Quickbooks Workforce

Not sure if there is a solution to this problem.  QB support has declined to the point that it feels actually useless.  I set up QB Workforce.  Sent two test invites out to one employee and myself (payroll administrator).  Employee 1 accepted and was able to set up account.  Me, I accepted the invite, followed the link to set up account, the nightmare started here.  There was an endless circle round and round until it timed out.  This went on for two days, no success.  I tried to use my secondary email address, same result.  QB support was useless, as they didn't understand my question, kept stating the obvious, saying I need to set up my account after accepting the invitation, um, yes, but it's timing out and not successful. How do I set up my Workforce account after my first and second invitation has been ruined.  Workforce can't recover my account because it says its in use, but there's no way it could be in use as I never successfully finished creating an account. I also tried another web browser.  While taking steps to recover my account from either email address, a series of dead end errors display.  Ex:  "! Something's not quite right"  "Ooops something went wrong"  "Hmm your account cannot be found"  "That username is already registered"  Of course each time I try to reset a password, one of the above messages display.  The person who can solve this will be placed on a virtual pedestal.  :)

I know how important to access your QuickBooks Workforce account, JaWoHr.

I've reviewed our system and I've found out that there's an ongoing investigation about this error. Our engineers are already working for a fix. I'd recommend reaching out to our chat support. They can add you to the list of affected users and will keep you updated about it. You can use this link to start a live chat: https://help.quickbooks.intuit.com/prechats/offerings/ViewMyPaycheck-CHAT/15016/view.

For now, you can ask your employer for a W2 copy. They can print and mail to you. Or they can download a PDF copy and email it to your personal email address.

Meanwhile, I'll also submit feedback about your experience so this won't happen again to you or any users.

We'd appreciate your patience as we get to the bottom of this.

I wishi I could solve your problem but I have the same issue for our company.  I have two case numbers with support and have spent hours on the phone with them to only receive "our engineers are aware of the problem and working on it.

I too have been having the same problem.  I'm the admin of our account.  New employee received invite to their personal e-mail, tried on two occasions to set-up account but received the following error messages:

'Looks like you don't have a Workforce employee account.  The email you entered belongs to an admin account.  Only employees can access their Workforce accounts' and 'Oops something went wrong'.

Intuit should never have migrated from ViewMyPaycheck.  If it's not broke, don't fix it.

Hello, @CNSS11

This isn't the impression I want to leave you with. Since you've tried to set up the account more than once and you keep receiving errors, then I recommend contacting our Customer Support Team. They have additional tools to look further into your account and can also use a screen share to help walk you through a few steps to help resolve this problem. Here's how:

  1. Go to the Help menu.
  2. Pick QuickBooks Desktop Help
  3. Tap the Contact Us button.
  4. Give a brief description of the problem and press Continue
  5. Scroll down and choose to Get a call or Get a callback

It's that easy. If you run into any trouble along the way, just let me know.  Bye for now!

It's nice to see you here, @Caseyo2,

Allow me to share some insights on how you can get access to your pay stubs in QuickBooks Workforce.

In order to see your payroll information, your employer must invite you to their Workforce account. Every company file has it's own ID for Workforce, which is why if you're not invited to one, you won't be able to access your history.

Also, your employer must be using QuickBooks and has Admin access to enable this option. Then, have them follow these steps to help you create an account and view your paycheck stubs.

  1. In QuickBooks, go to Employees, then Manage Payroll Cloud Services.
  2. Wjen routed to the Payroll Cloud Services window, toggle the status to ON below QuickBooks Workforce.
  3. When prompted, create or confirm a PIN used to send payroll data.
  4. Press Save Changes.
  5. Click on the Return To QuickBooks link.

You can also send them this article that highlights the entire process of setting up employee pay stub and W-2 access: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s and more

Let me know if you have any questions or concerns about this Workforce topic. I'll be right here to assist you anytime. Have a wonderful week ahead!

How can you re-invite an employee who has already signed up, but changed their email?  I have an employee whose email was compromised, he closed the account and no longer has access to it.  I can change his email address when complete the process to invite employees, but I cannot mark the checkbox to invite him again.

Thank you,

Hi there, @Lottie--D.

You can invite them again by changing the email address of your employee in the Employee Center. Then, try deleting and recreating the invite to see if you still encounter issues. If so, you can try adding your employee with a different email address.

To know the detailed process, you can check out this article: Invite your employees to QuickBooks Workforce to see pay stubs, W-2s and more.

I also added this article so you can notify your employees of new pay stubs whenever they're already available to view online: Email pay stubs from QuickBooks Desktop.

Let me know if you have more questions about sending an invitation to your employees. I'll be right here to help you anytime.

I have the same issue with some employees being signed up and those that are invited see a message that the employer does not have a workforce account.  I would simply delete the invitation and send it again, but there is not an option to delete the invitation or cancel it.

Thanks for joining the thread, @VehicleReman.

You'll need to re-invite your employee's for them to access their paystubs. Before doing so, you'll need to update QuickBooks Desktop to the latest release and the latest payroll tax table.

Since we're unable to delete or cancel the invitation, you can add your employee with a different email address in the Employee Center. Here's how:

  1.  Select Employees, then Employee Center.
  2. Double-click the employee’s name you want to edit.
  3. Make changes, then select OK.

Capture.PNG

Once done, send invites to your employees again.

  1. Go to Employees from the top menu.
  2. Select Manage Payroll Cloud Services
  3. Under QuickBooks Workforce, toggle the status to ON
  4. Choose Invite Employees.
  5. Select the employees you need to give access to, then add their email addresses.
  6. Click Send Invite

Capture.PNG

For the detailed steps you can check this article: Set up QuickBooks Workforce for your QuickBooks Desktop.

After inviting, have your employees accept the invitation link so that they can view their paystub. Once the link is accepted, they can now have access to their Workforce.

If you still get the prompt message, I recommend getting in touch with our payroll support team. This way, they can check your account in a secure space and investigate further the root cause of this issue. Before diving in, please review our support hours guide to ensure they can assist you on time.

When you're ready, here's how to proceed:

  1. Open your QuickBooks Desktop, and then click the Help menu.
  2. Select QuickBooks Desktop Help.
  3. On the pop-up screen, choose Contact us.
  4. Click the Search for Something else button then type your concern in the Ask us anything box.
  5. Select Search to continue.
  6. Choose Start a Message, and then follow the onscreen prompts to proceed.

Quickbooks has no interest in providing solutions or real tech support. They make all their money on selling turbotax to unwitting consumers in the US thanks to their successful lobbying of the IRS to end / limit the free file program.

I would recommend looking into alternative accounting solutions. We are doing that ourselves now.

Hello, Wuato.

I'll step in and help you view your pay stub in QuickBooks.

As an employee, you'll have to ask for an invitation directly from your employer so that he/she will grant you access to view your paychecks online.

Once your employer has done inviting you, you have to accept the invitation link. For more details on how you can accept the invitation and access your paychecks online, please refer to this article: QuickBooks Workforce - Access your Paychecks and W-2s Online.

To get your pay stubs, here's how:

  1. Sign in to workforce.intuit.com.
  2. Select Paychecks.
  3. Choose the appropriate date range. You can view multiple paychecks up to one year at a time.
  4. Do one of the following.
  • Choose Download on the pay stub you want to download.
  • Pick a pay stub to open and view, download or print it.
  • If you see a Download all button below the paycheck list, tap that to download all of your pay stubs at once (this option is not available for everyone).

I'll be around in case you have other concerns or need further assistance with viewing your paystubs. Take care and stay safe!

Yes, I am a CPA and a Computer Science degreed user.   I can't even find a link to set up Workforce.  Everything on the web is about issues with Workforce.  Why do large software companies make setting up web based solutions so tedious.  There should be a dam link from Quickbooks Pro Software to set up an Workforce account.  Geez.  Oh well.

Intuit should not be soliciting my employees for some of their "free products." Then I find out you can't turn this feature off if you turn it on and then are unhappy with Intuit's execution or the results.

This is bad business practice. Unethical. A program feature that is optional but cannot be turned off  is no different than a bloatware virus.

"Affectionately called crapware, diplomatically called Potentially Unwanted Programs (PUP), bloatware refers to any unwanted, hidden program on your computer or device....that is difficult to remove."
