I want to make sure our employees will be receiving W-2's generated by Payroll service. We are currently using Premier Contractor Edition 2020 and in the past, Payroll service has issued them directly to our employees.
I can share some information about forms that you can purchase, @lake girl.
If you're subscribed to QuickBooks Desktop (QBDT) Payroll Enhanced, we recommend ordering W-2 paper through us. This will make sure that your employees won’t have any issues when filing.
You can use a Blank 3-part perforated paper or a Pre-printed 4-part perforated paper. Just go to QuickBooks Checks & Supplies to get your W-2 kit.

After creating your W-2s and e-filing them, you can print and send them to your employees by January 31. You can also upload them to QuickBooks Workforce so they can view their W-2s online. I want to generate, print and file my own w-2s. I do have the QB Online Payroll Elite and the Automated taxes is turned on....however not set up in my qb file and I have filed all three quarters and preparing the 4th quarter 941. I want to generate and print w-2 and w-3 myself. please help.

In QuickBooks Online, a payroll subscription ensures your business processes taxes and forms on time by filing them automatically. Once Automated Taxes is turned on, payroll taxes and forms will be generated and filed electronically before they're due.

I had the full service payroll through quick books January to June. Employee quit so I discontinued the service. What do I need to do for the W-2?
How do I do a 1099 also? I had a book keeper and need to send a 1099.

If you used to have QuickBooks Full Payroll Service, we can process the W-2 forms of your employees. You can reactivate the account for year-end form filling by following these steps:
Once done, you can proceed with the step in preparing your 1099s. However, if you choose to print the forms and mail them to the IRS, you'll need to use pre-printed forms. With this, I'd suggest purchasing them from Intuit.
After that, make sure to pay any outstanding tax deposits, file other forms, and print necessary payroll reports. When everything is ready, that's the best time to cancel your payroll service in QuickBooks Online.

Does quickbooks Plus send them as well? I don't see that as an answer from the employee and I also don't see all those types of plans on quickbooks, so just curious if it is included, but wasn't mentioned.

Thank you for reaching out to the Community regarding QuickBooks Plus and W2s. I'm happy to clarify for you.
QuickBooks Plus itself is your accounting software and doesn't create or send W2s. Payroll information won't necessarily be in your QuickBooks unless you have a payroll service that integrates (ie: QuickBooks Online Payroll, Full Service Payroll, or Intuit Online Payroll).
If you have an integrated payroll service, depending on which one, we would either create and send the W2s or you would do that manually. If you have an outside payroll service, they would typically generate W2's for you. Not sure if we file for you? Here’s how to find out.

I also am having this issue, my employees have not received their W2's and I don't see that the file is available to download or print them. I recently took over my position and just want to make sure things are set up as I am seeing in the properties and settings.

We see how to file w2's but not an option for QuickBooks to mail.

Mailing the W-2 forms to your employees depends on the payroll service you're using. If you're using QuickBooks Online Full Service Payroll, Core, Premium, and Elite, the W-2 forms are automatically mailed to your employees.
If you're using QuickBooks Self Service Payroll, you'll have to print and distribute copies to your employees, as well as yourself. This also applies even if you electronically filed. I'd suggest checking out the list below to determine which copies go to the agency, to the employee, and to you as an employer:

Thank you for joining in on the thread. I understand the importance of making the W-2s available to your employees as soon as possible. I'll share information about it.
If you're using the Core, Premium, or Elite payroll and enabled the Automate taxes and forms option in your payroll settings, the W-2s would have been mailed to your employees’ home addresses via USPS starting January 20 through January 31.
Tracking the mailed W-2s is not available in QuickBooks. If the employees still don't have them after a couple of days, please contact our QuickBooks Online Payroll Support so they can use more tools to check this further.
Alternatively, if you’ve invited your employees to QuickBooks Workforce, they can see and print copies of their W-2s from there.

What do I do when we switched from Desktop to Online last year and BOTH have sent W-2's to the IRS? Desktop sent from Jan-Oct, Online sent Jan-Dec since the payroll tax information was transferred over from Desktop.

If you have canceled your Quickbooks Online account, you'll still have read-only access to it for a year.
To get your information, log back in and get your data so you can export data to Excel
as a reference when you file your forms manually.
Otherwise, you can no longer get any data from your closed company.
