you looking to enter the global billable rate for each employee in QuickBooks Online? If so, you'll need to do this from your timesheet. Let me walk you through the steps below. 

 

  1. Click the Plus (+) icon.
  2. Select Single Time Activity or Weekly Timesheet.
  3. Enter the information, then check the box beside Billable (/hr) and enter the Rate in the box.
  4. Once done, click Save and close.

Thank you for getting back to us. To answer your question, since billable rates aren't stored in QuickBooks Time, any rate changes in QuickBooks Online will apply when importing time in the future.

Hello,

I hope I am not late in writing about this subject.  We have a new employee that I cannot seem to get his billable rate to default when I bring his timesheet up in the weekly timesheet recording that I do weekly.  All of the other employees' billable rates come up as a default, and I would like our new employee to do the same.  The example given does not appear in the the report section.  Am I missing something.  I noticed this original answer was given this year.  Than you  very much!!

Thanks for chiming in on this thread. Let's work together and get this resolved. 

 

Since the instructions above didn't work, I suggest trying some troubleshooting steps to help out. Using a private browser or incognito window will help eliminate any glitches that may be occurring in the system. Here's how depending on the browser session: 

 

  • Google Chrome: Ctrl Shift 
  • Internet Explorer/Firefox: Ctrl Shift + P
  • Safari: Command Shift 

 

It's that easy. If this works, go back to your regular session and clear your browser's history

Thanks for the reply.  Although this didn't help in my case I appreciate any help.  This is what I am trying to get done:

In the above thread there appeared a screen for a report called Employee Contact List where I can put an employee's "billable" rate so it will default on his weekly timesheet.  All of the other employees have their rates default to their screen on the weekly timesheet, but not this new employee.  Any help would be appreciated.  Because he is the only employee that his billable hours/rates do not show up, we are at risk of not applying his billable hours/rate to our invoices..  Thank you

Since the troubleshooting steps mentioned above didn't do the trick, I recommend reaching out to a member of the QuickBooks Online Support Team. An agent will be able to take a closer look at your account to determine what's causing the billable hours to not show for that specific employee. 

 

Here's how to get in touch with the team:

 

1. Click the Help button in the top right corner.
2. Select Contact Us.
3. Enter Support in the field and choose Let's talk.
4. From here you can select to receive a callback at a time that's convenient for you, or begin a live chat session with an agent.

I dont seem to be able to access timesheets as It just links me to quickbooks time. where can I find an updated location for entering employee billable rates?

Hi, Ben. I can share with you some additional information about entering employees' billable rates.

 

You can check out the steps provided by K_Siman to track billable rates for your employees. If there's a new billable rate, you can open the timesheet to edit the rate from there. In QBO, you can follow these steps:

 

  1. Open your employee's timesheet (you can pull up the Time Activities by Employee Detail report to see the time entries recorded).
  2. Edit the rate from the Billable (/hr) section.
  3. Tap Save.

Hello All, 

I am hoping you guys can help me figure out a solution. Right now, I have a client who has employees that have multiple billing rates. These employees hold multiple labor categories within one project (so one person can be both a Project Manager and a Senior Analyst, etc.). Often times, the category that they are working within changes on the daily (sometimes hourly) depending on the work that they are doing. Is there an easy way to assign one employee multiple billing rates based on their labor category? If not, is there an easy work around that isn't incredibly time consuming?

I'm here to ensure you can enter the billable hour rate for your employee in QuickBooks Online. I'll show you how:

 

  1. Go to + New and select Single time activity.
  2. On the Time Activity page, enter the billable rate.

That did nothing for me. I know how to manually enter a billable time, but when my time cards are auto uploaded from QuickBooks Time, the billable rates all come over with $0 on them! I have to manually go into each time card entry to change the billable rate. Can you try to please READ my question a little bit deeper before answering next time?

Also I have had no less than 5 calls to your support team live and none of them have been able to figure it out either. I can’t spend hours upon hours online waiting for your tech team to read articles I’ve already read to have no results. This seems to be a problem for others as well! This needs to be taken to your product development team and not by me filling out a form. An employee at QuickBooks needs to have a product meeting.

I am having the same problem, but these screenshots are outdated and that report no longer shows up in the list. Can you please provide current instructions for how to assign a default, global billing rate to an employee without having to manually update individual timesheets. Please and thank you?! None of the instructions in this thread offer a real solution.

Currently, the option to assign a default global billable rate to your employees is unavailable in QuickBooks Online. Once you create a time activity, the program will remember the billable rate you used and automatically apply it to the next entry.

 

I understand how time-consuming to manually update the individual timesheets. Please know that your ideas and suggestions will help us determine what features our customers need the most. To help improve your experience, I'd recommend sending feedback to our Product Development Team. Here's how:

 

  1. Sign in to your QBO account.
  2. Click the Gear icon.
  3. Choose Feedback.
  4. Enter your product suggestions.
  5. When you're done, hit Next

We had the same problem with QB Time syncing to $0/hr in QBO. I estimate that we lost $100,000 in earnings last year due to this glitch. I am shocked that there is not a class action lawsuit.

I have the same problem, the billing rate for all employees change to zero for no known reason. I wonder if it has something to do with cookies or some other item Intuit has the browser saving.

I've run into the same problem. Help me understand this.

 

The option to assign a billable rate per employee was an option at one time and now no longer is?

 

Your copy and past responses offer little help as the interface has changed. Can you please update the screenshots to 2022?

 

If your suggestion is to update each time card and modify the billable rate individually is completely impractical and is not a solution at all. Some employees might have 60-80 time entries per billing cycle.

I wholeheartedly agree! This is definitely an ongoing issue that was available in Desktop. How do we get an update on the status of this time wasting problem?

Hello, I cannot seem to find the employee contact list report.  I have emp directory and emp directory but neither give me the option to assign a billable rate to an employee

I'm here to help help you find the employee contact list report and add billable rate to an employee, @Dwayne.

 

To find the Employee Contact list report, let's proceed to the Report menu at the left panel. Let me show you how:

 

  1. Select Reports on the left column.
  2. In the Find report by name field, search and choose for Employee Contact List.
  3. To personalize the statement, select the Customize button.
  4. Once done, click Run report.

 

Then, we can create a new transaction from within projects and add billable rates to employees. Before doing so, ensure to turn on the billable feature in QuickBooks. For detailed steps, please check out this article: Set up billable expense.

 

Then, set up an hourly cost rate for your employees from the Project page, the rate will show when you start to track time. From there, you can edit the Cost rate (/hr) and enter the Billable (/hr) amount.

 

To modify the billable rates for an existing employee in QuickBooks, just follow the steps below: 

 

  1. Proceed to the Projects
  2. Select the Customer. Then open the transactions. 
  3. Under Time Activity, modify the Billable(/hr) and Time
  4. Press Save and close.
