What's new in QuickBooks Online Advanced this August:

The August release adds significant new value. With more built in, growing teams can do more without adding apps or headcount:

  • Industry depth: Construction financials and enhanced project financials now built into the platform.
  • Bill Pay Elite, included: Vendor payments, approvals, free standard ACH, and 1099 e-filing with no separate subscription or manual workarounds.
  • Books Upkeep: Books stay current throughout the month, exclusive to QuickBooks Online Advanced.
  • Reporting and BI: KPI scorecards, management reports, and conversational forecasting, so data-to-decision happens without leaving the platform.

Bill Pay Elite, your AP hub, will now be included in QuickBooks Online Advanced

As a business grows, so does its accounts payable, and it gets harder to manage manually. Teams end up stitching together different systems: entering bills by hand, paying through separate methods, chasing down approvals and documenting them, and manually reconciling the books. It's time-consuming, error-prone, and doesn't scale.

With the August release, Bill Pay Elite is now included in QuickBooks Online Advanced with no additional subscription fee¹. It gives you an accounts payable hub built right inside Advanced, so you can record, approve, and pay bills, manage 1099s, and track costs by job all in one system. No additional per-user fees, with unlimited free standard ACH and 1099 e-filing.²'³

For existing subscribers who have been paying separately for a bill pay solution, this update represents meaningful cost savings. For teams evaluating QuickBooks Online Advanced, it removes a line item from the software budget.

Bill Pay Elite is one of several capabilities now built into Advanced. The same consolidation applies to how you manage projects, close your books, and report to stakeholders (each covered below).

Construction financials will now be included in QuickBooks Online Advanced

Most construction businesses manage job finances across multiple tools, including spreadsheets, operational software, and an accounting platform that rarely stays in sync with what is happening on site. By the time the financial picture comes together, margin problems have already compounded.

Construction financials will now be embedded in QuickBooks Online Advanced. Job costing, budget-versus-actuals monitoring, AIA-style invoicing tied to project phases and milestones, change order management, WIP reporting, and profitability reports all operate within a single connected workflow.

When a client approves a change order, the corresponding estimate, budget, and invoice update automatically. Intuit Intelligence⁴ monitors project costs continuously and flags potential overruns while there is still time to act.

Enhanced project financials 

The same margin problem exists for project-based businesses outside construction — professional services like consulting firms, architecture practices, and agencies. Engagements are quoted, work gets delivered, and the financial picture comes together too late to change course.

Enhanced project financials give these teams the same visibility construction teams now have on their jobs. Budgets, phases, cost groups, cost-versus-budget tracking, change orders, milestone-based invoicing, and profitability reports connect in a single workflow. The Project Management AI automates project creation from uploaded documents, generates estimates from project parameters, and flags engagements trending toward a margin problem. No more tracking margins in spreadsheets or separate tools, and no manual reconciliation to keep the books current.

Inventory that keeps pace with orders

QuickBooks Online Advanced brings enhanced inventory to manage costs, margins, and reorders without leaving QuickBooks. Sales orders reserve stock and trigger purchase orders automatically at the reorder threshold, while item receipts update costs the moment goods arrive. Moving average cost valuation recalculates in real time across the full order-to-invoice cycle, so stock, costs, and margins stay accurate at every step, with no month-end reconciliation across separate tools.

This is just the beginning. There’s more industry product value coming in November.

Confident decisions start with cleaner books

Books Upkeep

The monthly close has historically required significant customer involvement: reviewing categorizations, matching transactions, resolving discrepancies, and preparing books for reporting. Books Upkeep⁵ changes the operating model.

Books Upkeep is an ongoing service where Intuit Intelligence handles high-confidence transactions automatically under customer-defined policies. When context is missing, the collaboration tool surfaces only the exceptions that need input. For judgment-based transactions, Intuit Intelligence steps in and clearly labels any work posted, so customers maintain full visibility and trust in what's in the books. Issues are proactively flagged before month-end.

The result is books that stay current throughout the month, a shorter list of items to address at close, and greater confidence in the numbers at any point in the reporting cycle.

Brittany Glazebrook, CEO, MasterStone LLC, reports saving approximately 4 hours a week and $5,000 a year in bookkeeping costs after integrating QuickBooks AI tools.

If you work with a bookkeeper or accountant, Books Upkeep will be off by default. Books Upkeep is designed to support the relationship between you and your bookkeeper or accountant. Check with them first, since they know your books and your business best and can help you decide whether and how this fits into the work you already do together.

From live data to board-ready reports, without leaving the platform

The August release will include the most complete reporting and business intelligence (BI) suite from QuickBooks Online Advanced. Some of these features are improved in this release, and some were launched with the last release. Together, these capabilities address how finance teams use their data, from real-time monitoring to stakeholder-ready communication.

Improved KPI scorecards

KPI scorecards have been redesigned with new functionality to give teams a real-time view of financial and non-financial performance. Along with tracking revenue, margin, cash, and more, KPI scorecards now allow filtering by class, enable drilling down to source reports, and contain improved detail views with larger charts and drill-downs.

Unlike static reports, scorecards stay current as the books update. KPIs flow automatically into dashboards, management reports, and AI insights across your workflows. Pull from a pre-built library, build custom metrics with a formula, or track specific accounts to get a more comprehensive view of performance.

Conversational forecasting

Test scenarios in plain language with conversational forecasting. Ask about what is driving a variance, run a scenario on a hiring decision, or forecast cash flow through the next quarter, all from within the platform and without exporting data to a separate tool.

Keep working your way with two-way spreadsheet sync

Two-way spreadsheet sync allows customers to work the way they already do without their books falling out of date. Spreadsheet sync eliminates manual transfer, saving time and reducing errors. Pull live reports with the most recent company data straight into Excel. Create or edit transactions, journal entries, and budgets in bulk, then sync to QuickBooks Online Advanced in one step.

Maintain complete control over your reports

The custom report builder continues to empower teams with full control over the reports they need to do their jobs. Teams can create reports from scratch with the columns, rows, filters, and dimensions that specifically apply to their work. Pull from any data in the books by class, location, department, without being constrained by a standard report template.

When producing reports, AI-drafted summaries are generated for dashboards, management reports, and individual report sections. These are editable in rich text and written from the same reconciled data the report pulls from, so there is no copy-paste step and no risk of commentary drifting from the underlying numbers.

For teams that prepare board materials or investor updates on a regular schedule, management report templates pull live KPIs, dashboards, and financial summaries into one structured, branded package. Set up formatting and settings once, and they're reapplied each cycle, so every report reflects current data without a manual rebuild or a stale export.
