941 e-payment rejected / EFTPS password expired

Every time I try to submit my 941 deposit through the QB e-pay (QB premier 2019) it tells me the payment is rejected due to the internet password being expired.  However, when I log on to EFTPS, it accepts the same password and does not tell me that I need to change/update it.  

The latest payment I processed through QB e-pay (QB Premier 2019), I got the e-mail notification that it was rejected.  When I go into payment history in the payroll liability section, it shows the payment status being 'complete'.  Any ideas on this?

Hi @ pcflint,

 

You’ll have to uncheck the memorize pin when you submit the form after that, you need to reenter your 10 digits Pin. Let me show you how.


1.    Go to the E-File Login page and uncheck the Remember My Information for Next Time box.
2.    Verify and re-enter your 10 digit PIN you requested and received from the IRS after enrolling to e-file.

 

If this resolves the issue, the next time you file your 941 check the Remember My Information for Next Time box, so your Login information is captured. And re-entered into the Credential Vault.

I just have the same problem. I had already tried your suggestion but It still does not work on my quickbooks. Can you  assist me please.

Thanks for trying the steps shared by my colleague. At this time, we'll have to update your EFTPS internet password. Please go to this page: EFTPS. Then, hen select How do I get an Internet password under the Login Questions section.

 

Then, we also have to change the password in your QuickBooks file. Here's how:

 

  1. From the Employees menu, select Payroll Center.
  2. Go to the Pay Liabilities tab.
  3. In the Pay Taxes & Other Liabilities section, select the federal liability to e-pay.
  4. Click View/Pay.
  5. Make sure that the E-Payment is selected, and then click E-pay.
  6. Deselect the Remember my Information for next Time box.
  7. Enter your 4-digit pin and your new EFTPS Internet password.
  8. Enter any other missing information.
  9. Click Submit.

I did update/change my EFTPS password before I even get your reply  but It still does not solve my problem.

Any other suggestion?

Hi there, Rak98. 

 

Thank you for sharing the steps you've tried to solve the problem with 941 payment rejection due to the EFTPS password. Let me share some information about this and a fix that helps other users to get past this issue. 

 

IRS is implementing new password requirements for making federal tax payments electronically. E-Pay gets rejected if the internet password is not updated or it doesn't comply with the new pin specifications. Some QuickBooks users were able to e-pay by resetting their password and by entering a new password with 12-30 characters. If your password length is less than this, I recommend updating it. For the complete guidelines, please check the EFTPS website: How do I get/replace/change my Internet password? (Step 4).

 

If you get the same result, I recommend contacting IRS to sort this out. From there, they can help reset your e-pay password. Once it's updated, please don't forget to also change your password in QuickBooks. You may refer to the steps provided by Adrian.

Hi MaryGraceS

I did update/change my EFPTS password since yesterday . I also deleted my pin and old password  on my quickbooks e-pay page and put in the pin & new password which just updated to be 12 digits on the EFTPS web site yesterday. It still does not solve my e-pay problem . I still got rejected message.

I can be able Log in EFPTS website directly with my pin & new password but with my quickbooks e-pay by put  those pin & new password still does not work.

I'm glad you're able to log in to the EFPTS website using the pin and new password. Since you've also updated the password in QuickBooks Desktop to match the new one, you should be able to process the payment.

 

Let's attempt updating your QuickBooks to the latest release as well as your tax table to check if your payment goes through. However, if the issue persists, I'd recommend reaching out to our Desktop Payroll Support so they can look into this further and verify the cause using their tools.

I recommend contacting our Desktop Payroll Support so that they can review your account and investigate the cause of the issue.

 

Here's how:

  1. Click Help inside QuickBooks.
  2. Go to QuickBooks Desktop Help.
  3. In the Have a Question? window, click Contact us.
  4. Enter a brief description of your issue, then click Continue.
  5. Choose Talk to a Specialist to schedule a callback from our support agent.

The original question by pcflint asked what to do if the payment is rejected but is  shown as complete and is no longer available to resend.  All of the answers correctly tell you how to change your password but they fail to mention you have to go to your bank register and VOID the payment!  THEN it will show up under Pay Liabilities again.  You can then start the EPay process, change the password for EFTPS (you have to have already done that on the EFTPS site) , make sure the option to save the information is checked, and proceed to re-send the payment.  But if you don't void the payment in QB, you cannot send the same one again.

We are having the same problem, and have tried everything suggested on this thread, including talking to a QB payroll specialist, who finally suggested we contact EFTPS to straighten it out.  Since ETPS accepts our payments just fine when we make them directly, this appears to be a problem with the QB/EFTPS interface.  We are all paying for this service, and now are on the hook for penalties.  I hope Intuit will be more proactive about finding a solution.

I had the same issue.  Was able to successfully log into EFTPS but decided to change my password just to avoid having to log in there the second time.  It was then I learned they have changed their password requirements.  I updated my password, voided the first check (so you can see it in the pay liability section) then went on to change my pin, password and uncheck remember my entries and it worked.

Been there.  Done that.  IRS says there is nothing on their end that should prompt a rejection.  I say again, this is a quickbooks/IRS interface problem.  None of your suggestions have worked.  Please take this issue seriously and do the work to get to the bottom of it.

I didn't change the internet password in QB. My payment was rejected. When I tried to start over, it shows that the 941 has already been filed and won't accept a duplicate. How do I get to the E-Pay section so that I can pay the amount that was rejected?

I had a code that was long enough, but didn't meet the character requirements.

Once I changed the password it worked with Quickbooks. 

Unfortunately, I only now realize that my payments haven't been going through since mid-September. I expect I'll be receiving a letter from the IRS assessing late fees.

The email notification for the rejected payment looks nearly identical to the one for an accepted payment in my inbox unless I open it. The failed payment is even less apparent in the Pay Liabilities tab in Quickbooks which shows a status of "Complete" despite the rejected status.

How can I put this on a wish list for the next version/update?

I would appreciate a more explicit and obvious notification when a payment to the government goes awry.
