Pick, pack, and ship in Intuit Enterprise Suite
Learn how to fulfill sales orders with Pick, Pack and Ship: create a fulfillment order and mark packages as shipped.
| Note: Pick, Pack and Ship is available in Intuit Enterprise Suite in the US. |
What is Pick, Pack and Ship?
Pick, Pack and Ship is a fulfillment workflow built into Intuit Enterprise Suite. It connects your sales orders to your warehouse floor.
Managers run the operation from the web dashboard. You see what needs to ship, assign the work, and track each order as it moves.
Warehouse workers open their assigned orders in a web browser on a phone, tablet, or computer. There's no app to download.
What you'll need
Before you start, make sure you have:
At least one open sales order with inventory items
Quantity on hand tracked for your inventory items
A user with sales order access to act as the fulfillment manager
Warehouse workers invited to your account with the Warehouse Worker role
How to invite warehouse workers
Invite your workers before they can start picking and packing.
Go to Settings, then Manage Users, then select Add User.
Enter the worker's first name, last name, and email address.
For role, select Warehouse Worker.
Select Send Invite.
The worker accepts the invite and sets a password. They can then open their assigned orders in any web browser.
Workers see only the orders assigned to them. They can't reach financial data, invoices, or customer balances.
How to create a fulfillment order
To start a fulfillment order, open a sales order with inventory items, then select Fulfill items. You can also go to Inventory, then Fulfillment, select New fulfillment order, and pick a sales order.
Here's what carries over from the sales order:
| Item type | What happens |
|---|---|
| Inventory items | Included. |
| Assembly items | Included. |
| Bundle items | Split into individual components. The bundle name becomes a section header, and each component becomes its own pick line. |
| Non-inventory and service items | Excluded. You'll see a message explaining why. |
How to set pick quantity, lots, and location
While the fulfillment order is in Open status, you can edit three fields on each line:
Pick qty — defaults to the sales order quantity. Adjust it before you send the order for pick. It locks once you do.
Serial/lot — carried over from the sales order. You can change it, or split a line across several lots.
Sub-location — carried over from the sales order. You can update it.
Each time you save, your serial/lot and sub-location changes carry back to the sales order. The sales order always reflects your latest fulfillment plan.
How to view the fulfillment dashboard
Go to Inventory, then Fulfillment.
Every fulfillment order appears with its status, ship date, fulfillment location, customer, mode, and assigned worker. If you don't use multiple locations, the location column and filter are hidden. If you haven't added warehouse workers, the Assigned to column and filter are hidden. Filter the list by status, location, ship date, warehouse staff, or customer.
How to send an order for pick
Select a fulfillment order.
In Assigned to, select the worker who'll pick the order. To work it yourself, leave it set to Unassigned.
Select Send to pick.
This allocates the stock, so no other order can claim it, and locks the pick quantity. To print a pick list, select Print picklist.
The worker sees the order in their queue right away.
To use Express pick-pack, select the dropdown next to Send to pick, then select Send to express pick pack. The assigned worker picks and packs the order in one session, and the order moves from pick to pack automatically. This works best for simple orders.
Fulfillment order statuses
| Status | What it means |
|---|---|
| Open | The fulfillment order is created but not yet sent for pick. Pick quantity, serial/lot, and sub-location are editable. |
| Ready to pick | Sent for pick. Pick quantity is locked. You can still edit serial/lot and sub-location. |
| In pick | A worker has started picking. You can still edit serial/lot and sub-location. |
| Picked | Every line is confirmed at full quantity. Express orders skip this status. |
| Partial pick | At least one line is short. Send it to repick, or send it to pack as-is. |
| Ready to pack | Picking is resolved and the order is sent to pack. Serial/lot and sub-location are locked. Express orders skip this status. |
| In pack | A worker has started packing. |
| Packed | Every item is confirmed into a package. You can print packing slips and send the order to ship. |
| Ready to ship | You're entering the shipping carrier and tracking ID for each package. |
| Partial ship | At least one package has shipped. The rest are still on the fulfillment order, waiting to ship. |
| Shipped | Every package has shipped. The order is ready to invoice. |
| Canceled | The fulfillment order is canceled. The sales order stays open for the remaining quantity. |
How workers pick an order
The worker opens their assigned order and selects Start pick. For each line, they either:
Enter the actual quantity picked
Scan the item barcode
If an item is missing, or there isn't enough of it, the worker enters the quantity they found and can add a note.
For bundle items, the worker confirms each component separately under the bundle header.
When every line is done, the worker to select Finish pick. The fulfillment order moves to Picked, or to Partial pick if any line is short.
How to edit lots and location during a pick
While the order is in Ready to pick or In pick status, you can still edit the serial/lot and sub-location on each line. This helps when the planned lot isn't available at the bin. If a worker is already picking, saving your changes overwrites their entries.
These changes keep carrying back to the sales order until the order reaches Ready to pack. Both fields lock at that point.
How to resolve a short pick
If a worker picks less than the full quantity, the order moves to Partial pick. You have two options:
Send to pack — continue with the quantity that was picked. The balance stays on the sales order, so you can create a new fulfillment order for it when stock arrives.
Send to repick — assign the remaining quantity for picking. The next worker sees only the lines that aren't confirmed yet.
How to send an order for pack
In Assigned to, select the worker who'll pack the order.
Select Send to pack.
The worker opens the order and select, Start pack. They put items into packages, can add packages with Manage packages, and can enter the shipping carrier and tracking ID for each package. When they're done, they select, Finish pack, and the order moves to Packed. Each package gets an identifier in the format PKG-[fulfillment order number]-[sequence].
How to generate a packing slip
Select Print all packing slips. This creates one PDF for each package.
Each slip shows the item name, description, quantity shipped, lot number (if you track lots), package identifier, and ship-to address. Packing slips don't show pricing.
Packing slips are generated on demand. They aren't created for you automatically.
How to mark an order as shipped
When packing is done, select Send to ship. The order moves to Ready to ship.
Enter the shipping carrier for each package.
Enter the tracking ID for each package. Tracking is optional, so you can add it later.
Select Mark all shipped. If only some packages are going out, select the Mark as shipped checkbox for each one instead. The order shows Partial ship until the rest ship.
How to create the invoice
Create the invoice from the sales order when you're ready to bill your customer. Pick, Pack and Ship doesn't create invoices for you.
Quantity on hand decreases when you create the invoice. It doesn't change at shipment.
Key things to know
Workers use a web browser on a phone, tablet, or computer. There's no app to download.
Bundle items split into their components on the fulfillment order automatically.

Serial/lot tracking is supported. Edit serial/lot numbers in Ready to pick and In pick status. They lock at Ready to pack.
Serial/lot and sub-location changes carry back to the sales order on every save.
Pick quantity locks when you send an order for pick. To change it after that, cancel the fulfillment order.
Invoicing is always manual. Pick, Pack and Ship never invoices for you.
Quantity on hand decreases when you create the invoice, not when you ship.

Packing slips are generated on demand.
Frequently asked questions
Can I create the invoice before picking?
Yes. If you assign or change a serial/lot number on the fulfillment order after the invoice exists, a warning reminds you to update it on the invoice yourself. The edit still goes through.
Can I cancel a fulfillment order?
Yes. You can cancel a fulfillment order at any time. Canceling releases the allocated quantity right away. Quantity on hand doesn't change.
Does quantity on hand change when I mark an order as shipped?
No. Quantity on hand only changes when you create the invoice.
What happens if a worker is reassigned during a pick?
Anything the first worker saved stays on the order, but entries they hadn't saved are lost. You confirm the change before it goes through, and the first worker sees a message that the order is no longer assigned to them. The same applies during packing, and reassigning an Express order mid-pack takes it out of Express mode.
What is Express pick-pack?
The assigned worker picks and packs the order in one session, and the order moves from pick to pack automatically, so Express orders skip the Picked and Ready to pack statuses. To use it, select Send to express pick pack from the dropdown next to Send to pick. It works best for simple orders.
Can I use Pick, Pack and Ship without assigning workers?
Yes. Leave Assigned to set to Unassigned and work the order yourself. Workers are optional, which helps smaller operations and early onboarding.
