Automate your month-end close with Intuit Intelligence
Books close automation lets Intuit Intelligence do routine close work for your clients in the background. Then it asks you to review and approve any changes to your clients' books.
When you turn on automation for a client, Intuit Intelligence reviews the books. It drafts actions like posting ready transactions, writing off overdue invoices, and creating depreciation and amortization schedules. Anything that needs a decision goes to the Needs attention list for your review. Nothing posts until you approve it. You can turn on automation for a new client as you onboard them, for one client you already manage, or for several clients at once.
Note
Who can use this: Only a Primary Admin or a Company Admin can turn Books close automation on or off. Only these roles see the automation experience.
You stay in control: Intuit Intelligence drafts work and asks for your review. It doesn't mark your close tasks complete. As it finishes work, you'll simply see fewer pending items in the client's books.

Your firm added Books close to Intuit Accountant Suite Core or Accelerate.
You're a Primary Admin or a Company Admin.
What does Intuit Intelligence automate in Books close?
When automation is on for a client, all Books close skills turn on together as a package. You don't turn on each skill separately. They run on a set schedule. Each skill drafts its work. When a decision is needed, it sends an item to Needs attention for your approval.
Ready to post
Reviews matched bank feed transactions and presents the ones that look right for your approval. It skips what doesn't, so nothing posts until you approve it.
Invoice write-off
Finds overdue invoices eligible for write-off and completes the write-off with a credit memo, with your approval at each step.
Fixed asset depreciation
Identifies purchases that should be capitalized, drafts a depreciation schedule, and reclassifies the entries for your review before anything is saved.
Prepaid expense amortization
Detects prepaid expenses and drafts an amortization schedule that spreads the cost over the prepaid period, for your review before posting.
How do I turn on automation when I onboard a new client?
When you onboard a new client to Books close, automation is on by default. You can keep it on or turn it off during onboarding.
From Intuit Accountant Suite, go to Work, then Books close.
Select Onboard close client.
Under Select client & close period, choose the Client and the Close period.
Under Template settings, choose a Close template.
Under Select close assignees, choose a Preparer, Reviewer, and Approver.
In the Close books faster at scale card, leave Enabled on to use automation, or turn it off to skip it for this client. The card lists the Books close skills that automation includes.
Select Save and start close, or select Save to set up the close without starting it.
Intuit Intelligence starts reviewing the client's books in the background. It lets you know when something needs your attention.
How do I turn on automation for one existing client?
Open the client's books close engagement. From Books close, select Open for the client and period.
Select the Automations menu. It shows 0 active when automation is off.
Select Add automation.
You'll see the confirmation Books close automation activated for this client, and a banner that reads Intuit Intelligence is getting these books ready to close, with the date of the first run. You can adjust the rules and schedule from the Automation hub.
How do I turn on automation for several clients at once?
From Books close, find the Streamline your books close process banner.
Select Automate books close.
In the Automate your Books close workflow window, select Add clients now.
In Manage client automations, search for and select the clients you want Intuit Intelligence to automate. Selected clients show as Active.
Select Apply.
You'll see the confirmation Automation has been enabled on selected clients.
Note:
Automation usage draws from the tokens included in your plan, so only the clients you select are automated.
How do I turn automation off for a client?
Turn off automation from the same controls you used to turn it on — the Automations menu on the client's engagement, or Manage client automations on the Books close overview. Turning it off turns off all Books close skills for that client. The Needs attention list and the active skills list no longer show on their engagement.
How do I review the work in the Needs attention list?
When automation is on for a client, their engagement shows a Needs attention list. A skill sends anything it needs you to review, approve, or post before it can finish. Items from custom skills you create show here too. Manual close tasks don't. Each item shows a short description, a status, a due date, who it's assigned to, and an action.
Open the client's engagement and go to Needs attention.
Select the action for the item you want to handle, such as Post, Review, View duplicates, or View depreciation.
Review the details Intuit Intelligence prepared, then approve, post, or send the work. For a write-off, review each item, or select Send all, no need to review.
Mark the item complete when you're done.
Items stay in the list until you resolve them — viewing an item doesn't clear it. When the list is empty, you'll see “You're caught up!” while automation keeps running in the background.
| Note: Each item is assigned to the person who created the skill. You can see who an item is assigned to, but you can't reassign items in this release. Intuit Intelligence can make mistakes, so review its work before you approve. Many actions, such as write-offs, NSF handling, and refunds, are reversible. |
How do I manage skills, schedules, and runs?
From a client's Automations menu, select Manage skills to open the Skills page.
Under Enabled skills, find the skill you want. Each card shows its description, how many clients it runs for, and its schedule.
Select Run to run a skill now, or View to see its details and past runs.
Select Create to build a new skill.
Skills appear here individually — the Books close package doesn't show as a single item. You can turn individual skills on or off, change their schedules, and see past runs.
How do I manage automated clients and track AI actions?
From Books close, select Settings, then open the Subscription status tab.
Review Firm-wide active clients and Actively automated clients, and the list of clients with their subscription status.
Select Add or Remove to change automation for a client, or use Add Close client.
Select Actions, then Manage automations to change which clients are automated, or View audit log to see a record of AI actions.
