Create an inventory count in QuickBooks Online

Inventory counts are important for keeping your records up-to-date. That way, you can be sure you have products on-hand when you make a sale. With accurate inventory, it’s easier to forecast sales, and account for loss.

Create an inventory count

  1. Go to Sales, then select Products & Services
  2. Select More, then select Inventory Counts.
  3. Select New inventory count
  4. Enter a name for your inventory count, and add any notes. 
  5. Select to count either all products, or a subset of products.
    • If you’re counting a subset, select Add products and choose which products you want to include in the count. Use the search or filter options to find specific products. Then, select Add products.
  6. Select Save and close if you want to perform the count later, or Save and start counting to perform the count now.

Perform an inventory count

Count what you have in stock and record those numbers in your inventory count. 

  1. Go to Sales, then select Products & Services
  2. Select More, then select Inventory Counts.
  3. Find the inventory count you need to perform, and select Get started. Or, select View/Perform if you are continuing a count you started previously.  
  4. Record your inventory quantities in the New Quantity column. QuickBooks will calculate the change based on the quantity on hand previously on record. 
  5. Select Save and Finalize. Or, select Save if you need to stop counting and return later. 

Once you finalize an inventory count, QuickBooks creates an Inventory Quantity Adjustment to record the change in inventory to your books. 

View finalized inventory counts

  1. Go to Sales, then select Products & Services
  2. Select More, then select Inventory Counts.
  3. Find the inventory count you need to perform, and select View
