Give your managers access to payroll tasks in QuickBooks Online Payroll Premium and Elite

In QuickBooks Online Payroll Premium and QuickBooks Online Payroll Elite, you can assign managers to your employees, and give them access to manage time off for their employees. Managers can then handle a variety of tasks and view their teams’ info in QuickBooks Workforce. 

Add managers to employee profiles

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Team, then Employees (Take me there).
  2. Select an employee. 
  3. Select Job & pay.
  4. From Job details, select Edit. 
  5. From the Manager dropdown, select the manager. 
  6. Select Save. 

Give managers access to time off tasks

  1. Go to Settings, then select Account and settings. 
  2. Select Time. 
  3. From Time off, select Edit. 
  4. Select Managers can approve time off in Workforce. 
  5. Select Save. 

What managers can do in QuickBooks Workforce

View their direct report info 

  • Full name and preferred name
  • Gender
  • Job title, department, and employment type
  • Hire date
  • Email address
  • Emergency contact

Handle tasks 

Depending on your company settings, managers may be able to handle the following workflows for their direct reports:

  • HR workflows: Start HR workflows if given access in the template setup, and view completed or in-progress workflows if at least 1 task is assigned to the manager.
  • Documents: View and download uploaded documents if given access, and view completed or in-progress documents if assigned a step to complete.
  • Performance: Create and manage employee goals, and view completed or in-progress HR workflows related to performance if assigned a task.
  • Time off: Approve, deny, and manage time off requests and balances for their direct reports.

What managers can’t do

To maintain data security and privacy, managers can’t do the following:

  • Edit personal info on behalf of an employee
  • Upload or start documents for their employees
  • See task details assigned to others
  • View any payroll data, including pay stubs, paycheck preferences, tax withholdings, or benefit enrollments
