Add a user license to your QuickBooks software

Learn how to buy more licenses to QuickBooks Desktop when you need them.

You can buy licenses if you need more users to access a QuickBooks Desktop company file at the same time.

QuickBooks Desktop Premier lets 5 users work in the same company file. QuickBooks Desktop Pro lets 3 users work in the same company file. If you need more than 5 users, check out QuickBooks Desktop Enterprise Solutions. You can have up to 30 users working on the same company file at the same time.

Find out how many user licenses you have:

1. In QuickBooks, press F2 on your keyboard to open Product Information.
2. Check out the number listed for User Licenses.
3. Repeat for each workstation.

Find price to add users to your license:

1. In QuickBooks, go to Help, then select Manage My License and Buy Additional User License.
2. Select Add Seats Online for current pricing.

Purchase additional user licenses:

1. In QuickBooks, go to Help, then select Manage My License and Buy Additional User License.
   Note: If Buy Additional User License isn't available, your QuickBooks already has the maximum users.
2. Choose if you want to buy licenses online or by phone. Follow directions on how to add user licenses.
3. Install QuickBooks Desktop on additional computers based on the number of licenses you have.
   • Use the same license and product numbers you have to install QuickBooks Desktop.
4. After you install, follow the prompts to activate QuickBooks Desktop.

Sync your license data

Sync online

Go to Help, then select Manage My License and Sync License Data Online to update your new license info.

Sync manually

If you install QuickBooks on a computer that doesn't have internet access, you can manually update your new license info.

1. In QuickBooks, go to Help then Manage My License and Buy Additional User Licenses.
2. Select the phone option.
3. Enter the same validation code you got when you purchased your additional license.
