convert QBO to QBDT

Conversion from QBO to QBDT- went through all the steps using the QuickBooks Desktop Migration tool and successfully created a data file that opened in QuickBooks desktop Accountant's edition 2022.  However, none of the BILL PAYMENTS came over.  Very strange, have a huge A/P!!!  I have done 3 conversions before and they worked great.  This one having trouble.  Anyone experienced this?

I wanted you to know that running the export a second time resolved the issue.  When the second export was converted to QBDT, all the transactions were in place and everything balances.

When I migrated my Quickbooks Online to the 30 day free trial Quickbooks Desktop, everything migrated over except the following:

 
All my invoices 
My payment accessibility for credit card and ACH processing 
 
Do I need to reapply to have Quickbooks payments for Quickbooks Desktop, or is the feature supposed to migrated over to Quickbooks Desktop?
 
Please advise.

Thanks for joining the thread, @emericaskate0707. Allow me to help get your data from QuickBooks Online to QuickBooks Desktop.

 

You can follow my peer's suggestion by repeating the conversion and checking if you still get the same results.

 

Also, since you already have an existing QuickBooks Payments account, you will have to connect it to your QuickBooks Desktop. This way, you're able to get the payment processing feature. Let me show you how:

 

  1. In QuickBooks Desktop, go to the Customers menu.
  2. Select Link Payment Service to Company File. If you see a message about credit card protection, fill out the fields and select OK.
  3. Enter the user ID and password you used to sign up for QuickBooks Payments. Then select Sign In.
  4. Select Connect. Or, if you're transferring your payments account to another company file, select Transfer and then Yes, transfer.

 

If the issue persists with invoices, I recommend seeking assistance from our QuickBooks Online Support team to help you moreover with the process. A representative will be with you in the entire data conversion to ensure that you'll get the invoice data in the new system.

I am having a similar issue since 2020. When I migrate a file from QBO to QBDT all of the credit card payment transaction types are missing. The bank and the credit card account balances are off by the exact amount of the missing credit card payment transaction type. I have redownloaded and rebuilt the file several times and it still happens. It is happening with all of my clients' files not just one.

When migrating a file from QuickBooks Online to QuickBooks Desktop, not all transactions will be converted. Since there are limitations when converting a file, I'd like to share this article so we can review what transactions and information can be moved to QuickBooks Desktop: Find out how your books will move from QuickBooks Online to QuickBooks Desktop.

 

Still, I'd like to ask one question to make sure we're on the same page. Do you mean that you'd like the credit card payment types on what you have in your bank register in QBO to be migrated to your bank register in QBDT? Are these credit card payments you recorded from the Pay down credit card feature in QuickBooks Online? 

 

If yes, those credit card payments are not in existence on the QuickBooks Desktop. They are not converted into expense or bill payments when migrated to the desktop. That's why credit card transactions are missing when converting data from QBO to QBDT. This causes the bank and credit card account balances to be overstated by the exact total of the missing credit card payments. 

 

You'll want to manually record using QBDT process: Set up, use, and pay credit card accounts.

Yes, that is exactly what I am talking about. The credit card payments initiated from the pay down credit card screen are not converting to desktop. Thank you for explaining why. You suggest that I manually enter in the payments into QBDT, but there is an issue with that. My clients have years worth of credit card payments which are not feasible to enter manually. Doing so would increase my billing and time spent on each client which is inefficient. Making a journal entry each year to correct also does not help as I lose the detail that I need to review. Is there not a patch that fixes this conversion issue? Can QBO tech support fix the online file be converting all credit card payments to either a transfer or expense transaction type as a way of eliminating the conversion issue? At the very least the "Pay Down Credit Card" feature should be removed as it doesn't serve a functional purpose and creates more issues.

Since your clients have years' worth of credit card payments that aren't feasible to enter manually, you may consider using a third-party app to get this done. This workaround can help settle your accounts balances with ease. You can visit this website to find one: QuickBooks App Center.

I don't see a third party app that would convert those credit card transactions to desktop. However, customers should not have to use a third party app to completely download their QBO file. I understand the other conversion limitations, but a conversion issue that results in incomplete transaction history shouldn't be one of them. The file is essentially worthless when it is sent to an auditor or accountant for review.

I have done several QBO to QBDT conversions.  QBDT version (Pro or Enterprise) works, as long as it's a supported version of course.    Didn't the conversion just bring them over as journal entries?  Debit to expense, Credit to Credit Card Payable?  and the payments to the credit cards- came over as journal entries Debit to Credit Card Payable and Credit to Cash-in Bank?  and you have to reconcile the credit card accounts and vank accounts - ALL the historical transactions will be there- but you can put in the most recent ending balance from a reconciliation and clear everything up to that date in one fell-swoop.

Migrating your data from QuickBooks Online to QuickBooks Desktop can be a bit challenging, @CM39. I'll clarify some important details about your concerns one by one. 

 

For your first question, QuickBooks Online has only one default Accounts Payable and Accounts Receivable account. On the other hand, QuickBooks Desktop allows you to move transactions with multiple accounts receivable or accounts payable lines to multiple journal entries. 

 

You’re right, the credit card payments are debited to Credit Card Payable account and credited to Cash-in Bank account. Although there’s slight differences with how your books appear, rest assured that they are recorded accordingly. This way, we can ensure that they are balanced.

 

Yes, we need to reconcile the transactions so we can moved them to QuickBooks Desktop. However, we’re currently unable to transfer reconciliation reports into the program.

 

You’ll want to read about the limitations when moving your data from QuickBooks Online to QuickBooks Desktop for Windows. This will help you understand how we migrate the features, lists, products and services, preferences, reports, and transactions from one program to another. 

 

For your reference, you can pull up the Profit and Loss report on Accrual basis from QBO and QBDT. This way, we can compare and review your books to ensure they match.

I'd like to chime in here.  The "solution" for creating an archive of QBO files (that is, by migrating to QBD and in the process losing all the credit card transactions) is unacceptable.  (Yes, I've put in my Feedback to Intuit...we need more of us asking for this.)  My client has closed his company and thus no longer wants to pay for a QBO subscription but we need to keep his files in case of an audit.  I went through the process 3 times -- it kept hanging up until I went to the physical machine QBD was on, rather than go in remotely -- and finally after a very long processing time I had a file to open in QBD.  It's a large file. All I really need is the last 3 years of transactions (the length of time he's been on QBO). Can't do that.  THEN to see I can't get a balance sheet (those cash and cc accts and payables) to match what was in QBO.  I'm at a loss as to what to do.  My client will not go for buying a 3rd party app and paying me to do that work.  I'm at a loss as to what to do.  Ideas, anyone?  thanks.

I appreciate you sharing your experience with us, DS127. Allow me to explain why your Balance Sheet report in QuickBooks Desktop (QBDT) did not match in QuickBooks Online (QBO) after conversion.

 

You may notice transactions are missing or reports are different and inconsistent after converting your QBO data to QBDT. It's because they don't use the same reports, and transactions aren't tracked as accruals in the same way. That being said, the accrual basis reports in QBO will match with QBDT, but cash basis reports may not.

Also, you'll want to ensure you've selected the correct date range on your reports for both QBO and QBDT. 

 

Additionally, transactions that aren't in the account register and not yet approved won't convert to QBDT. It explains the missing credit card entries after converting your data to QBO.

 

Furthermore, your assets should equal your liabilities on your balance sheet. If they don't, here's an article to figure out how to fix it: Fix a Balance Sheet that's out of balance.

Hi I appreciate your help and explanation, JaeAnnC

However, my experience is not matching yours.

Running the reports both in Accrual (which I have done from the beginning) does not solve the problem. I checked the dates to make sure I am doing parallel reports in QBO and my "new" QBD files.

 

When I go into numerous balance sheet accounts - e.g. asset accounts, accumulated depreciation, etc. - it is clear that transactions that are in QBO are missing from QBD, which makes the balances not match. 

 

It would have been nice if I could have been able to choose which dates to migrate to QBD bc I would have asked for only the dates since we originally uploaded to QBO, which was less than 2 yrs ago. (My client still has his QBD files from that time.)

 

My next idea, for anyone who is interested, is to get a trial of Advanced QBO and see if I can get and keep a backup from that.

 

Remember, this is all about having an archive of data if my client ever gets audited.

Let me share some information on why transactions are missing after migrating from QuickBooks Online (QBO) to QuickBooks Desktop (QBDT). I'll also guide you on how to fix it.

 

You may notice some differences in how the data appear when you migrate data from QBO to QBDT. Please know that due to limitations, some transactions don't move to QBDT. Also, we're unable to select a certain type or date during the conversion process. As a workaround, you can run Condense Data from your QuickBooks Desktop. Here's how:

 

1. Make a full backup of your data.

2. Run a "Condense Data" and select the date you want to remove all transactions prior to.

3. Once done, convert THAT file with the removed transactions to QB Online.

 

This way you still have a full backup of your desktop data in case you need to access it.

I don't understand the latter part of your message, I don't want to take data to QBO but rather have an archive in QBD.

 

After bringing the data down to QBD, condensing it won't fix the fact that transactions are missing - balances in the COA accounts will still be wrong.

 

I was just recommended to use an app called ExportMyBooks.  gets rave reviews. Problem is, to do this year and last year costs $200 and $45 for every add'l year.  But i guess for my client, it's cheaper than my time.

 

Of course I suppose I could just condense what I have for the last 2 years and see if that will be good enough for him.  I think I'll give that a try.
