by Intuit Updated 5 months ago

Learn how to use Bill Tracker to manage your bills in QuickBooks Desktop.

Use Bill Tracker in QuickBooks Desktop to stay on top of your bills. This'll show you a real-time view of your bills and will make it easy to pay and manage them in one place.

Note: Once you enable multicurrency, Bill Tracker will be disabled.

To get started, go to the Vendors menu, then select Bill Tracker. Your bills are separated into three categories:

Unbilled

The UNBILLED tab will show you all your unbilled purchase orders.

  1. Select the Unbilled tab.
  2. Double-click a purchase order to see its detailed view.
  3. When you’re ready to pay the purchase order, select Convert to Bill from the ACTION column. The purchase order will then move to the UNPAID tab.

From the ACTION column, you can also choose to print, close, email, or copy the purchase order.

Unpaid

The UNPAID bills tab will show you your open and overdue bills.

  1. Select either OPEN BILLS or OVERDUE.
  2. Double-click a bill to see its detailed view.
    1. If you want to pay multiple bills, select the checkbox for the ones you want to pay, then select the Batch Actions ▼ dropdown.
  3. When you're ready to pay, select Pay Bill(s).
  4. From the Method ▼ dropdown, select the payment method and account you want to use to pay.
  5. Select Pay Selected Bills.
  6. Once you’re finished, select Done. If you have other bills to pay, select Pay More Bills.

Paid

The PAID tab will show you all bills that have been paid in the last 30 days.

  1. Select the PAID tab.
  2. Double-click a bill to see its detailed view.
  3. To print to physical check, select Print Pmt-Check.
