Manage your time team

Manage who tracks time and invite your team to QuickBooks Workforce. Organize workers into groups and set up schedules so everyone knows where to be and when.

Add workers

You can add either employees or contractors to your time team.

Add an employee

  1. Select Add worker, then select Add employee.

  2. Fill in the required fields, then select Save.

Add a contractor

  1. Select Add worker, then select Add contractor.

  2. Fill in the required fields, then select Save.

Invite workers to track time

Invite workers to QuickBooks Workforcee so they can track their time.

  1. Select Send Workforce invites.

  2. Select the workers you want to invite.

  3. Select Send invites.

See who's working

Use the who's working view to see who's on the clock and where they're working.

  1. Select View who's working.

  2. Under Filter, select All workers or On the clock.

Each worker's status shows as:

  • Green dot — on the clock

  • Orange dot — on a break

  • No dot, with worked time shown — not on the clock, but worked earlier today

  • No dot and no time shown — not on the clock and hasn't worked today

Manage your team's schedule

Create and manage your team's schedule so everyone knows when they need to work.

  1. Select Schedule.

  2. Select a cell, or select Actions, then Add shift.

  3. Enter the shift details in the shift editor. All fields are optional except the start date and the start and end times.

  4. Select Save draft or Publish.

Note Save draft keeps the shift off your team's calendars until you publish it; draft shifts show in white on the schedule. Publish adds the shift to the assigned worker's and manager's calendars, in the worker's assigned color.

You can edit, reassign, or delete a shift at any time.

Organize workers into groups

Use groups to organize your workers and give group leads visibility into their team's time.

  1. Select Create group.

  2. Enter a group name, then select the workers to add. You can also assign one or more group leads.

  3. Select Save.

To view your groups, select the Groups tab. Select View next to a group to open or edit it.

Manage a worker's time tracking settings

Turn time tracking on or off for a worker, and adjust their permissions.

  1. Next to the worker, select View settings.

  2. Turn Track time on or off.

  3. Update the worker's role and permissions for timesheets, schedule visibility, and time projects.

  4. Select Save.

Note A worker who hasn't accepted their QuickBooks Workforce invite shows as not having access, with time tracking off, until they accept the invite.
