Use the Payroll Hub in Intuit Enterprise Suite
Learn how to use the Payroll Hub to run, track, and review payroll for all of your entities from one consolidated Run payroll page in Intuit Enterprise Suite.
When your business has more than one entity, keeping every payroll on schedule can mean a lot of switching between companies. The Payroll Hub brings each entity's pay schedules, statuses, and deadlines together on one consolidated Run payroll page, so you can see which entities need attention and start a pay run without switching companies. If you're in the Multi-tab Experience beta, each pay run opens in a new browser tab, so you can work on more than one entity at a time without losing your place. If you move from QuickBooks Desktop, you no longer need to sign in and out of separate company files to check on each team.
Note Who can use the Payroll Hub: The Payroll Hub is available in Intuit Enterprise Suite when your company has more than one entity. Entities appear on the page when they have payroll attached. To use the hub, you need to be an admin or a payroll or HR manager.
Open the Payroll Hub
Sign in to Intuit Enterprise Suite and switch to Consolidated view.
Go to Payroll, then select Run payroll.
The page lists each of your entities. The list shows when it was last refreshed. Select the refresh icon to update it, or select an entity to see its pay schedules.
Check the payroll status of each entity
Select an entity to see each of its pay schedules, such as weekly, bi-weekly, or monthly. For each schedule, the list shows the Status, Pay day, Pay period, and Submit due date. If something needs your attention, an alert icon appears next to the entity's name. Alerts flag urgent issues, such as an overdue pay run or a problem funding payroll.
Here's what each status means:
Not started — you haven't started this pay run yet.
Draft created — you started this pay run and saved it for later.
Overdue — the submit due date has passed. The status shows how many days late the run is.
Submitted — you submitted payroll for this pay period.
The Submit due column can also show the entity's direct deposit speed, such as next day deposit, so you know how far ahead to submit.
Filter or customize the list
To focus on one entity, select the All entities dropdown, then select the entity.
To change how the list looks, select Customize. You can sort the list, adjust rows, turn columns on or off, and drag columns to reorder them.
Run payroll for an entity
Note About the beta: Opening pay runs in new browser tabs is part of the Multi-tab Experience beta, available to select customers. When an Intuit Enterprise Suite company opts in, their accounting firm gets access too. What you see may change as we improve the feature.
You don't need to switch companies to pay a team. Each pay run opens in its own browser tab, scoped to that entity, while the Payroll Hub stays open in your original tab.
Select the entity to see its pay schedules.
Next to the schedule you want to run, select Run payroll. The pay run opens in a new browser tab for that entity.
Review the Pay period and Pay date. If you need to, select Import data, Approve time, or Edit classes & projects.
Enter or review each employee's hours and pay details, the same way you run payroll for a single company.
Select Preview payroll. Review the total payroll cost and the account payroll is funded from. If you're not ready, select Save for later — the schedule's status changes to Draft created.
Select Submit payroll. When you see Payroll is submitted, review your next steps. You can select Print pay stub or Download payroll reports, then select Close.
Tip Run more than one entity at a time. Go back to your Consolidated view tab and select Run payroll for another entity's schedule. Each pay run opens in its own tab, so you can move between them without losing your place.
When you finish, close the pay run's tab to get back to the Payroll Hub. Select the refresh icon to see the schedule's updated status.
View paychecks after you submit payroll
Next to a schedule with a Submitted status, select View paycheck list. The entity's paycheck list opens in a new browser tab. From there, you can filter paychecks by date, print pay stubs, set up paycheck printing, or export the list.
Download payroll reports for an entity
Next to the entity, select Download reports. The entity's payroll reports open in a new browser tab.
Select the Start date and End date, then select the employer and employee reports you need, such as total cost, tax payments, tax and wage summary, tax liability, or total pay.
Select Export to excel.
To review an entity's Auto Payroll setup instead, select the dropdown next to Download reports, then select View auto payroll details.
