Use the benefit sync dashboard in QuickBooks Benefits Administration

The Benefit Sync dashboard helps you track which benefit changes need to be sent to your insurance carriers so your employees’ benefits are current.
This dashboard doesn’t replace your carrier portals or files. Instead, it helps you know which changes in QuickBooks Workforce Premium and Elite you’ll need to notify your carriers about.
Prerequisites
- An active subscription to QuickBooks Workforce Premium and Elite
- An active subscription to QuickBooks Benefits Administration
What the Benefit Sync dashboard does
Whenever there’s a change to your employee’s benefits, it’s automatically added to the Benefit Sync dashboard so you can:
- See which changes need carrier updates
- Work through them in a structured checklist
- Track what’s been completed and what still needs attention
Changes that appear on the dashboard:
- New hires and new enrollments
- Qualifying life events (marriage, birth, divorce, etc.)
- Terminations or employees losing eligibility
- Dependent adds/removals
- Personal info changes (employee’s home address, legal name, etc.)
Use the Benefit Sync dashboard
Go to the dashboard
- Sign in to Intuit QuickBooks Workforce.
- Go to Team, then Benefits, then select Manage benefits.
- Select Benefit Sync.
You’ll see a list or table of items that need carrier attention.
Your view will contain the following information:
- Company Name
- Team member name
- Event type (ie new hire enrollment, termination)
- Carrier
- Benefit Type
- Task create date
- Change effective date
- Status
You can filter, sort and adjust your dashboard to help you work more efficiently. We typically recommend sorting by Carrier (A to Z).
Select a task
The task info is formatted in From → To to help identify the changes.
- Choose a task to see more detail.
- Review details, including:
- Effective date
- Plans and coverage levels
- Dependent details
Notify or update your carrier
How you notify your carrier is specific to each carrier. Connect with your broker to request online access with each carrier.
- Once the change has been submitted to the carrier, update the task status from Incomplete to Complete.
- Life event tasks will show additional options – including Approved or Denied.
Once marked complete, the activity will be logged under task activity and moved out of your task list. This keeps your dashboard clear.
Best practices for using the Benefit Sync dashboard
- Check it regularly: Build a cadence (for example, daily or a few times per week) to review and clear your checklist.
- Filter by date or carrier (if available): Use filters or sorting to group items by carrier or effective date so you can process in batches.
- Keep it clean: Once you’ve updated the carrier, mark the item Completed. A clean dashboard makes it easy to see what’s truly outstanding.
- Use it as your source of truth for carrier updates: Treat the dashboard as your to-do list for eligibility changes, so you don’t rely on emails or memory to track what needs to be sent.
Understanding task statuses
- Incomplete: Task hasn’t been sent to the carrier (action is required)
- Complete: Task has been sent to the carrier (no action needed)
- Pending: Employee is currently making enrollment decisions (no action needed)
- Change Required: Task was completed, but info has changed pertaining to what was submitted to the carrier that requires new action (action is required)
