Hi there, @sonja2.

We have two functions on how to record a bank deposit in QuickBooks Online.

  • Record directly- if the money is already transferred in your bank and need to record it in the QBO account
  • Undeposited Funds- if you want to group the payments and deposit them as a single record into an account

If you want to record directly, here's how:

  1. Go to the + New icon, choose Bank deposit under Other.
  2. Complete the Received from, Account, Description, Payment method, and Amount, in the Add funds to this deposit.
  3. Hit Save and close

For a detailed guide about bank deposit, you can check this helpful article: How to Record Bank Deposits in QuickBooks Online.

If you want to record to Undeposited Funds, here's how:

  1. Go to the Sales tab, locate the transactions, and click receive payment.
  2. In the Deposit to drop-down arrow, select Undeposited Funds.
  3. Tap Save and close.

Once done, go to the Plus icon to check if the Undeposited Funds are successfully transferred. Let me guide how:

  1. From the +New, select Bank deposit
  2. In the Select payments included in this deposit, put a check-mark in the transactions that you want to deposit and complete the needed box.
  3. Press Save and close

I've got this great article to guide you more on how to post deposit: Record and make Bank Deposits in QuickBooks Online.
