Set up performance review templates in QuickBooks Online Payroll Elite

Performance reviews enable you to track employee growth and provide essential feedback to your team. Using templates ensures consistent review processes tailored to your company's specific needs. Once a template is created, it can be reused as many times as necessary.

Create the review structure

Start by establishing the basic structure of your performance review.

  1. Go to All apps A bunch of numbers and letters on a tile wall., then Team, then Performance (Take me there).
  2. Select + Add template.
  3. Select Choose from library to select a pre-made review or Create performance review to build one.
    • If you added a template from the library, the template will automatically be added to your list. Select Finish set up to add additional info to your template.
  4. Enter a name and description for your workflow. Select Save and continue.
  5. Optional: Select a schedule to automate when the HR workflow starts. 
  6. Select Save and continue.

Add and organize review steps

Steps are individual tasks completed during a review, such as a self-review or manager evaluation.

  • Add a task: Select + Task and enter a name.
  • Reorder tasks: Drag and drop the task name to your preferred position.
  • Manage tasks: Use Actions to Duplicate or Delete steps.
  • Customrize steps: Personalize each task by incorporating the following elements
    • Instructions
    • Fields
    • Apps
    • Dynamic variables

Assign tasks and set dates

Determine who's responsible for each task and establish deadlines.

Assign tasks

Select Assignee, then choose who will complete:

  • The employee
  • The employee’s manager
  • A specific employee
  • A department (anyone in the department can complete). You must assign at least one assignee to each step to complete the template.

Set dates (optional)

Add start date and/or due date, then choose what the dates are based on.

  • Start date keeps the step in Pending until the start date is reached.
  • Due date shows a due date in the task manager.

Review permissions

Use permissions to give others access to a step after it’s completed, without assigning them an extra step.

This is useful when you want employees or managers to only read responses. You don't need to create extra steps just to reference answers with variables.

Finalize and publish

Perform a final data review before sending the review to your team.

  1. Select the Data Sources tab to see a summary of all questions used across every step in the template.
  2. Select Review when you’re ready to finalize the template then select Save and publish.

Note: Changes made to a template won't affect reviews that are already in progress. If you need to update an active review, you must republish the template and resend it.
