Assign and track employee training with Learning

Learn how to connect Learning, assign compliance and skills training to your employees, and track who's completed it, who's behind, and who hasn't started — all from QuickBooks.

Learning brings employee training from EasyLlama, our training partner, directly into QuickBooks. Instead of managing training in a separate system, you can browse a course library, assign courses to specific employees with a due date, and see completion status without leaving QuickBooks. Employees get their assigned training in Intuit QuickBooks Workforce or QuickBooks Desktop Payroll, where they can start, resume, or download a certificate for anything they've completed.

Note: Learning is currently available in the United States only, to Intuit QuickBooks Workforce or QuickBooks Desktop Payroll (standalone), Intuit QuickBooks Workforce (Core, Premium, and Elite), Intuit Enterprise Suite, and Intuit Accountant Suite.

You need the Primary admin, Company admin, Standard all access, HR manager, or Payroll manager role to connect to Learning and assign training.

Connect to Learning

Before you can assign training, connect your QuickBooks company to EasyLlama.

  1. Go to Team, then select Learning.

  2. Review what Learning offers, then select the option to Start learning.

  3. Follow the prompts from EasyLlama to select a plan and number of seats and proceed to complete your purchase with EasyLlama.

Note: You pay for Learning through your EasyLlama plan. QuickBooks doesn't bill you separately for training.

Browse and assign training

Once you're connected, browse the course library and assign training to one or more employees.

  1. Go to Team, then select Learning.

  2. Browse the course library. Use the industry category suite, category, or region filters to narrow the list.

  3. Select a course to see its details, including who's already assigned and their status.

  4. Choose one or more employees. You can filter by department or work location to find them faster.

  5. Select Assign.

Note: If you've reached your EasyLlama plan's course or seat limit, QuickBooks turns off further assignments and shows a notice telling you to manage your plan in EasyLlama.

Track training status

Track who's completed training, who's behind, and who hasn't started — from the course itself, or from an employee's profile.

  • Open a course under Learning to see a roster of everyone assigned, along with their status, progress, and due date.

  • Go to an employee's profile and select the Learning tab to see their active assignments and their completed assignments, including recertification dates for courses that expire.

  • Select Unassign next to an employee's name to remove a training assignment. QuickBooks asks you to confirm before removing it.

What your employees see

When you assign a course, the employee gets notified and can complete it in QuickBooks Workforce.

  • Employees receive an email from EasyLlama when they're assigned a course. The email includes a link that takes them directly to the course.

  • Employees can also go to Learning in QuickBooks Workforce to see everything assigned to them and select Start, Resume, or View certificate for each course.

  • Selecting a course opens EasyLlama already signed in — employees don't need a separate EasyLlama login.

Some features, like AI reporting and AI course authoring, are available only within the EasyLlama app. To get to them, select Go to EasyLlama on the Learning page.
