Manage your Inbox and proactive notifications in the QuickBooks mobile app
Use the Inbox in the QuickBooks mobile app to communicate with your accountant or bookkeeper. You can reply to messages, upload requested documents, and complete tasks from your mobile device.
If you don't have an accountant connected to your company, Intuit Intelligence may send Proactive Notifications to help you understand important changes in your business.
| Note: • The Inbox is available in the QuickBooks mobile app for iOS and Android in the US. • To use the Inbox, you need an active connection with an accountant or bookkeeper. • Proactive notifications are available only for eligible QuickBooks Online Plus and QuickBooks Online Advanced customers who don't have an accountant connected to their company. |
Manage requests in your Inbox (for customers with an accountant)
When your accountant or bookkeeper sends you a message or requests a document, you'll get a push notification on your device. Select the notification to go straight to your Inbox. You can also access your Inbox at any time by following these steps:
Open the QuickBooks mobile app.
Select the Inbox icon on the homepage, or open the Menu and select Inbox from the three dots.
Review your pending items:
Messages: Read and reply to direct messages from your accountant.
Document requests: Select a request, then upload the file your accountant needs – like a receipt, bank statement, or tax form – from your camera or photo gallery or local files.
Action items: Review and complete tasks your accountant needs you to finish.
Any messages and files you send are shared directly with your accountant in QuickBooks Online.
| Note: If you ask Intuit Intelligence for help and your question is transferred to a bookkeeping expert or accountant, the conversation also appears in your Inbox. |
Manage your Inbox push notifications
Turn on push notifications so you don't miss requests from your accountant.
Open the Settings app on your iOS or Android device.
Make sure notifications are allowed for the QuickBooks mobile app.
In the QuickBooks mobile app, go to Settings and select Notifications.
Turn on the push notification for Inbox.
Understand proactive notifications from Intuit Intelligence
Why you received a notification
Proactive notifications are based on an analysis of your transaction data. Intuit Intelligence compares your most recent month's activity with your historical patterns and notifies you when it detects a significant change.
Select the notification to open Intuit Intelligence and review what changed and the factors that contributed to it.
If the notification doesn't look right
If the numbers don't match what you expect (for example, if a notification states your expenses are up but you don't believe they are), make sure your books are up to date. Recent or uncategorized transactions can affect the analysis.
To verify the information, review your:
Profit and Loss report
Balance Sheet report
Statement of Cash Flows report
Why you may not receive notifications
Not every customer receives proactive notifications. To be eligible, you must:
Have a QuickBooks Online Plus or QuickBooks Online Advanced subscription.
Be an active monthly user.
Not have an accountant connected to your company.
If you meet all the criteria, notifications are sent periodically based on your previous month's activity. If Intuit Intelligence doesn't detect a meaningful change or anomaly in your books, you may not receive a notification.
Turn notifications on or off
You can manage proactive notifications in your QuickBooks notification preferences.
If you aren't receiving notifications, also check that notifications are allowed for the QuickBooks mobile app in your device's notification settings.
