Automate tasks with Custom Automations

Use Intuit Intelligence to automate routine business workflows with Custom Automations. Describe the task you want in plain English, and Intuit Intelligence creates the automation and schedules it to run automatically. You stay in control because any outward-facing action waits for your review and approval.

This article explains how to use Intuit Intelligence to create a Custom Automation, manage it in the Automation Hub, and review its activity. You must be subscribed to QuickBooks Online and be a Primary Admin or Company Admin to create, edit, or delete a Custom Automation.

Custom Automation isn’t available in QuickBooks Solopreneur or Intuit Enterprise Suite . If you use Intuit Enterprise Suite, see Use workflows to automate business processes.

Create a Custom Automation

You can build an automation by describing exactly what you want it to do, in plain English.

  1. Open ‌Intuit Intelligence.

  2. Describe the workflow you want to automate. For example: Create an automation that emails me a profit and loss summary every Friday or Make an automation that drafts reminder emails for invoices 3 days overdue.

  3. Review the draft automation that Intuit Intelligence creates, including the schedule, trigger, and output.

  4. Describe any changes you want. For example: Change it to run on Mondays instead.

  5. Review the live preview, which uses your actual business data.

  6. Select Confirm and save.

Your automation is active and runs automatically on the schedule you set.

Tip: You can also create an automation from a template. Open the Automation Hub to browse recommended templates for your business, such as Monthly business snapshot or Invoice chaser.

Manage your automations in the Automation Hub

The Automation Hub is your dashboard for every Custom Automation running in your account. Once you open Intuit Intelligence and select Automation Hub, you can:

  • Review previous runs (run history).

  • Review active automations, their status, and next scheduled run.

  • Select an automation to pause, resume, or edit it.

  • Check for failure notifications that need your attention.

Review and approve high-stakes actions

To keep you in control, Custom Automation won't send any outward-facing action without your review and approval.

  1. When an automation finishes drafting a task, you'll get a notification by email, push, or in-app, depending on your notification preferences.

  2. Select the notification to review the drafted content.

  3. Approve or edit the content before the action goes out.

Track automation activity in the Audit Log

Every action a Custom Automation takes is tracked in your QuickBooks Audit Log.

  • Actions appear under your name, followed by “via Intuit Intelligence”. For example: Jane Doe via Intuit Intelligence.

  • Check the Audit Log any time you want to confirm exactly when an automation ran and what it did.

Manage client automations in Intuit Accountant Suite (IAS)

If you're an accountant using IIntuit Accountant Suite (IAS), you have additional controls over Custom Automations across your client base.

  • Sign into a client's books to pause or edit an automation the client created.

  • Build playbooks as Custom Automations and deploy them consistently across your clients, so every client's books follow the same automated workflow.
