Growing businesses often outgrow their financial tools before they’re ready for a full ERP. QuickBooks Online Advanced with Intuit Intelligence1 fills that gap, bringing your books, payments, bill pay, payroll, industry solutions, and insights together all in one place. You and your accountant can work from a complete view of your finances in the same dual-sided platform without reconciling data across several disconnected apps. The result is scaling your business while running lean. That’s growth done right.
Intuit Intelligence is the financial system of intelligence that powers the entire unified Intuit platform, drawing on 40 years of Intuit’s accounting data, the patterns of 10 million businesses, and your secure business data. It matches your important financial tasks to the right AI, automation, or human expert, including a network of more than 650,000 accountants on the platform. For growing and complex businesses, Intuit Intelligence takes on the busywork, so you can open up capacity on your team, get better insights that drive to action, and make more confident strategic decisions.
The latest release² helps you run your business on books built for your industry. For construction and manufacturing, Advanced has purpose-built workflows for job costing and inventory.2 Also with this release, many of the most-used and most-requested QuickBooks Desktop workflows are now in Advanced and Intuit Enterprise Suite. If you haven’t yet moved from Desktop, a new guided, human-led migration support is now available to customers making the transition to Advanced.
Standard accounting tools often rely on a one-size-fits-all approach. QuickBooks Online Advanced is built for how you actually run your business: construction financials shipped in August and additional industry-specific depth for manufacturing and other fields is coming soon.2
Job costing usually lives in three places at once: a spreadsheet for the budget, separate field software for day-to-day operations, and an accounting system that finds out what actually happened days or weeks later. By the time the numbers line up, margins have already eroded.
QuickBooks Online Advanced eliminates that disconnect. Estimating, job costing, and billing run in one workflow, with budget-vs-actual and WIP visible while a job is still open, change orders that update costs and invoices together, and AIA-style progress billing tied to project milestones.
The Project Management AI agent can even stand up a new project from documents you already have, so starting a job doesn't mean a pile of setup work first. Once the job's running, Intuit Intelligence lets you ask about it in plain language—what's driving a cost overrun, how a job's margin compares to similar ones—grounded in your own project data, with tips for protecting margin on the next bid.
Accounting is only part of the job. You also have crews to pay, clients who owe money, subcontractors waiting on checks, and ongoing cash flow to manage. Advanced brings all of that into a single system.
Real-time visibility into project labor costs. Hours logged in the field flow from QuickBooks Workforce straight into job costs, so labor costs by project are visible in real time instead of after a manual reconciliation between the field and the office.3
Get paid when you bill, in the same system. When an AIA-style progress invoice4 goes out and the owner pays, that payment reconciles to the books automatically. The format matters: businesses that billed this way got paid within 30 days at a 32% higher rate than those using standard invoices.5
Funding options that bridge the cash flow gap between payroll and draws. Construction cash flow lives in the space between work performed and payment received. An eligible business can draw on a pre-approved Capital line of credit, rather than starting a fresh loan application when timing is already tight.6
QuickBooks Capital keeps financing in view without a separate application. Every fee and rate is disclosed upfront, a line of credit draws against your own QuickBooks data with interest only on what you borrow, and Business Health shows what's driving your approval odds before you ever apply.6
Built-in Bill Pay streamlines subcontractor payments. Bill Pay is embedded in QuickBooks, so it’s ready when it’s time to pay subcontractors and vendors. Pay by free standard ACH or check, with built-in approvals and automatic 1099 tracking and e-filing as payments go out. There’s no separate subscription, no manual workarounds, and a week of year-end paperwork gets done in a few minutes.7
That's the advantage of a unified platform: Because projects, labor, billing, financing, and payments all connect to the same books, you always know your job status and cash position.
QuickBooks Desktop earned three decades of customer trust by going deep with industry-specific workflows, granular reporting, inventory, payroll, and job costing. Now, QuickBooks Online Advanced features the biggest wave of innovation to add much of the depth that customers appreciated in Desktop, including many of the most-used and most-requested workflows by both customers and their accountants. If you've considered migrating to QuickBooks Online Advanced in the past but needed more functionality or help with the move, now’s the time for another look.
One and a half million customers have already made the move to Online.⁹ This release is built for users already on Advanced getting more of what they migrated for and those still on Desktop.
Coming soon: Labor costing by service item2 assigns each hour to the service performed and carries that cost into your payroll, job-costing, and profit and loss (P&L) reports as payroll runs. You can see which services are actually profitable without a manual reconciliation. And when a paycheck needs fixing, you can process a paycheck or tax payment for a prior pay period right in QuickBooks, with no workaround outside the system.
Coming soon: Multi-level job hierarchies2 handle jobs nested inside jobs, matching how complex engagements are actually structured. Plus, the Desktop-era project reports are here too: Open Purchase Orders by Job, Item Profitability (coming soon2), and Job Costs by Vendor.
Choose from multiple shipping addresses per customer right in the invoice workflow and regroup billable expenses into a single, clearly labeled line, so your customer sees one readable charge.
Migrating to Advanced from Desktop is a fully guided experience. Businesses migrating from Desktop are paired with a dedicated Implementation Consultant for up to 60 days. The consultant builds a migration and training plan specific to your business and guides your team from submitting your Desktop file through your first report run.
Businesses can also preview how Advanced handles their specific industry's workflows before committing to the move, and coming soon accountants can manage the migration alongside their client in the same system.2
