Creating and sending invoices is one of those tasks every small business owner has to do, but almost nobody enjoys. You open your accounting software, find the customer, add line items, double-check the amount, hit send and then chase the payment a few weeks later. Multiply that across every project and client, and billing quietly eats hours you would rather spend on actual work.
AI assistants are changing that. With the QuickBooks Connector in Claude or ChatGPT, you can now handle your whole billing workflow in a conversation: describe the invoice you need, let AI draft it from your live QuickBooks data, and send it for payment without ever leaving the chat. You can even do things like add new customers or products and services right from your chat.
This guide walks through exactly how to set it up and send your first AI-assisted invoice.
Yes. The difference between an AI assistant that "writes about" invoicing and one that actually sends invoices comes down to whether it is connected to real payment rails. On its own, an assistant can draft invoice wording. Connected to QuickBooks, it can do the real work — create the invoice against your actual customer and item list, generate a payment link, send it, and record everything in your books.
That connection is what closes the loop. You are not copying numbers from a chat window into QuickBooks afterward; the invoice you create in the conversation is a real QuickBooks invoice. That means your accounts receivable, payment reminders, and financial reports all stay accurate automatically.
Connecting takes about a minute. Here is the full setup:
That is it — you only need to do this once. If you ever need to reconnect, go to Settings > Connectors, disconnect fully, wait a moment, and reconnect. Connecting and immediately reconnecting can cause an error.
This is also a very similar process.
Here is the full setup:
5. Open ChatGPT.com and select Apps in the left navigation bar.
6. Find Intuit QuickBooks in the connector list and click Connect. (direct link to connector page)
7. When prompted, sign in with your Intuit account — the same login you use for QuickBooks Online.
8. Approve the secure connection. Once it is active, ChatGPT can work with your live QuickBooks data.
You also only need to do this once. If you ever need to reconnect, go to Apps > Settings > Intuit Quickbooks and disconnect fully, wait a moment, and reconnect. Connecting and immediately reconnecting can cause an error.
To create and send invoices, you will need a QuickBooks Online account and either a Claude or ChatGPT account. If you do not have QuickBooks yet, you can get started for a free QuickBooks Online account* lets you create and send invoices, and you can turn on QuickBooks Payments so customers can pay online by card, bank transfer, and more.
*The free plan includes a limited number of invoices per month; enabling QuickBooks Payments unlocks unlimited invoicing.
Once QuickBooks is connected, creating an invoice is as simple as describing it. You can type a request in plain language and Claude will build the invoice from your live QuickBooks customers and items. For example:
*"Create an invoice for Acme Co. for $1,500 for June website design work, due in 14 days."*
Claude pulls the customer record from QuickBooks, adds the line item, sets the due date, and shows you a draft to review. From there you can refine it in the same conversation:
Because the assistant is working from your real QuickBooks data, the customer details, item descriptions, and pricing match what is already in your books — no retyping and no copy-paste errors.
For the cleanest result, mention the customer name, the amount or the items and quantities, what the work is for, and the payment terms or due date. The more specific your request, the closer the first draft will be to ready-to-send.
After you have reviewed the draft, you can send it straight from the conversation:
You can also manage follow-ups the same way. Ask things like "Which invoices are overdue?" or "Send a reminder for the Acme invoice," and let the assistant handle the busywork of staying on top of payments.
Yes. Estimates work the same way as invoices. Describe the quote you want. For example, "Create an estimate for Acme Co. for a website redesign: $4,000 for design and $1,500 for development". Claude or ChatGPT builds it from your QuickBooks customers and items, shows you a draft to review, and sends it to the customer when you confirm.
Because it is connected to QuickBooks, the estimate is tracked in your books from the start. When the customer accepts, you can ask Claude or ChatGPT to convert the estimate into an invoice in the same conversation, so you move from quote to getting paid without re-entering anything.
Invoicing is one part of a larger billing workflow you can run in chat. The QuickBooks Connector in also lets you:
Note: connector capabilities are expanding over time. Check the official QuickBooks Connector help article for the current list of supported use cases.
Yes, because you stay in control of every invoice. The goal here is to take the manual, time-consuming part off your plate: pulling up the customer, typing in line items, and formatting the invoice. The assistant does that drafting work for you, but it never sends anything on its own.
Nothing goes out without your explicit say-so. Claude or ChatGPT always shows you the draft first, you decide what to change, and you give the final approval before an invoice or estimate is sent to a customer. You choose which invoices get sent and when — the AI simply speeds up getting them ready.
Behind the scenes, your QuickBooks data is accessed through a secure, authenticated connection and is not used to train AI models. Every invoice is recorded in QuickBooks, where you can review, edit, or void it just as you always have. For full details, see Intuit's Privacy Policy.
Getting paid should not be the slowest part of running your business. By connecting QuickBooks to an AI assistant, you can turn invoicing from a multi-step chore into a single conversation — describe the invoice, review it, send it, and watch it sync to your books. It is the same trusted QuickBooks payment experience, now available wherever you are already working. Connect QuickBooks in Claude or ChatGPT and send your first AI-assisted invoice today.
