Search for transactions and other data in QuickBooks Online

Learn how to find data such as transactions, contacts, new actions, reports, accounts, and help topics in QuickBooks Online using the search function.

Use the search option to find data

  1. Select the Search field and begin typing a word or phrase related to your search topic.
  2. Review the suggested search results, recent transactions, and recent search terms that automatically populate under the search bar. 
  3. If the data you’re looking for doesn’t appear in the results, hit Return to see a full-page view of transactions and help articles. Select Advanced transactions search to find transactions that are more than 2 years old.
  4. Use the tabs on the full-page search view to switch between viewing All, Transactions, or Help results.

  3. If the data you’re looking for doesn’t appear in the results, hit Return to see a full-page view of transactions and help articles. Select Advanced transactions search to find transactions that are more than 2 years old.
  4. Use the tabs on the full-page search view to switch between viewing All, Transactions, or Help results.

Customize your transaction search

  1. Go to the Advanced transactions search page or the Transactions tab of the full-page search view.
  2. Select Customize. Turn filters and rows on and off, or change the number of rows, row height, column order, and filters order to fine-tune your search.

Use phrases to search for transactions

You can search for transactions using words or phrases without having to create a filter.

  1. Select the Search field to enter a combination of words containing transaction type, reference number, contact, date, or amount. For example, enter “invoice over $100 from April Banks this year” and hit Return.
  2. You’ll see the Transactions tab in the full-page search view with preselected filters based on your search query.

Searchable Fields

The following table lists the different places to search and the fields you can find using each kind of search.

Note: Transaction results may include all transaction types across QuickBooks. Contact results include customers, vendors, employees, and contractors. Account results are a chart of accounts or reports by account type. Report results include standard reports.

Advanced Search filters in Intuit Enterprise Suite

Intuit Enterprise Suite includes more filters like sizes and projects. You can use these filters when you search for specific transactions.

For example, you can search with a query like "invoices greater than $1000 for Project A".

Advanced transactions search also includes your projects and the dimensions you specified as additional filters.
