Add and manage time off requests for your team members
As a payroll admin or team manager, you can add, approve, deny, edit, or cancel time off requests for your employees in Intuit QuickBooks Workforce or QuickBooks Time.
Prerequisites
You need an active subscription to:
QuickBooks Workforce Premium and Elite, or
QuickBooks Time
You’re a payroll administrator or manager in QuickBooks Online
Add a time off request
In QuickBooks Workforce Premium and Elite, or QuickBooks Workforce web only
Note: You must be a manager to request time off for your employees in QuickBooks Workforce.
Go to All apps
, then Time, then Time off (Take me there).Select Requests.
Select Add request.
Choose the Employee and the time off policy.
Enter the days and hours for the request.
Select Submit.
The time off request will be automatically approved, and the employee will be notified of the decision.
In QuickBooks Time
Go to All apps
, then Time, then Time off (Take me there).Select + Add Time Off.
Select your desired team members for bulk entry, or select an individual team member. Then select Continue.
Select the code, date of entry, and number of hours on that day.
Only codes that are assigned to all team members in a bulk entry will show.
Add another day for the same code, or notes if needed.
Select Save.
Note: You can add time off for a past date, however:
The date can't be more than a year in the past
The date must be after the reset date
Manage existing time off requests
You can approve, deny, edit, or cancel time off requests.
In QuickBooks Workforce Premium and Elite, or QuickBooks Workforce web only
Go to All apps
, then Time, then Time off (Take me there).Select Requests, then select the applicable time off request.
Choose one of the following actions:
Approve or Deny
The employee will be notified of the decision and the manager’s note (if you add one).
Edit
Update the dates, hours, or other details.
If the request is not already approved, saving the changes will automatically approve the request.
Cancel
The request will be canceled and balances will be adjusted (if applicable).
The request stays in the list as read-only for recordkeeping.
In QuickBooks Time
Approve or deny requests
Go to All apps
, then Time, then Time off (Take me there).Hover over the pending request and select Approve or Deny.
To add a note to the request, select the request, add a note, and select Approve or Deny.
Edit or cancel time off
Notes:
You can edit a request after it's been approved.
You can cancel a request when it’s pending or approved.
Go to All apps
, then Time, then Time off (Take me there).Select the time off entry.
Select Cancel or Edit.
Enter a reason for canceling (optional), or make changes to the request.
Select Save.
